Job Description Job Title: Reports to Job Title: Location: Date: Salary: Database / Marketing and Events - Administrator Marketing and Events Manager Nature: Full time 35 hours per week 42 Park Road, Peterborough, PE1 2UQ Sept 2013 £16,500 Purpose of Job To ensure the smooth running of Shine’s Marketing and Events team activities, including admin support to the Marketing and Events Manager and Marketing and Events Officers, with an emphasis on updating and maintaining the main fundraising database. Principal duties ● To be a key source of administrative support for The Raiser’s Edge (the database used by all fundraisers at Shine) including collating, processing, and storing donor records, as well as managing the database to ensure that it is efficient and logically organised at all times; ● To research and compile reports from available data/statistics in order to support the Marketing and Events team in highly effective marketing campaigns; ● To provide administrative support to the Marketing and Events Manager and Marketing and Events Officers; ● To undertake typing of necessary correspondence/reports including thank you letters, fundraiser registration forms; ● To respond to both internal and external contacts at specified times, and to meet and greet visitors to the Marketing and Events team at Shine’s Head Office; ● To maintain effective control of ordering and invoicing of all printed materials and Shine merchandise; ● To monitor Shine merchandise and oversee cost efficient stock control; ● To provide admin support to projects, surveys and events as required; ● To coordinate appointments and events for the Marketing & Events team; ● To coordinate daily outgoing post from the department; ● To act as a key administration link person between Marketing and Events and other Shine departments; ● Any other duties consistent with the above, and any other relevant duties required as the job develops. Accountabilities ● Accurate data handling and entry on to required systems including The Raiser’s Edge; ● The efficient administration of developmental work both planned and unplanned; ● The effective communications between Marketing and Events and other Shine departments; ● Positive and efficient responses to internal and external enquiries and queries; ● The careful and efficient redirection of both internal and external queries to the relevant areas/people, when required; ● The meeting of required deadlines for operational administration. Skills, Experience & Personal Qualities ● Excellent keyboard/IT skills with knowledge of Word/Excel; ● Excellent literacy skills and good levels of numeracy; ● Pleasant and professional telephone manner, with the ability to respond consistently and positively under pressure; ● Knowledge and experience of data entry and using databases in a work environment; ● Ability to reliably organise a range of diaries/dates/records of movements; ● Ability to deal sensitively with a range of enquiries including those from people who may find communication difficult; ● Excellent listening and anticipatory skills; ● Flexible and willing attitude to work; ● Experience of servicing and organising meetings; ● Strong interpersonal skills; ● Demonstrated understanding of operational services; ● Capacity to produce high quality admin work to specified deadlines. Desirable ● Experience of Raiser’s Edge software (training can be given once in post); ● Experience of/ability to take accurate and correct minutes/note/actions in meetings; ● Experience of, and desire to work specifically in the voluntary sector; ● Experience of Powerpoint.
