Policy
Vacation Entitlements, Pay and Scheduling
Purpose
To ensure Accredited Supports to the Community has written policies and
procedures that are consistent with legislation addressing Alberta Labour Standards
Code
Policy Statement
ASC will adhere to Alberta Labour Standards, as minimum requirements, in regard
to vacation entitlement. In addition to Alberta Labour Standards, ASC will provide
additional benefits.
Alberta Labour Standards definition of a “week” is the actual number of days the
employee works in one given calendar week
For the purposes of calculating vacation entitlement, ASC recognizes the employee
hire date as the anniversary date.
Vacation requests must be taken at no less than ½ week at a time.
Alberta Labour Standards Vacation Entitlement & Pay
An employee must work for his/her employer for 12 months before an annual vacation is earned.
Vacation pay accrues during the 12 month period. An employee therefore qualifies to take vacation 12
months after his/her anniversary date (the day the employee started to work for the employer) and on
each anniversary date thereafter.
Subject to Alberta Labour Standards Code, an employer shall give to each of his employees:
a)
after one year of employment with the employer, an annual vacation of at least 2 weeks,
and
b)
after five years of employment with the employer, an annual vacation of at least 3 weeks.

month is an amount equal to the wage of the employee for his normal hours of work in a

b)
the vacation pay payable to an employee who is paid other than by the month:
In the case of an employee who is entitled to 2 weeks of vacation is an amount
equal to 4% of the employee’s wages for the year of employment with respect to
which the vacation is given, and
In the case of an employee who is entitled to 3 weeks of vacation is an amount
equal to 6% of the employee’s wages for the year of employment with respect to
which the vacation is given.
Labour Standards Code indicates that if an employer and an employee are unable to agree on a
mutually satisfactory date to start the employee’s annual vacation, the employer must give the
employee at least 2 weeks written notice of the date on which the employee’s annual vacation is
to start, and the employee must take the vacation at that time.
Vacation pay paid to an employee shall be deemed to be wages for the purposes of calculating the
vacation pay payable to the employee in the following year.
If an employee does not work for his employer for all the days he would normally have been scheduled
to work, the employer may reduce the employee’s vacation and vacation pay proportionately,
according to the number of days that the employee was expected to work but did not do so.
ASC Policy Re: Vacation Time Entitlement - Full-Time
Full-time employees shall be entitled to the following:
a)
after one year of continuous employment, full-time employees shall be entitled to 3 weeks
vacation leave per year.
b)
after five years of continuous employment, full-time employees shall be entitled to 4 weeks
vacation leave per year.
c)
after ten years of continuous employment, full-time employees shall be entitled to 5 weeks
vacation leave per year.
Note: Continuous employment may include more than one period of employment with ASC, if not more
than three months have elapsed between periods of employment.
* ASC may allow earned vacation to be taken after six months of continuous employment.

Part-time employees shall be entitled to the following:
a) after one year continuous employment, part-time employees shall be entitled to 2 weeks vacation
leave.
b) after five years continuous employment, part-time employees shall be entitled to 3 weeks vacation
leave.
c) after ten years continuous employment, part-time employees shall be entitled to 4 weeks vacation
leave.
Note: Continuous employment may include more than one period with Accredited Supports to the
Community, if not more than three months have elapsed between periods of employment, excluding
suspended time for personal or educational leave.
*ASC may allow earned vacation to be taken after six months of continuous employment.
ASC Policy Re: Vacation Scheduling
The ASC Vacation Request Form must be received by the immediate supervisor a minimum of one
month prior to being taken.
Vacation requests of 2 weeks or less will require 2 signatures (eg. the Immediate Supervisor and
Coordinator signature or Coordinator Executive Director/Services Director)
In addition, for vacation requests exceeding 2 weeks you must have the signature of the
Services/Executive Director.
Efforts will be made to accommodate requests where possible, however, vacation schedules must
minimize impact to individuals receiving services and business operations (eg. replacement costs).

Procedure
ASC Procedure Re: Vacation Pay - Full-Time
1.
Salaried employees will be paid for each week of vacation, an amount equal to the wage of
the employee for normal hours of work in a month, divided by 4-1/3.
2.
Hourly paid employees will be paid their vacation entitlement as follows:
a) if entitled to 3 weeks vacation, 6% of employee wages in the year vacation was earned.
b) if entitled to 4 weeks vacation, 8% of employee wages in the year vacation was earned.
c) if entitled to 5 weeks vacation,10% of employee wages in the year vacation was earned.
ASC Procedure Re: Vacation Pay - Part-Time
1. Part-time employees will receive vacation entitlement as follows:
a) if entitled to 2 weeks vacation, 4% of employee wages in the year vacation was earned.
b) if entitled to 3 weeks vacation, 6% of employee wages in the year vacation was earned.
c) if entitled to 4 weeks vacation, 8% of employee wages in the year vacation was earned.
ASC Procedure Re: Vacation Pay - Relief
1. Relief employees will receive vacation pay as follows:
a) Under 5 years continuous employment, 4% of employee wages
b) 5 years continuous employment, 6% of employee wages
c) After 10 years of continuous employment, 8% of employee wages
Earned vacation pay will be paid out on December 31st of each year or as requested.

The above calculations are based on taking the number of earned days divided by the number of
months per year to give the earned days per month.
Example:
10 days divided by 12 months = 0.83 days per month
ASC PROCEDURE RE: EXAMPLES OF CALCULATIONS FOR HOLIDAY PAY AND
TIME
♦ Payment of vacation dollars is based on a percentage of your wages earned for the applicable
months that the pay is earned. The actual dollar amount may vary, depending on your gross
income for the period vacation pay is being calculated on. Vacation pay is not paid out as regular
hourly wages. (see example of calculation below)

♦ As stated in Labour Standards, for the purposes of calculating vacation pay, gross wages and
gross hours do not include the following:
◊ overtime
◊ pay in lieu of notice of termination, and
◊ unearned bonuses.
Example of Vacation Pay Calculation:

Based on a 6% calculation - (4 months = 1 week)
Month 1 - $1500.00
Month 2 - $1300.00
Month 3 - $1500.00

Per Labour Standards - the following formula is for anyone that works a work week of less than 5
days:
Based on someone working 4 days per week and allowed the 6% (3 weeks per year) the following
formula applies:
4 days worked per week X 3 weeks per year of allowed time = 12 actual days off per year.
Based on someone working 3 days per week and allowed the 4% (2 weeks per year) the following
formula applies:
3 days worked per week x 2 weeks per year of allowed time = 6 actual days off per year.
**THE WORD “WEEK” RELATES TO HOW MANY DAYS THE EMPLOYEE ACTUALLY
WORKS IN ONE GIVEN CALENDAR WEEK.**
IF THE EMPLOYEE WORKS LESS THAN 5 DAYS PER WEEK AND AS AN EXAMPLE, IS
ALLOWED THE 6%, THEY ARE NOT ALLOWED THE 15 DAYS PER YEAR, BUT ARE
ALLOWED THE AMOUNT OF DAYS THEY ACTUALLY WORK PER WEEK X THE 3
WEEKS OF ALLOWED TIME OFF.
