Writing Your Own Reports in the Data Mining Module Advanced Level – Data Mining APMe-12 Presented by: Sherrie Beasley Writing Your Own Reports in the Data Mining Module • Introduction – Data Mining is a multidimensional analysis toolset • Interfaces with Microsoft Excel • Built on the Microsoft analysis Server Platform – Data Mining is not meant for a list of patients or their transaction data • Too many dimensions or measures may not work (not Responding) – Limit the number – Insert a buffer – Data Mining updates overnight • The data is not available real-time – Last update date and time is visible on the Select Cube window – In the upper right corner when a report is open Writing Your Own Reports in the Data Mining Module • Taking your reports to the next level Features and functionality available on the right click menu and icons – Formatting – Expand/Collapse – Grouping – Normal numbers and Percentages – Filtering – Copying Writing Your Own Reports in the Data Mining Module How to Build a Data Mining Report • Go to Applications and select Data Mining - OR – • Click on the Data Mining icon How to Build a Data Mining Report • Click Add New button • Select an Analysis Cube pertaining to the kind of report you want to build How to Build a Data Mining Report • Appointment Analysis: Cube containing information from patient appointments • Control Analysis: Cube containing information from individual controls • Patient Analysis: Cube containing information from patient accounts • Transaction Analysis: Cube containing information related to transaction detail • Visit Analysis: Cube containing information related to visits A Data Mining Glossary will be made available to attendees. This glossary will help users better understand what each measure and dimension is reporting How to Build a Data Mining Report • Each Analysis Cube has its’ own Field List • The field list consists of Measures and Dimensions – Measures are inserted into the body of the report • These are your AMOUNTS / TOTALS – Dimensions are inserted into Filter, Row and/or Column areas • These are your REPORT FIELDS How to Build a Data Mining Report – Screen Layout Filter Area Row Area Column Area Field List How to Build a Data Mining Report – Screen Layout • Filter – Entire report is passed through the filter – Often used for a date field • One or more dimensions can be added to the filter area • Area may be left blank • Row – One or more dimensions can be added to the row area • Column – One or more dimensions can be added to the column area • Deciding where to put a dimension depends upon how you wish to format your report How to Build a Data Mining Report – Adding Data • To insert a Dimension or Measure into an analysis, there are 2 methods: – 1. Highlight and select Add to Data Area • Select report area from drop down at bottom of list – 2. Click and drag to data area How to Build a Data Mining Report – Reordering Items • Re-order the items in a dimension by clicking and holding the left mouse button down – A blue bracket will display – Release the left mouse button when the bracket is where you want the item How to Build a Data Mining Report – Filtering Data • After adding dimensions to the report you can click on the drop down arrow by the dimension name and choose (filter) the data you want to include in the report Tip: to save keystrokes - Uncheck (All) and check what you want How to Build a Data Mining Report - Removing • To remove a dimension or measure from a report – – – – Click the name Hold the left mouse button Drag to the top of the screen until you see the delete icon Release the mouse button • There is not an un-do button • Re-add from the field list if needed How to Build a Data Mining Report – Adding Measures • • Now that dimensions are selected you are ready to add the measures (data) to your report The measures are in the Totals area of the field list – Drag and drop or double click the measure you want • You can continue to re-order the dimensions on the report after adding the measures How to Build a Data Mining Report • Additional functionality and formatting is available – Right click menu – Icons • Click in the dimension header name (field name) and select the option you wish to apply How to Build a Data Mining Report - Commands and Options • Commands and Options functions are used to improve appearance or readability of reports – Open from either the icon bar -OR– Right click menu How to Build a Data Mining Report - Commands and Options Select Field Format Text Add Shading How to Build a Data Mining Report - Commands and Options • Add/Change Caption • Format Font including type, size, color, back ground color How to Build a Data Mining Report - Grouping • Group to combine data on a column or row – Creates a higher level grouping – Unselected items are grouped together – Groups can be renamed using Commands and Options > Captions tab How to Build a Data Mining Report - Grouping • For example: Group Insurance Payments and Private Payments and create Total Payments • Group Charges and Adjustments into separate groups • Add a caption to each group How to Build a Data Mining Report - Expand and Collapse • To view all of the data on a report use the expand feature • To show (Expand) lower level items – Click on the field – Click in the field name and do either of the following • Right click > Expand Items • Click icon How to Build a Data Mining Report - Expand and Collapse • To hide data on a report use the collapse feature • To hide (Collapse) lower level items – Click on the field – Click in the field name and do either of the following • Right click > Collapse Items • Click icon How to Build a Data Mining Report - Show Options • View report data as Normal numbers (counts and amounts) • View report data as Percentages – Percent of Row Total To display the values as a percentage of the total value of each row. – Percent of Column Total To display the values as a percentage of the total value of each column. – Percent of Parent Row Item To display the values as a percentage of the total value of the item's parent in the row axis. – Percent of Parent Column Item To display the values as a percentage of the total value of the item's parent in the column axis. – Percent of Grand Total To display the values as a percentage of the PivotTable list's grand total value. Note: Data cannot be displayed as normal and percentage at the same time. How to Build a Data Mining Report - Show Options Aged A/R in dollars Aged A/R in percentage How to Build a Data Mining Report - Show Only • Show Only the Top • Show Only the Bottom – View by numbers or view by percentages How to Build a Data Mining Report - Sorting • Sort Ascending • Sort Descending • To sort the data in a field based on the item labels, click the label of the field that contains the data you want to sort on. • To sort the data in a field based on the summary values in a column, click a cell in the column that contains the values that you want to sort on. • To sort the data in a field based on subtotal or grand total values, click a subtotal or grand total value for the field that contains the data you want to sort on. How to Build a Data Mining Report – Saving and Naming the Report • Click Save in the upper right corner of the screen • Name the report • Check Private to current user to isolate your report from other users Tip: Save reports with all fields collapsed so that the report will run efficiently next time you open it! How to Build a Data Mining Report – Opening Saved Reports • Open drop down in upper left corner and click on report – Reports display in order they are saved • Report displays as it was last saved – Select dates or other appropriated field(s) to update report data How to Build a Data Mining Report – Applying Changes to an Existing Report • Saved reports can be edited as desired – Apply changes to previously saved reports – To update the existing report don’t change the name of the report – To make another version of a report give the report a new name How to Build a Data Mining Report – Exporting to Excel Using Print button • Export the results to Excel, by clicking on the print icon – The report will display in Excel Print Preview • Page setup is available – Close Print Preview display the report in Excel How to Build a Data Mining Report – Export to Excel • Export the pivot tables to Excel, by clicking the export icon (allows spreadsheet to auto update) How to Build a Data Mining Report – Copy to Excel • Another option is to right click and select Copy • Open Excel and paste How to Build a Data Mining Report – Copy to Excel • The pivot table will not be available • You may need to format the cells to Auto-Fit to Contents How to Build Data Mining Reports – Export to Excel If you are familiar with Microsoft Excel PivotTable reports and want to work with the data in Excel You might notice some differences in your PivotTable list after you export it to Excel. This is because Excel PivotTable reports either do not support certain PivotTable list features, or they implement some features differently. For information about differences between PivotTable lists and Excel PivotTable reports, see Excel Help. How to Build a Data Mining Report – Delete Report • Saved reports can also be deleted – Click the delete button in the upper right hand corner of the screen • Be Careful!
