Keystone Symposia Job Description Job Title: Department: Reports To: FLSA Status: Prepared By: Prepared Date: Position Held By: Marketing Assistant/Associate (depending on experience) Marketing Yvonne Psaila/Director of Marketing and Communications Exempt Human Resources March 19, 2013 The Marketing Assistant/Associate reports to the Director of Marketing & Communications and is responsible for providing diverse support to the Director to pursue the meeting attendance and branding goals of the organization. PRIMARY RESPONSIBILITIES: Post information about 50-60 Keystone Symposia conferences annually across the Internet, including on event and science websites, social media platforms (Facebook, etc.) and media sites and portals. Research new opportunities for getting the word out about Keystone Symposia meetings, including finding websites where meetings could be listed and scientist contact information obtained, plus identifying new potential partnerships with journal publishers, scientific societies and other conference organizations. Conduct research on: 1) meeting attendance patterns utilizing Keystone Symposia databases and working closely with IT Department, 2) new sources of prospect mailing lists and databases, and 3) results of Keystone Symposia marketing efforts using Google Analytics and other tools. Compile clear, succinct reports for the Director synthesizing research findings. Collect data and compile cost estimates on marketing opportunities such as journal and society event advertising. Manage organization’s Facebook page, create and maintain other social media platforms, research their relevance and report on their usage relative to the life science community, and stay abreast of evolving social media technologies. Perform occasional data entry and work with IT Department to incorporate new email leads into Keystone Symposia database. Assist Director of Marketing and Communications with development, design and production of print and online ads, flyers/brochures, posters, email marketing campaigns, web marketing projects, etc. Help identify opportunities for local community branding and PR. Prepare, package and ship marketing material to Keystone Symposia conferences and other third-party conferences. Help upload information and graphics to the mobile app. Occasionally work on-site at Keystone Symposia conferences and be available to take photos, deliver materials or perform other on-site functions. Back up Director of Marketing and Communications in proofing meeting abstract/program books and overseeing their print production. Assist the Director with administrative tasks and other projects as required. QUALIFICATIONS: 2-5 years of relevant marketing/communications experience. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Proficiency in Adobe Photoshop and InDesign. Proficiency in HTML/web design, XML Adobe Flash and Illustrator, social media platforms, YouTube and Google Analytics highly desirable. Knowledge of offset printing and creating print-ready PDFs. Understanding of graphic file formats including TIF, EPS, GIF and JPEG files. Strong analytical skills and ability to synthesize data and prepare charts and graphs. Organizational skills, ability to adhere to deadlines and attention to detail. Solid command of English language with ability to edit, proofread and occasionally write copy as well as reports and plans. Strong interpersonal/communication skills. Team player with the ability to show initiative. Demonstrated reliability. Ability to prioritize and balance multiple demands and deadlines with composure. Sound independent judgment and strong problem-solving skills. Education/Experience: Bachelor’s degree in a related field. Minimum of two years of relevant professional work experience. Salary Information: Position will require a minimum of 40 hours per week and will include benefits. Salary and job title will be commensurate with experience.
