Tricycle Theatre Co Limited trading as The Tricycle JOB DESCRIPTION MARKETING DIRECTOR ABOUT THE TRICYCLE Mission Statement: To present accessible work of the highest standard in theatre, cinema and visual arts, with a distinct voice responding to the local diverse community as well as maintaining a national and international profile. Educational work has the highest priority. Theatre: Seats 235, presenting both Tricycle and visiting productions for runs of usually four to six weeks and children’s shows on Saturdays from September to June, plus schools performances and Sunday Events. There is also a Rehearsal Room for in-house productions and outside hire. Cinema: Seats 290, showing independent first run European and American films, changeover each Friday, plus a Saturday Family film slot, Thursday & Friday Matinees, Weekend World films, specialised Film Festivals, Charity Premieres & fundraising Q & A’s. Art Gallery: In the Gallery exhibitions by artists who are either recent graduates of a recognised art school, or an emerging artist, or an artist of national or international stature, or representative of the diverse cultural nature of the community of Brent, are shown for five to six weeks. The Paint Box is run by the Artist in Residence offering tuition in painting and drawing, mainly for young people, in formal classes and as a drop-in facility. Education & Social Inclusion Programme: Linking all three art forms in a programme of workshops, outreach and training projects taking place in the James Baldwin Studio, The Paint Box and The August Wilson Creative Space, working with children and young people aged 18 months to 26 years. The attractive, welcoming and accessible building also offers a Bar & Café, and is open 52 weeks a year, 7 days a week. For more details of the programme & photographs of the building go to www.tricycle.co.uk MARKETING DIRECTOR 1 The Marketing Director heads the team responsible for all aspects of marketing and publicising, to an approved standard, all the activities undertaken by The Tricycle. S/he is responsible to the Artistic Director strategically and artistically, and to the General Manager financially and administratively. The Film Marketing Officer assists & deputises for the Marketing Director, and takes specific responsibility for marketing and publicising the Cinema and all associated activities, plus other tasks as designated. The Development & Marketing Assistant is shared between, & jointly managed by, the Development & Marketing Directors – currently two days a week in Marketing - & works on projects as delegated by the Marketing Director. There is also a close working relationship between the Marketing Director and the FOH Business Manager, Education Director and Development Director. The Box Office Manager answers directly to the Marketing Director on marketing matters & to the FOH Business Manager on operational matters. The Box Office system at the Tricycle is Databox, which the Marketing Director is expected to operate efficiently. The main areas of responsibility are: MARKETING: The Marketing Director is responsible for formulating marketing plans and schedules for all Tricycle activities using effective marketing techniques e.g. direct mail, e-flyers, email offers, special promotions, outreach work etc. E-marketing is an increasingly important tool in the Tricycle marketing strategy. PRINT: The Marketing Director is responsible for employing the designers of all print publicising the Tricycle’s activities, with the approval of the Artistic Director/Education Director, as appropriate. The Marketing Director, working within the standard Tricycle formats, time scales and budgets, briefs the designer, supplying accurate information and copy, proof reads and calculates quantities required. DISTRIBUTION: The Marketing Director is responsible for the efficient and effective distribution of all print, through mailing (in-house, agencies and “piggy-backs”), 2 distribution agencies, casuals, front of house, within an approved budget and time scale. MAILING LISTS/DATABASE: The Marketing Director is responsible for revising and updating targeted mailing lists currently held by the Tricycle, and works closely with the Box Office Manager to ensure that new customers are efficiently added to the system. The Marketing Director works closely with FOH to constantly increase the number of email addresses held. AGENCIES: Liaise with regularly discounted group bookers, e.g. Shape, & oversee Box Office liaison with Ticket Agencies as required eg the Half Price Ticket Booth. WEBSITE: The Marketing Director is responsible for ensuring the Tricycle website (www.tricycle.co.uk) is kept up to date and fully functioning. The website designers are Fetherstonhaugh, and Mind Unit manage the email data. ADVERTISING: The Marketing Director is responsible for scheduling and booking, within the Tricycle approved strategy and budget, adequate and effective advertising (display and classifieds as decided) in suitable local, national, daily and weekly publications (occasionally radio) in strict consultation with the Artistic Director/Press Representative/Education Director and others as appropriate, and supplying accurate copy, proof reading, monitoring results, etc. PRESS: The Marketing Director formally liaises with the freelance Press Representatives for both Tricycle and visiting productions, and major Film Festivals. On occasions, the Marketing Director, will deputise for the Press Representative at photo calls, non-Press nights, supply photos, answer Press queries etc. The Marketing Director is expected to flag up if there are other areas of the Tricycle Programme (Cinema, Children & Young People’s Programme, the Art Gallery and Visual Arts programme and fundraising events) which might require or benefit from specific Press coverage & make suitable arrangements. General listings and liaison with the four local newspapers are handled in-house by the Marketing Team. FRONT OF HOUSE DISPLAY: The Marketing Director is responsible, assisted by the Film Marketing Officer, for supplying and displaying all front of house material, within the approved Tricycle format, time scales and budget, in conjunction with Front of House staff. Photographers for Tricycle productions or education activities are 3 selected in liaison with the Artistic Director/Education Director as appropriate, and photographs ordered in consultation with the Press Representative, within the Tricycle approved formats and budget. THEATRE PROGRAMMES: The Marketing Director is responsible for collating all the information required for programmes (whether Tricycle productions or visiting productions) for delivering the copy in the Tricycle approved format in good time to the printer (John Good), proof reading and ordering adequate supplies. There are programme income and expenditure targets in addition to the normal budget. BUDGET: The Marketing Director is responsible for the strict adherence to, and the effective use of the annual budget provided (£180,000 in 2009/10) in liaison with the General Manager and the Finance Manager. This includes the Film Marketing Officer’s & Education Programme budgets. STAFF: The Marketing Director regularly engages casual staff for leaflet/poster distribution and “stuffing” envelopes, and occasionally for one-off research or telesales projects, within the budget provided. A volunteer works one morning a week to archive all press cuttings, under the direction of the Marketing Director. MEMBERSHIP: There are several Tricycle membership schemes for individuals and businesses, although membership is not obligatory. The Marketing Director is jointly responsible with the Development Director for marketing and publicising the schemes. VISITING THEATRE COMPANIES: There are approximately ten theatre productions at the Tricycle each year, of which about half will be visiting companies. The Marketing Director’s responsibilities for a visiting company are broadly similar to a Tricycle production, with additional liaison with those engaged by the visiting company. CINEMA: The Film Marketing Manager liaises closely with the Cinema Programmer (part time), and works on all film related matters as independently as possible, but ultimately the Marketing Director takes responsibility for this area of operation & covers when the Film Marketing Officer is away. EVENTS: 4 There are a number of regular fundraising events (e.g annual Gala Evening, Art Auction every two years) with which the Marketing Director assists the Development Director with publicity. OTHER: The Marketing Director is expected to: - manage their time effectively to meet required deadlines. - report to the Artistic Director and General Manager in writing on a weekly basis (“Thursday Report”) with an update on each production, event, etc. - prepare a Marketing Plan in writing for the Artistic Director & General Manager at least eight weeks prior to each Production. - during rehearsals be readily available for updates with the Director and the Company. - use Apple Mac computer and Word & Excel programmes & Databox. Experience of Photoshop and InDesign desirable. - in consultation with the Artistic Director invite and book guests and company comps for Theatre Previews and Press Night. - watch a Dress Rehearsal &/or first Preview of every production. - attend all Press Nights, (& other performances when Press present) to welcome Press & Guests and assist generally. - monitor Box Office & programme sales on a daily basis. - undertake audience/user surveys, as required. - carry out administration duties : assist answering telephones when necessary, answer general enquiries etc. - participate in outside events, e.g. Queens Park Day. - undertake external training courses as agreed, and attend Box Office training sessions, as agreed. - attend weekly Staff meetings and occasional Board Meetings. - - work with short-term work experience students &/or interns, as arranged by themselves or the Education Director. market the Cinema as a Conference Venue. 5 - any other duties as are mutually agreed. Hours: Based on 45 hours per week. Holiday: Four weeks per year, plus Bank Holidays, plus an additional five single days after two years continuous service. Sick Pay: Four weeks on full pay, and a further four weeks on half pay per year, after three months continuous employment. Trial period: Three months, during which the notice period will be four weeks. Notice: Two months. Pension: The Tricycle’s Stakeholder Pension Scheme Provider is Norwich Union. Salary: £28,545 in 2009/10 (Annual Review 1st April). Subject to minor alterations. September 2009. 6
