ACCOUNTING ASSISTANT I/II
DEFINITION
Under general supervision, prepares, processes and maintains a variety of statistical, financial,
billing and other records; compiles, investigates and verifies numerical or financial information such
as time distribution, records, invoices, expense claims, accounts payable and receivable; receives
and documents payments; and performs related work as required.
CLASS CHARACTERISTICS
Accounting Assistant I:
This is the entry level class in this series. Initially under close supervision, incumbents learn and
perform a variety of routine and repetitive clerical accounting duties related to the processing,
maintaining and preparing of statistical, financial, billing and related records. This class is flexibly
staffed with Accounting Assistant II, and incumbents normally advance to the higher level after
gaining experience and achieving proficiency which meet the requirements for Accounting
Assistant II.
Accounting Assistant II:
This is the fully qualified, journey level class in this series. Incumbents are expected to perform the
full range of duties under general supervision. An Accounting Assistant II is expected to perform
assigned duties with only occasional instructions or assistance. This class is distinguished from
the Senior Accounting Assistant by the latter’s independent judgement, level of supervision and
review received, specialization of duties, and broad knowledge and understanding of County, state
and federal laws, rules and regulations governing their specialties. In addition, incumbents may
have lead responsibility over others.
EXAMPLES OF DUTIES (Illustrative Only)
Essential:

Gathers, posts, verifies, balances and adjusts accounts, including details on financial
records

Processes accounts payable and accounts receivable

Prepares a variety of financial and statistical statements and reports requiring
arithmetical calculations; may assist with budget

Deposits warrants, checks and other monies received and posts and balances
appropriate journals

Reviews and processes vendor claims, including travel reimbursement, verifying,
checking and correcting information received and insuring funds are available in
appropriate budget category

Batches claims for computer entry; inputs, verifies and processes data

Maintains statistical and departmental files

Operates typewriter, calculator, computer and related office equipment

May print and issue daily warrants
Important:

Keeps a record of cash advances and credit card charges

Performs a variety of clerical duties such as typing and filing
QUALIFICATIONS
NOTE: The required level and scope of the following knowledge and skills relate to the level of
the position as defined in the class characteristics.
Knowledge of:

Basic accounting and bookkeeping practices

Standard office methods, practices, procedures and equipment, including computer
terminals

Correct English usage, including spelling, grammar and punctuation

Principles, practices, methods and terminology of financial and statistical record keeping

Spreadsheet software applications
Skill in:








Understanding and carrying out verbal and written instructions
Operating standard office equipment including computers and calculators
Applying County, state and federal regulations, laws and procedures
Performing clerical accounting work, including posting and verifying data
Preparing financial and statistical reports and maintaining journals and records
Applying county, state and federal regulations and procedures
Using independent judgement requiring speed and accuracy
Establishing and maintaining effective working relationships with those contacted in the
course of work
Education and Experience:
Level I:
Equivalent to completion of twelfth grade and at least two years of clerical experience at a
level comparable to the Office Assistant I with the County of Nevada.
Level II (in addition to the above):
Two years of experience at a level equivalent to Nevada County's classification of Accounting Assistant I.
Licenses and Certificates:
Possession of a valid California driver's license within 30 days of hire.
Some positions may require typing at a net rate of 40 wpm.
Physical Demands and Working Conditions:
Mobility and manual dexterity to work in a standard office environment; use standard
office equipment and attend off-site meetings; vision to read handwritten and printed
materials and a computer screen; speech and hearing to communicate in person and by
telephone.
Some accommodations may be made for some physical demands for otherwise qualified
individuals who require and request such accommodations.

Other Requirements:
Positions in this class which serve as Transit Dispatchers:
Positions in this classification are defined as "Safety Sensitive" per the U.S. Department
of Transportation Regulations. Individuals hired into these positions will be subject to
Pre-Employment Drug Testing, Random Drug and Alcohol Testing, Reasonable
Suspicion Right to Test and Post Accident Drug/Alcohol Testing.
This class description lists the major duties and requirements of the job and is not allinclusive. Not all duties are necessarily performed by each incumbent. Incumbents may
be expected to perform job-related duties other than those contained in this document
and may be required to have specific job-related knowledge and skills.
