Job title: Database Co-ordinator Reports to: Database Manager Overall purpose of post: The post will work as part of the Fundraising Support team in providing the highest level of database support to all Visual Alms users across Mencap. The key roles for Database Co-ordinator are: Manager of information Deliverer of customer services Problem solver Organiser Team player Deliverer of customer services The Database Co-ordinator will provide an excellent level of customer service to internal and external stakeholders, ensuring that the level of customer service is maintained at all times and when necessary problems are resolved effectively and efficiently. KPI’s: To be the first point of call for all database user support issues. To work with users and the database team to maintain database efficiency in a user-friendly environment Adopts an approach of continual improvement, seeking feedback from Alms users to understand how the database can be developed and delivering these improvements Resolves complaints, concerns and issues promptly and effectively, keeping relevant individuals informed and reporting to the Database Manager when appropriate Provides in-house Alms training to all users when the Database Officer is unable to Measures: 360 degree feedback, manager observations, maintenance of service levels Manager of Information The Database Co-ordinator will effectively maintain, collate and distribute information as required by both the Database Manager and Alms users. They will produce reports as required and ensure this information is accurate and in an accessible format for the audience it is distributed to. KPI’s: Run complex data selections against the database for marketing campaigns ensuring that: o The selection criteria is appropriate for the mailing o There are no inappropriate/duplicate contacts selected o Contacts’ approach histories are updated Responsible for providing research and data analysis to interpret insight throughout the Fundraising department, using the results to work closely with Fundraising teams to suggest improved methods of fundraising activity to drive the department forward Regular auditing of processes and viewer designs/layouts, with respect to feedback from users Responsible for running regular data hygiene updates to check the charity’s supporter data against deceased, goneaway and change of address lists. Liaise with external suppliers ensuring that data file formats are appropriate and accurate for mass importing into the database Measures: 360 degree feedback, manager observations, mailing/analysis files produced, database audits Problem Solver The Database Co-ordinator will demonstrate the ability to deal with problems when they come up and raise any issues or concerns with the Database Manager. KPI’s: Works closely with & provides support to the Database Manager in ensuring the database is put to best use; proactively identifying developments and enhancements that will enable the best results to be achieved Takes responsibility for solving and rectifying any problems, or for reporting them to their line manager Makes recommendations of how the Alms database or processes could be improved or where cost saving might be made Measures: 360 degree feedback, manager observations Organiser The Database Co-ordinator will organise their work in a way that enables them to be effective in their role KPI’s: Demonstrates the ability to work with limited direct supervision and is self motivated in their work Organises the work they need to do so they can complete all their jobs in the required amount of time Prioritises their jobs to ensure that the most important tasks are always completed to a high standard. KPI’s: Works with the Database Manager in producing protocols for use of the database and to ensure that protocols for use are adhered to by all users.
