Worksheets, workbooks, rows, columns, cells and ranges
1a. Explain the term ‘worksheet’
A worksheet is a single sheet of rows and columns in a workbook. It consists of all of
the cells on that single sheet
1b. Give an example of the use of worksheets within a business context
Any suitable example e.g. a different worksheet for each month of the year to keep
track of expenses; a different worksheet for each department in the business
1c. Explain, using an example, how data can be used across different worksheets
Data can be entered into one worksheet and then referenced by use of a formula or
function within another worksheet. When the data is changed on the first worksheet it
will update across all related worksheets
For example, the closing balance for January might be picked up as the opening
balance for February. If a change is made on the January worksheet, then the opening
balance on the February worksheet will automatically change.
1d. Identify three benefits of using worksheets






If a value on one sheet is changed it can be changed on all the others
Different displays can be used with different formats on each sheet
Worksheets can be hidden from other users leading to confidentiality of
individual departments’ data
They ensure that records do not get mixed up, each worksheet can have its own
access rights
Totals can be summarised on a master worksheet
Charts can be used on a worksheet to summarise data
2a. Explain the term ‘workbook’ as used in a spreadsheet
A workbook is a collection of worksheets which are stored together in a single file and
given a single name. Workbooks can contain links between different worksheets.

2b. Give an example of the use a workbook within a business context
An example of a workbook might be the sales for a particular branch or sales person
for a year. Allow any suitable example.
3a. Explain the term ‘row’ as used in a spreadsheet
A row is the range of cells that go across (horizontal) the spreadsheet/worksheet.
Rows are identified by numbers e.g. row 1, row 5
3b. Give an example of what might be contained within a row
A row might contain the headings of a table e.g. product ID, product name, price,
number sold
Allow any suitable example
4a. Explain the term ‘column’ as used in a spreadsheet
A column is a range of cells that go down (vertical) in a spreadsheet/worksheet. They
are identified by letters, for example, A, B, C
4b. Give an example of what might be contained within a column
A column might contain the number of items sold against each product.

5. Explain the purpose of a spreadsheet ‘cell’
A cell is an individual box within a worksheet. Every cell on a worksheet can be
identified by its unique cell reference e.g. C5, G8.
Cells are used to hold text, numbers or formulae. It can also allow references to data
elsewhere on the worksheet or within the workbook
6. Explain the purpose of a ‘range’ within a spreadsheet
A range is a group of selected cells which can be next to one another (adjacent) or
non-adjacent. They are identified by cell references e.g. A1:B6 or a name e.g.
sales_table.
