2014-2015 Business Staff Application
Thank you for your interest in the Michiganensian Yearbook. This document contains information about
business staff positions as well as the application, which must be completed before consideration for a staff

It is important to understand the Michiganensian Yearbook is a collaborative effort and can be a
considerable time commitment. The following outlines requirements that pertain to the entire staff:

Office Hours:
Each week, staff members are asked to spend a given amount of time in the yearbook office. This
requirement is flexible around your schedule and other commitments, and may be broken up throughout
the week. While office hours are intended for yearbook assignments, staff members may use the time for
unrelated activities such as homework, so long as they perform required office tasks as needed.
Marketing:
The yearbook is funded by sales, thus the more books purchased, the more money is available for
production. In order to increase awareness of the book on campus, all staff members are expected to
participate in an average of one hour of marketing events per week. Those selected for positions within the
marketing team will be expected to contribute additional hours over and above the weekly one-­hour
requirement.
Meetings: Staff members are expected to attend bi-­weekly meetings. Meetings are relatively brief and are
intended to help facilitate communication and collaboration among the staff as a whole.
the positions
The business staff functions as a team, as does each division within it (Marketing, Sales and Operations).
Staff members may be asked to perform tasks outside their normal job description on occasion in order to
assist with overall organization. The following outlines specific staff positions and their respective
responsibilities. Each position is expected to complete four office hours per week unless otherwise noted.
Marketing:
Director of Marketing: Oversees the creation and implementation of the marketing plan. Monitors
staff participation in all scheduled marketing events and facilitates communication and cooperation on
projects between members of the marketing team.
Campus Marketing Coordinator: Organizes staff to help with flyering, chalking and promotional
tables around campus. Expected to plan weekly marketing times for all staff members to fulfill their
marketing requirement.
Communications Coordinator: Schedules and implements all promotional mailers, parent and
student emails, phone campaigns and more. Works with designers to have necessary materials created.
Maintains and updates the Ensian’s social network accounts (Facebook and Twitter) to promote the
yearbook and keep followers up-­to-­date on noteworthy news and events.
Marketing Designer: Creates and carries out effective marketing materials. This position offers a lot of
opportunities for creative input within our design standards. Interested candidates must submit an
attached portfolio with examples of their work in order to be considered. Time commitment could
exceed four hours each week depending on time of year and your personal design speed.
Sales:
Members of the sales team will receive a commission on all finalized sales they make.
Display Advertising/ Sponsorship: Sells advertising page space to local companies to be placed in the
yearbook. Coordinates and sells sponsorship for events such as Senior Portraits and our annual
Graduation Extravaganza in addition to sponsorship for marketing materials such as mass mailers.
Organizational Sales & Outreach: Coordinates the sales of page coverage to student organizations
that will be placed in the book DQGobtains and organizes the necessary coverage content (photo, quotes,
etc.). Reaches out to organizations and clubs around campus to establish partnerships with the
Michiganensian to increase the book’s recognition.
Operations:
Office Manager: Maintains the upkeep and organization of the yearbook office and keeps track
of stock on all supplies. Serves as main correspondence with customer base by addressing all
inquiries through returning phone calls and emails. Plans all social events, keeps track of office
hourV and meeting attendance, and updates online and in-­office calendars along with the ladder
display in the office. Time commitment will exceed 3-­5 hours each week.
Graduate Affairs Coordinator: Works with Herff Jones and Jostens College Division to
organize Senior Portraits and plan grad event collaboration throughout the year. Coordinates
with marketing staff to promote each event and organizes business staff to help in reconciliation
of transactions during portrait sessions and other events. Plans and implements semi-­annual
“Graduation Extravaganza” in the fall and winter semesters.
Data Manager: Manages database of current and previous year’s yearbook [and other product]
orders. Enters current year orders as they come in. Some weeks with high order demand may
require more than 4 hours of time.
Business Analyst: Updates sales statistics from all lines of business, produces monthly reports,
creates shipment list, and keeps track of distribution. Completes accounts payable reports and
assists with budgeting. Works closely with Business Manager to produce variance analysis
reports, updated cash flow forecasts and staff payroll.
Fundraising Coordinator: Completes applications for funding from campus sources (i.e. MSA);;
works with marketing team to plan occasional fundraising events (bake sales, restaurant nights,
etc.) to supplement book sale revenues. Eligible to receive commission on a portion of money raised.
