JOB DESCRIPTION Job title Department Location Responsible to Hours Fulltime Equivalent Hours Communications Coordinator Marketing and Communications Mill Hill, London Marketing and Communications Director 35 hours per week 35 hours per week Main Purpose of the post Working with and coordinating the activities of external marketing; PR; Digital and design organisations to implement a planned programme of marketing and communications initiatives to generate income, raise the awareness and profile of Retail Trust and its products and services. This role will be the conduit between external marketing; PR; Digital and design organisations and Retail Trust, ensuring that the Retail Trust marketing strategy in all forms is delivered to an exceptional standard, on budget and to agreed timescales. Main Duties 1. Agencies and Other Third Party Organisations Assist in briefing, managing and monitoring the performance of marketing, digital, advertising, design, public relations agencies and other companies – ensuring that agreed KPIs, timescales, costs are delivered. 2. Marketing and Communications Strategy Work with external agencies and Marketing & Comms Director to ensure that the marketing and communications strategy is kept up to date with the changing needs of Retail Trust’s strategic direction and is communicated to and includes information from all relevant Retail Trust employees. Assist in ensuring this strategy and other action plans are fully understood by trustees, patrons and fundraising and other staff throughout Retail Trust. 3. Retail Trust Responsible for being fully conversant with all aspects of Retail Trust’s charitable work nationally and especially our charitable work and fundraising activities, which will have an impact on raising awareness and marketing strategy 4. Media Plan Assist the Public Relations Agency in implementing a rolling programme of initiatives throughout the media related to the retail and related sectors. Build awareness of Retail Trust and our products. Ensure that the requirements of all the Retail Trust team are communicated to the relevant external organisations and that agreed KPIs and targets are delivered 5. Website Responsible for coordinating the content, maintenance and relevance of the Retail Trust website. Keep aware of developments in this field. Develop links with retail companies to include Retail Trust information and activities on their website. 6. Budgets Document1 Assist in ensuring all commitments and expenditure are recorded and do not exceed agreed budgets. 7. Legislative Requirements Ensure all activities meet with the Charity Commission requirements, the Charities Act, the Data Protection Act and all other relevant regulations. 8. Administration Monitoring income and expenditure and ensuring they are in line with budgeted levels. Process orders and invoices accurately and in line with Retail Trust’s procedures. Responsible for contributing to a monthly report include income and expenditure against budget. 9. Health and Safety Being aware of and complying with safe working practices as instructed and in accordance with Retail Trust’s policies and procedures; attending training as required. Contributing to the maintenance of a safe environment for staff and those attending events by immediately reporting any unsafe practice or situation directly to the department responsible and to the Chief Executive or Comms & Marketing Director. Reporting any defective equipment directly to the department responsible and to the Chief Executive or Comms & Marketing Director. Reporting accidents using the appropriate procedures. Acting calmly and responsibly in an emergency and responding to instructions. 10. General Complying with Retail Trust’s Policies and Procedures. Contributing to the development of Retail Trust’s philosophy. Participating in staff meetings to improve communication within the charity. Promoting positive working relationships between all Departments, working in a collaborative and co-operative manner to ensure that the highest standards are maintained. Attending staff meetings, training and development and staff supervision meetings. The potholder must at all times carry out responsibilities and duties with due regard to Retail Trust’s Policies and Procedures Document1 PERSON SPECIFICATION Marketing Coordinator Below are the requirements needed to undertake this post and will form a key part in the recruitment process: EDUCATION / QUALIFICATIONS Desirable Educated to A level standard, with a good grade in English/English Literature. Experience in marketing, communications, journalism or fundraising. EXPERIENCE Essential Up to one years experience in a communications or marketing role. SKILLS, KNOWLEDGE & APTITUDE Essential Excellent verbal and written communication skills Good keyboard skills and computer literacy DISPOSITION Desirable Aptitude to work with retailers and their suppliers. OTHER Essential Ability and willingness to travel to Retail Trust estates and events including evening, weekend work and nights away from home Flexibility in hours and work practices Desirable Current driving license and own car Knowledge of Adobe Creative Suite Document1
