Health Match BC www.healthmatchbc.org Industry Government, Healthcare Goals Health Match BC is a free health professional recruitment service funded by the British Columbia government. Replacing the outdated Health Match BC website and its associated web properties (which were originally designed in 2003) became a priority for the BC Ministry of Health between 2009 and 2010. The objective of this project was to create a robust and fully-integrated solution for both a public-facing website and a secure web application. The purpose was to improve the user experience associated with these web properties in order to better facilitate the recruitment of health care professionals, particularly physicians, who wished to practice in BC, and to assist with the logistics to ensure that health care professionals make a successful transition to BC. The specific objectives for this project were as follows: Partner Number 41 Media 101- 3045 Douglas Street Victoria, BC V8T 4N2 Canada www.number41media.com Charles Haigh [email protected] Integrate simple tools to supplement existing ways of relationship-building with candidates Include computer-mediated applications as an alternative to high-cost contact strategies Integrate social media to facilitate candidate self-discovery of Health Match BC Use a knowledge base model to handle repetitive queries Provide mentorship resources between colleagues not yet up to speed on new technologies Automate repetitive tasks to expand staff productivity Seek out and recommend technologies to improve processes It was also necessary that candidates be able to: Configure search criteria to tailor search results to their individual needs Match the opportunities with relevant and desired community amenities View search results both on the site and by email View contact information for Heath Match BC consultants at the appropriate points Use search filters to facilitate community choices for two professionals (couples wanting to immigrate) Browse through available opportunities Receive available opportunities, by practice area, through an email or RSS feed View the requirements associated to the position View information about the community demographics Finally, it was necessary that health agencies be able to: • Manage their own information Receive advance notification about key events Challenges Without a doubt, the size and complexity of both Health Match BC’s website and secure web application, coupled with compressed timelines across the span of the project, was our biggest challenge in this project. In order to complete such a large amount of complex work in such a brief timeframe, adherence to the established project plan was vital, as was anticipating and coordinating resourcing needs before these needs became problematic issues. Keeping these concerns in mind, we effectively managed our resources to deliver a feature-rich product on time and on budget. Solution Working with the branding and marketing expertise of Eclipse Creative, we considered the objectives of the website and application, along with their challenges, and developed a comprehensive plan to most effectively meet the needs of both Health Match BC and the website’s users. We built: A Health Match BC website which delivers all public (i.e. unsecured) Health Match BC content to general website visitors. Health Match BC staff use Kentico to update all website content, with the exception of the job listings and lifestyle content. Job listings and lifestyle content are fed to the website from the new Health Match BC database. A Health Match BC secure web application where authorized health practitioner candidates, Health Match BC staff, and health authority representatives can log in to view and act upon password-secured content. A Health Match BC database that houses all data for users accounts, candidate tracking, job postings, and lifestyle content. All of these components were designed with the user in mind. Along with the requirements and specifications identified in Health Match BC’s RFP, stakeholder requirements gathering sessions were conducted to guide the structure and design of the website. These sessions identified Health Match BC’s culture and mission as well as the project’s assumptions, constraints, and business requirements. From here, we applied the results of these sessions to the information and interaction design. Having been provided with a basic wireframe diagram from the RFP, we developed a full set of clickable, grey-scale HTML wireframes and instructions outlining what every page and process in the end product would look like. Through a series of iterations with input from and discussion with Health Match BC, we finalized the way in which information would be displayed on the website and how users will interact with the site to gather information and perform tasks. Once the information and interaction design had been determined, the Eclipse Creative graphic designer used the information from our requirements gathering sessions, as well as the wireframes to create a complementary design system for both the website and the secure web application. At the same time, we used the wireframes to produce data models for the databases that were required to drive the functionality of the website and web application. Once all of these components were finalized, we proceeded to build the Health Match BC website and web application, using Kentico as the content management system for the website. This build phase was completed in iterative stages, starting with the major components of both the website and the web application, moving on to minor components and finally refining all elements as needed. Changes and updates continue to be implemented on both the website and application.
