Main purpose of the role
This integral role within the Data Operations team is responsible for managing the importing of data
files onto the fundraising database from a variety of sources in a timely and accurate manner. This
involves developing an excellent understanding of all the data processes in fundraising in order to
ensure the accuracy of the data imported and provide expert advice to fundraisers and external
agencies. As well as having responsibility for importing data this role will also provide support to the
fundraising and supporter care team in terms of training, ad hoc requests and managing small
database development projects.
Key duties & responsibilities

To be responsible for the regular imports of data onto Raiser’s Edge using Access,
Import-O-matic and Excel to manipulate and import the data.

To manage the weekly schedule of imports to ensure all deadlines are met

To control the data flow onto the database and ensure that the accuracy of data imported is
consistently high.

To work closely with fundraising teams when briefing new suppliers or processes to ensure
we provide detailed and accurate data briefs.

To be responsible for managing the documentation for all importing processes, ensuring
they are kept up to date and accurate.

To constantly improve the processing to achieve greater efficiency and accuracy

To run the month end reconciliation process liaising with finance and produce the month
end reports.

To develop excellent working relationships with all third party suppliers so that a clear
understanding of how they work is achieved and we are able to obtain the best possible
service

To be knowledgeable with relevant legislation such as the Gift Aid scheme and the Data
Protection Act in order to ensure compliance with the data they are importing.

To provide support to the Database Manager in regards to maintaining the database eg
updating look-up tables, adding new users etc.

To deliver training to new users (content agreed with Database Manager)

To have responsibility for small database development projects and undertake key roles in
larger projects

To help keep all process and user documentation up to date


PERSON SPECIFICATION
Experience/Skills/Knowledge
E = Essential

Ability to understand the complexity of a busy fundraising department and the data
processes required to support this and to subsequently use this knowledge to develop
solutions for new projects or to improve existing processes. (E)
An understanding of database logic and demonstrable skill at using front end importing,
exporting and reporting functions (E)

4-5 years’ experience of supporting a SQL CRM (E)

Knowledge of Raiser’s Edge and Import-O-Matic (D)

Excellent knowledge of Access and/ or Excel (E)

Proven interest in developing and documenting new processes using existing or new
technological solutions and providing training and user guides (D)
Knowledge of the Data Protection Act and Gift Aid as they relate to a UK based fundraising
office (E)


Proven experience of understanding a business process and using this knowledge to ensure
the data loaded onto a database is accurate (E)
