Not only does this save time, but also prevents errors by reducing the number of entries.“ — Tracy Garon Hojka, Operations Manager, Whitnell & Company PCMi brings seamless integration to CRM Software’s Junxure and Advent Axys BUSINESS CHALLENGES Whitnell and Company, founded in 1988, is a Chicago-based registered investment advisor that specializes in providing sophisticated financial planning and investment management advice to individuals, families, trusts and foundations. The company manages approximately 800 investment accounts for their clients. The Whitnell focus is to provide wealth management strategies built on a complete understanding of their clients’ entire financial situation. Whitnell employs a team of investment managers, financial planners and a tax accountant to provide financial, investment and tax solutions. At the beginning of 2008, Whitnell chose CRM Software’s Junxure as their customer relationship management application. Junxure is a CRM application designed to help financial advisors manage information about clients and portfolios. Whitnell is pleased with the ease of use and customization potential of Junxure, and has created a custom table to manage the additional portfolio information. One of the challenges for Whitnell was how to use the information entered into Junxure to maintain portfolio address information, manage groups and performance composites and analyze portfolios in Axys. Manual entry into multiple systems increased the potential for errors and was time consuming. With limited resources Whitnell could not afford to dedicate time to redundant data validation. Whitnell is not alone with this challenge. In May 2008 Advisor Perspectives, a leading resource for advisor information, surveyed over 320 advisors and asked about their Operational and Technology needs. The top three troubling areas were document management, CRM and portfolio management, with the primary frustration being interoperability between systems. RECOMMENDATIONS / SOLUTIONS To solve their integration challenge Whitnell chose the Portfolio Composition Manager Interface (PCMi) developed by Blaze Portfolio Systems. The PCMi will import portfolio data into Advent Axys from any Microsoft SQL database or text file. Using the PCMi, Whitnell tackled their data integration problem and utilized portfolio information to enhance business intelligence, gaining a clear picture of their clients. Because many of the advanced options in Axys are only effective if the data is accurate and timely, the PCMi streamlines the process from end-to-end. The PCMi translation process is fully automated to run each night. A Blaze Portfolio professional worked with Whitnell to understand each of their data requirements and tailor the implementation to meet those needs. The PCMi was configured to capture primary contact addresses and a variety of portfolio information from both Junxure as well as a custom Microsoft Access database. RESULTS “Since PCMi takes over the role of communicating between Junxure and Axys, I do not have to devote employee resources to entering the same data into multiple databases,” said Tracy Garon Hojka, the operations manager at Whitnell. “This gives me confidence knowing that our data is consistent among all databases we use. I don’t worry about my data anymore because I know that it’s easy to enter, review, correct and maintain.” In less than one week Whitnell had a fully automated solution for updating Axys portfolio data with Junxure. Using the PCMi, Whitnell is now able to link over 28,000 data fields between Junxure and Axys. With the PCMi delta extract functionality only changes are imported into Axys providing a clean and streamlined interface. This data is used to create a variety of specialized reports for internal analysis and regulatory requests. With Junxure as the primary source for all portfolio data, users do not have to spend unnecessary time and effort maintaining two systems. “It’s a dream tool for novice and/or overworked database administrators who don’t have the time or knowledge to develop customized software solutions,” said Hojka.
