Job Description Direct Marketing Assistant Job title: Direct Marketing Assistant (temporary contract to end February) Location: Based at Head Office, Southwark Department: Development Responsible to: Direct Marketing and Digital Manager (with supervision from Direct Marketing and Legacy Officer) Main purpose: To provide key administration and support to raising income through direct marketing activities Key areas of responsibility To support the Direct Marketing and Digital Manager develop a regular giving activity plan to test a variety of regular giving propositions including reactivation, conversion and upgrade. To assist the Direct Marketing and Digital Manager with the recruitment of new cash donors using traditional direct marketing and digital channels; and with the warm Campaign mailing. To maintain accurate donor records, including running data queries, updating files, project analysis and dealing with supporter queries. To manage routine Direct Debit processing, including creating, amending and cancelling Direct Debit gifts as appropriate, data import quality checking and liaison with the finance team especially during reconciliation at month end. To assist the operations team with processing of direct mail appeal donations to the charity: establishing records and allocating gifts as required and ensuring that all paperwork and electronic records are accurate and up-to-date. To ensure donors are asked for a Gift Aid declaration and ensuring records are maintained so that Gift Aid income can be maximised and attributed to each direct marketing activity. Secondary areas of responsibility To engage with Muscular Dystrophy Campaign supporters, primarily by phone and letter. To work with the Database Manager to plan selections and segmentation of data. To deliver projects in accordance with the set budgets, forecasts and schedules. To update the guard book and results analysis. To support the Direct Marketing and Legacy Officer with thanking and other administration as required. To support the Database Manager with data cleaning and other database (Raiser’s Edge) maintenance tasks as required. Other responsibilities To use the database (Raiser’s Edge) to utilise data accurately for fundraising projects. To attend monthly ‘stakeholders’ meeting of direct marketing, finance and operations team members. To get value for money from all external suppliers when getting quotations on goods, and maximise net income. To produce accurate and regular income results and analysis of direct marketing projects. To keep aware of new opportunities for recruiting new supporters and contribute ideas to the team. To contribute to team planning and development of supporter retention and recruitment plans. To liaise with key internal stakeholders, including operations and finance teams. To ensure that any complaints or enquiries for information are dealt with in a sensitive and timely manner and thank you letter for special donations are sent promptly. To maintain confidentiality and security of donors’ personal information and secure at all times. To work as part of a team, helping other team members where necessary. To behave in a manner that reflects the charity’s values. To carry out any other tasks as requested by the Direct Marketing and Digital Manager. Extent of authority: Liaison with other Muscular Dystrophy Campaign departments, supporters and external suppliers. Prioritising and planning own workload to ensure all projects meet deadlines and objectives. Liaison with appropriate staff without referral. Representing the charity to donors and the general public through dealing with enquiries and providing information. Initiative/analysis: Initiative in anticipating and solving problems in own area and informing line manager and colleagues of the impact as appropriate. Initiative in maintaining good relationships with other staff within the charity to assist in joint working, strengthen communication, solve problems and to ensure that the charity’s objectives are met. Analysis of projects and identifying and recommending new ideas for developing income. Initiative in maintaining a high level of sensitivity and tact when liaising directly with people affected by muscular dystrophy and related neuromuscular conditions. Proactive in gaining an understanding of the impact of muscle wasting conditions and knowledge of the charity’s work. Hours: 35 hours per week. Direct Marketing Assistant Person specification Education and qualifications Good educational standard (minimum A level standard or equivalent) Experience A minimum of 1 year’s experience of administration (preferably database administration) in a marketing environment Experience of using a database Experience of using Raisers Edge Experience of working in the voluntary sector Skills Accuracy in data input and data management Good level of computer literacy (Excel, Word, Outlook) and keyboard skills Excellent communications skills both verbal and written, and able to communicate at all levels Good levels of numeracy Proven proofreading skills, with attention to detail Personal qualities Good interpersonal skills and good telephone manner Confident, cheerful and friendly disposition and able to work as part of a team Well organised and methodical with initiative to manage own workload and multi-task Sensitivity and initiative when dealing with donors and clients A positive attitude to work, particularly new initiatives Willingness to develop knowledge about muscle wasting conditions Essential Desirable Essential Desirable Desirable Essential Essential Essential Essential Essential Essential Essential Essential Essential Essential Essential
