JOB DESCRIPTION Part 1: JOB PROFILE JOB TITLE: Data Analyst JOB HOLDER: Vacant 1 June 2014 MAIN PURPOSE OF JOB To support the mission in delivering effective supporter focused EMS/CRM strategies that will manage all aspects of its relationships with donors, supporters, volunteers and other key stakeholders along with the changing Donor demographic of the Mission. To identify and effectively manage the technology that comprises the new EMS/CRM platform, also ensuring it is an efficient and effective tool(s) that supports and delivers on all requirements within the mission, especially fundraising strategies; as well as ensure best practice and compliance with UK Data Protection legislation. 2 POSITION IN ORGANISATION 3 Reports to the Direct Marketing Manager Works closely with Fundraising, Supporter Care and Marketing and Communications’ teams. SCOPE OF JOB EMS/CRM strategy Data capture & data quality Data mining DIMENSIONS & LIMITS OF AUTHORITY Responsible for ensuring compliance with Data Protection legislation QUALIFICATIONS & SKILLS LEVEL Degree or work acquired equivalent, preferably in an IT related subject Minimum of three years’ experience as a data analyst with a recognised EMS/CRM 4 5 6 PROVEN ABILITY Fully conversant in an industry recognised CRM system such as Raisers Edge, Progress, Thank Q, Salesforce Competent in relational database theory and practice Fully conversant with SQL or other query language structures and usage High degree of accuracy and attention to detail JOB HOLDER: IMMEDIATE SUPERIOR: Part 2: DUTIES & KEY RESPONSIBILITIES JOB TITLE: Data Analyst JOB HOLDER: Vacant 1. EMS/CRM strategy 30% To evaluate TLMEW’s current CRM system, workflow & processes and develop a strategy for the future, including a change of technologies if appropriate. Project manage the selection and implementation of any new CRM system/advancement of existing system, delivering appropriate internal training and support programmes and procedures. Responsible for ensuring TLMEW EMS/CRM systems are fit-for-purpose , meet the Mission’s strategic needs and are in line with best practice within the third sector To support and deliver on all data aspects of the fundraising strategy, reporting donor segmentation and analysis. Provide leadership, advice and training to all within TLMEW (including volunteers), on best practice on the use of the EMS/CRM system and the implementation of work flow processes to aid efficiency. Participate in cross-team meetings to represent the Fundraising team, as well as work cross-functionally with other teams in developing possible long term strategies and projects that will benefit the organisation in terms of the capture, recording and use of supporter data. 2. Data capture and data quality 40% To be the internal champion of the EMS/CRM system , emphasising the importance of data quality and completeness. Develop automated importation processes of supporter data from third party sources. To manage the maintenance of the EMS/CRM system through data cleansing and restructuring to ensure the integrity of data. Train all staff in the use of the EMS/CRM system, appropriate to their level of need. To maintain and communicate data workflow protocols updating existing practices to ensure consistency in the use of the system and promoting best practice. Responsible for providing the necessary support and framework that would enable the mission to engage with supporters through our website and other various platforms including the use of social media. To ensure that data use complies with Data Protection requirements. To manage system upgrades as and when applicable. To continuously develop the EMS/CRM in line with the TLMEW Strategic Plan. 3. Data mining 30% To work across teams within TLMEW to maintain and further develop business processes and procedures, to ensure a smooth implementation of systems in relation to income processing and donor care. To be the main contact in the reconciliation of voluntary income with Supporter Relations and the submission of Gift Aid claims. Responsible for co-ordinating, monitoring and updating the Fundraising probability budgets in relation to the forecasting of budgets produced by Finance. Responsible for developing & implementing policies & procedures on issues relating to the handling of supporter data, processing of donations and the stewarding of donors, which will help the Fundraising team to be confident & consistent in our handling of supporter information. Responsible for ensuring supporters are receiving the highest standard of supporter care by regularly reviewing and developing the processes of our stewardship policy, in relation with other team leaders. Liaise with Fundraising and other organisational stakeholders in developing and delivering supporter strategies and procedures that handle the capture, recording and use of supporter data, to ensure proper governing and compliance with legislation. Develop solutions that support the changing requests for supporter information to be collected & used in relation to both on and off line platforms. Carry out other duties which may be required to ensure the team maintains its effectiveness.
