HOW TO REQUEST CONTENT MANAGEMENT OR WEB SITE MAINTENANCE To submit a request to update content on a City organization web site, please send an email to [email protected]. To expedite the update process, please include the following information in the update request email: In the subject line, state which City organization the update is for In the body of the email, state clearly what section the updates are for giving the exact URL (web address) whenever possible If you are attaching files, list the name of each file and a description. To ensure that your converted documents resemble the originals as close as possible, please follow the guidelines listed below. Spacing Do not use the tab key or multiple spaces to center or position text on a line. Instead, use your word processor’s Center or Align Right feature. Line breaks Do not use the Enter key to force a line within a paragraph to move to the next line. Instead, keep typing and let your software wrap the lines automatically. Do not use Shift-Enter or Space-Enter either. Paragraph breaks To end a paragraph and begin a new one, press Enter. To end a line within a paragraph, press Shift-Enter. The two will look identical in your word processed document, but when translated into HTML any lines you pressed Enter after will have an extra blank line following them. If you use the ShiftEnter combination, they will not have an extra blank line. Shift-Enter is useful for centered headings, where you want each line to follow the other with no blank lines separating them. Indenting Do not change the margins to create indents. Instead, use the Increase Indent feature. Columns Do not use tabs or spaces to create two or more columns. Instead, use a table. This will permit you to use word wrap within each column, and the layout will be translated correctly into HTML. Tabs and multiple spaces cannot be translated. SFGov Web Team © 2002 Page 3 Web Services and Guidelines Text boxes Do not use text boxes because the text will be lost upon conversion into HTML. Instead, type the text in a table and use borders. Bullets and automatic numbering Do not use both manual and automatic numbering or bulleting in the same document. Instead, use either the word processor’s Bullets feature for the entire document, or type in all the numbers manually. Repeating headings (titles, page numbers) Do not type items that you want to appear on each page, such as titles and page numbers, in the body of the document, because they will show up in the middle of the text of the web page. Instead, use a header or footer. Small caps Do not use the Small Caps font style. Text formatted with small caps will inconsistently translate into all caps, all lower case or an unattractive combination of both. Bullets Do not use WingDings or DingBats to create bullets, because they won’t translate into HTML. Instead, use your word processor’s automatic bullet feature. Check boxes Do not use WingDings or Dingbats to create a check box, because they won’t translate into HTML. If you need a check box, please contact the web team for formatting options. Hidden text, revision markings, and sticky notes Remove any hidden text, revision markings, or sticky notes from your document before you send it to the webmaster. If you don’t, the text will appear in the document after conversion into HTML. Landscape orientation Be aware that the web has a portrait orientation. Any document formatted in landscape will be converted to portrait. For better results, try to format all documents to be posted to the web in portrait orientation. Please alert the web team if you have used footnotes and endnotes in a document, so they can be preserved. SFGov Web Team © 2002 Page 4
