W ELCOME TO C HANCERY SMS
G RADEBOOK
Chancery SMS Gradebook is a smart client application that works in
conjunction with Chancery SMS to help you organize and work with student
grades. While Chancery SMS is the central information repository where all
student information is stored, the Gradebook enables you to create and
organize assignments, record scores for homework and exams, and create
individualized notes for each student you teach. Once your gradebook is
created on your computer, you can use Chancery SMS Gradebook when your
computer is not connected to Chancery SMS; however, you must periodically
log on to Chancery SMS to synchronize your gradebook.
This guide explains how to install Chancery SMS 6.5 Gradebook on your
personal computer. For information about using the Gradebook, see the
Chancery SMS Gradebook User Guide.
System Requirements
The Chancery SMS Gradebook can be installed in both Windows or
Macintosh environments. The following table shows the hardware and
software requirement for each operating system:

Note
If Gradebook won’t run on your Mac, make sure you are
running the correct version of Java:

From the Apple menu, click About This Mac, then
click More Info.
2 On the Apple System Profiler tab, click Applications.
Scroll down until you see Java Plugin Settings and
select Java Web Start.
3 Make sure you have Java Web Start 1.2, and Java
RunTime 1.4.2_x.

You can download the Java 1.4.2.x Runtime Engine from
http://java.sun.com/j2se/1.4.2/download.html. The Java Web Start is included in
the Runtime Engine or can be downloaded separately from
http://java.sun.com/products/javawebstart/downloads/index.html#1.4.2

By default, all Gradebook permissions are set to “No”. To change your
Gradebook permissions, contact your system administrator.
Installing Chancery SMS Gradebook on a
Personal Computer
Depending on how your district has set up the Gradebook installation, you
may be able to install Chancery SMS Gradebook on your personal computer
using one of the following methods:
•
Gradebook Quick Link
•
Installer located on a shared network drive or CD
Installing Gradebook using the Quick Link
If your district allows remote access to Chancery SMS, you can use the
Gradebook Quick Link to install the Gradebook on your personal computer.
Using the Gradebook Quick Link ensures you always install the most
up-to-date Gradebook version for the current version of Chancery SMS. For
information about using the Gradebook Quick Link, see “Using the
Gradebook Quick Link” on page 3.

Before you can use the Gradebook Quick Link, you must add the link to your
home page. For more information, see “Adding the Gradebook Quick Link to
Your Home Page” on page 3.
Adding the Gradebook Quick Link to Your Home Page

Log on to Chancery SMS from your personal computer.

On your home page, from the Actions menu, click Customize Home
Page.

On the Customize Home Page page, from the Available Quick Links list,
select Gradebook 6.2.1 or Higher and move it to the Quick Links on
Home Page list.
If the

not available,
contact your

Note
If your computer does not have the Java Runtime Engine, a security warning
might appear before your computer downloads it. If so, click Yes and follow
the onscreen instructions to download and install the Java Runtime Engine.
If the Gradebook Quick Link is not available, add
it to your home page. See “Adding the Gradebook
Quick Link to Your Home Page” on page 3.

The Progress dialog shows the status of the installation.

In the SMS Gradebook - Desktop Integration dialog, specify whether you
want to create shortcuts on the Desktop and Start menu:

Select one of the following options and click OK:
• Always integrate java applications into the desktop.
• Never integrate java applications into the desktop.
• Ask before integrating java applications into the
desktop. This is the default.
When the installation is complete, the Log On window opens.
When you use the Gradebook
Quick Link, the Server field is
automatically filled in and
does not appear on the log on
page by default. To view the
Server field, click the Options
button.

Installing Gradebook from the Network or an External Storage
Device
If your district has made the Gradebook installer available from the network,
you can either log on to the network from your personal computer and install
the Gradebook, or you can copy the installer to an external storage device,
such as a CD or portable hard drive, and use the device to install the
Gradebook on your personal computer.
Note
When you install Gradebook from the storage device or through a network
installer, Desktop shortcuts are automatically created.
TO INSTALL THE GRADEBOOK USING THE INSTALLER ON A NETWORK OR CD:

On the network, locate and double-click “SMS Gradebook Installer For
Win” or “SMS Gradebook Installer For Mac”.
OR
Insert the Installation CD in your drive. If the installer doesn’t start
automatically, locate and double-click “SMS Gradebook Installer For
Win” or “SMS Gradebook Installer For Mac”.

The InstallShield Wizard starts the installation process.
If your computer does not have the Java Runtime Engine, it is
automatically installed.

When installation is complete, shortcuts for Chancery SMS Gradebook
and Java Web Start appear on the desktop.

To start the Gradebook, on the desktop, double-click the Chancery SMS
Gradebook icon (
).
A progress bar shows the status of the Gradebook installation.
When the installation is complete, the Log On window opens.
Logging On to Chancery SMS Gradebook
The first time you log on after installing Gradebook, the Gradebook must
have access to a gradebook file. If your computer is connected to Chancery
SMS, Gradebook will have access to your gradebook file. If you are working
offline, you can copy your gradebook file from another computer, e.g., you
can copy your gradebook file from your school computer to your personal
computer. For more information about saving and retrieving gradebooks as
files, see the Chancery SMS Gradebook User Guide.
Note
The first time you log on to Chancery SMS Gradebook, Chancery SMS creates a
gradebook file on your computer. It might take a few minutes for your gradebook
file to open.
After the first time you log on using that computer, when you subsequently
log on, the gradebook displays the data you last worked on.

To log on, you must enter your Password and User ID, both assigned by your
Chancery SMS administrator.
if Chancery SMS has a record of
the server used for a previous
log on, it automatically enters
the Server field and the field
does not appear on the log on
page by default. To view or
change the server path, click the
Options button.
TO LOG ON:

In the User ID field, enter your Chancery SMS user name.

In the Password field, enter your Chancery SMS Password.

If necessary, in the Server field, enter the server address for the
Gradebook.

To show or hide the Server field, click Options.
