Job Profile and Person Specification Job title Reports to Department Job type Salary Date Database assistant Database administration manager Operations 7 month fixed term contract December 2016 Job Summary: The person in this role will pay a key part in maintaining the integrity of the data that is held in, imported to and exported from the charity’s fundraising and CRM application, Raiser’s Edge. The role is technical and involves running imports and exports of large volumes of data, regular manipulation of data, monitoring quality of data and carrying out administrative tasks on Raiser’s Edge, such as updating and amending records. Main duties and responsibilities: Importing data files from fundraising and marketing activity into Raiser’s Edge using processes and methods designed by and/or with colleagues in the Database support and Database income teams, and working to agreed SLAs. Ensure that all management information for files’ import and export is updated in a timely fashion for regular weekly audit by the Database Administration Manager and/or the Head of Operations. Ensuring that all management information and logs for files’ import/tasks undertaken is updated in a timely fashion. Support Raisers Edge’s core configuration including updating entries in ‘tables’ and donor and donation batch data updates. Running semi-automated data handling processes with MS Access to support data imports in a timely fashion. Maintain data integration applications – MS Access, Altova Mission Kit (Mapforce), Dataflux, Import-O-Matic, MS SQL. Carrying out manual data entry tasks for data that cannot be imported into Raiser’s Edge Ensuring that the integrity of the data is maintained and business requirements achieved for every import carried out by liaising with Finance fundraising teams and the other members of the Operations’ teams as appropriate. Creating Raisers Edge queries to support ad-hoc requests. Exporting and importing data files for data quality activities, as instructed by the Database Administration Manager. Database Support Assistant Carrying out key administrative support tasks on Raiser’s Edge such as merging records, setting up attributes, global changes and updating table entries. Carrying out data cleansing tasks to improve data quality within Raiser’s Edge. Supporting Raiser’s Edge upgrades and patches through testing, maintaining test and issue logs and carrying other tasks as required by the Database Administration Manager. Supporting the Supporter services team with their work through the effective management and provision of data required to manage communications with donors. Providing administrative support to the Database Administration Manager to ensure that the work of the Database support team and Database income team remain integrated and cohesive. Providing cover for the Database support and Database income teams by looking after the email inbox and distributing requests appropriately across the database teams. Carrying out other tasks as required by the Database Administration Manager and Head of Operations. Proactively flag any issues impacting Database Support’s or Database Income’s service delivery to the Database Administration Manager and work to resolve them. Supporting internal customer liaison with data related suppliers independently, or through the Database Administration Manager. To assist the Operations team as required in the implementation of the new CRM, Salesforce, e.g. data cleaning, testing, imports and exports etc. to agreed project timelines and deadlines. Furthermore to undertake training as necessary to facilitate the smooth running of the CRM project. Work to team objectives. Adhere to the charity’s policies and procedures.
