New Advertising Components Submission Form Released
COMIRB is pleased to announce a new form designed to simplify the submission process for study advertisements.
COMIRB is required to review recruitment material, and the policy to-date has required each individual advertisement be
submitted for review and approval prior to use; individual ads also had to be resubmitted for approval whenever changes
were made to that ad.
COMIRB's new Advertising Components Submission Form allows multiple text and/or picture options to be submitted and
approved in one document. Investigators can then create multiple advertisements using these text/picture options for study
recruitment; each individual ad does not have to be submitted separately to COMIRB as long as it uses only the options
approved on this form.
There are restrictions for use of this form:
- Field text options and pictures must be used on advertisements exactly as they appear on the Advertising Components
Submission Form. Text entries must be used en bloc and may not be edited in any way from the appearance on the form.
- All advertisements must include the COMIRB #, PI Name, and a Title/Header entry that includes the word "research."
- Any advertisement that uses text or pictures that have not been approved on the Advertising Components Submission
Form must be submitted separately to COMIRB.
- The Advertising Components Submission Form can be revised by submitting a change request to COMIRB.
- Any advertisement using audio or video must be submitted separately to COMIRB.
- Specific contact person/phone number should not be listed on the Advertising Components Form; generic blank
placeholders for these items allow for changes in contact personnel over time.

Tips To Streamline Your COMIRB Submissions

- Investigator Tasks: Please make sure that all investigators and research coordinators have completed all ongoing
education/COI requirements. Click here for more information.

- Version Dates: All documents submitted to COMIRB should include a version date. The version date should be the date
that the document was created or most recently modified, not the date of the current submission. Document version dates
should not be updated unless that document is being modified through the submission of an amendment to the study, or at
the request of COMIRB. Version dates are how COMIRB tracks content changes in documents, so, when the version date of
a document is updated, COMIRB knows that the content of that document has been modified.

- Naming Documents: When uploading documents into submissions through the eRA(InfoEd) system, a field will often be
present to provide a Document Name to identify that document within the eRA(InfoEd) system. It is imperative that
documents are named in a consistent fashion so that COMIRB is able to tell documents apart.
Below are the naming convention guidelines:
1. Provide a name for the file that clearly and concisely describes the document (there is a length limit).
2. The file name should always end with the document version date in the form, ‘v MM.DD.YY’
