TIPS FOR PLACING AN ADVERTISEMENT
q Decide what type of advertising you would like to buy (magazine
ad, billboard, newspaper, etc.) and from what company you would
like to purchase it (specific magazine publisher, billboard company,
news outlet, etc.).
q Contact the company and speak with an advertising sales
representative. Work with the advertising sales representative to
determine the answers to these questions:
o How much does it cost to place an ad?
o When will the ad run?
o Is there a contract that must be signed in order to place an ad?
o When is the artwork file due? (For example, a magazine
publisher may require that the file for the ad be submitted two
weeks or more before the magazine is actually printed.)
o What are the technical requirements for the artwork?
• Will this be a print ad or digital ad?
• What size does the artwork need to be?
• Will the artwork appear in color or black and white?
• Will the artwork need to include a bleed? If so, how much
bleed should be included in the file?
q If applicable, receive a contract from the advertising sales
representative.
o Be sure to send the contract to the university legal team for
review before it is signed.
o Have the contract signed by an individual authorized to sign
contracts on behalf of the university.
o Return the contract to the advertising sales representative.
Request that a copy of the fully executed document be sent
back to you for your records.
q Work with the Office of University Communications to have the
ad artwork designed by a professional graphic designer. (There
is no charge for this service.) Schedule a meeting to speak with a
graphic designer about the ad and have the following information
ready for your meeting:
o Content for the ad including all text and photos
o Technical requirements for the artwork
o Due date for the artwork
q Once your ad is designed and you have approved it, you will
receive the final file from the graphic designer. Email this file to
[email protected] for official approval.
q Once you have official approval for the artwork from University
Communications, email the artwork by the specified due date to the
advertising sales representative and confirm receipt.
q Follow all policies and procedures set forth by Procurement
Services to obtain a purchase order for placement of the
advertisement.
