Minutes of meeting at Covent Garden Medical Centre on Thursday 9 June
2016.

Introduction.
The meeting opened at 6.40 pm.
Mr Danvers- Colquhoun mentioned that there were just a few pointers he
wanted to raise following the last meeting on 15 December 2015.
 Staff badges: It would be fair to say that staffs have not always worn
their badges, but in recent times the badge is worn regularly. If staff do
not wear their badge, it is to be drawn to the attention of the practice
manager.
 Due to the occasional irrational behaviour of some patients, a notice is
now placed in the surgery to say that there is now zero tolerance in this
surgery.
 It was brought to the attention of those present that following the
patient survey undertaken in 2015, Dr Path has tried hard for many
months to get a female doctor in post. He had interviewed several who
either did not express an interest to join the new partnership, or were
discourteous by not reciprocating in expressing an interest or otherwise
after leaving the initial meeting. There was one who did not possess the
right persona to handle the patients of different various populations. Dr
Path had taken decades to build the trust with his patients, which could
easily be dismantled. In consequence, it was thought best to engage
male doctors to join the surgery. Two doctors had expressed an interest,
but they both turned out to be a complete disappointment. They both
worked in the PMS ( Personalised Medical Services), where there was a
provider, and they were salaried doctors. Their concept of being in a
partnership, and being autonomous was quite different of what would
be expected, moreover there was no guarantee that they could bring

their patients. Also, with the current number of 2800 patients, it would
not be feasible to have three GPs in situ.
In consequence, Dr Path has decided to continue on his own for the
foreseeable future.
It was suggested by a member that rather than engage a female doctor,
it might be best to employee two nurses, as the current nurse works
part-time, equivalent to a full time nurse.
Opening time of the surgery and GP Consultation.
Generally speaking, this did not cause a problem. The Chairman
explained that the doctor has a heavy work schedule, and always does
his best for his patients. The additional hour has made a good deal of
difference and has enabled him to focus on important matters, which in
the past he has had to place on the back burner. No changes to the
opening hours of the surgery, and reception staff are still available at
8.00am.
There have been marked improvements to the telephone system. A
voicemail tells the patient that the line is busy and they are in the
queuing system. It allows the surgery to incorporate certain messages,
for the benefit of patients, also to inform them of latest news occurring
in the surgery.
Fire Drill.
This was undertaken spontaneously during surgery hours. The result was
most satisfactory, without any panic whatsoever. All staff and patients
were ushered out calmly, and there was accountability of both staff and
patients alike. There will be another drill in the not too distant future.
Health Trainer Katalin Swann.

Katalin introduced herself, and explained in depth her role as a Health
Trainer. Nadya Babiychuk handed out packs and drew the attendees’
attention to the various leaflets. Questions were raised, and addressed
by Katalin to everyone’s satisfaction.
Muscular Skeletal Service (MSK) awareness.
It was pointed out that any patient with musculoskeletal problems could
book their own appointment by visiting the website
www.healthsharelondon.org.uk . This applies to those patients with
pains in their back, neck, muscles, or joints. The leaflet for the service
was included in pack for each member.
Introduction to Detailed Coded Record for online service.
The first offer to patients for online services was in 2014 and it’s
brought appointment booking, prescription management and the option
for patients to view a summary version of their health record.
From 31 March 2016 all practices in England are required to offer online
access to their record detailed information from the GP record, i.e.
information held in coded form.
What is meant by detailed coded record view? What will the patient be
able to see?
The online detailed coded record refers to items in coded (set) text, as
opposed to ‘free text’. The patient will be able to see demographics,
diagnosis/condition, medications and latest issue date, as well as
numerical results information.
Online Service Information Pack details, about the various procedures
under various subheadings, such as “Getting Started”, “Protecting Your
GP Records”, “What You Need to know and Patient and Practice
responsibilities”. Further details are obtainable from the reception staff

by telephoning or visiting the surgery. A password will be issued after
the registration process has been completed and from account the DCRA
can be requested which will gives an opportunity to review blood test
results and DCR.
NHS Health Check Surgery’s achievement 2015 notification.
The NHS Health Check programme is a public health programme aimed
at preventing cardiovascular disease. These health checks applied to
those between the ages of 40-74 groups excluding those in risk group.
Last year the Public Health has set up targets on the NHS Health Check
programme; the annual target was 20% to offer the health check for
eligible patients, and 15% to deliver the health checks. Covent Garden
Medical Centre has achieved the set target and percentage of the
offered health check. Congratulations were offered by the senior Public
Health Officer at the Public Health Department.
This year we will continue concentrating working on the HC as it is great
opportunity to identify patients which might be on High Risk of diabetic
or heart proplem.
Any Other Business.
Concerns were expressed that the minutes of the last PPG meeting held
on 15 December 2015, had not been received in spite of the fact that
emails were given. The Chairman said that he would follow this aspect
up with the practice manager and her staff.
It was suggested that using text and voicemail messages on the surgery’s
telephoning is one way of advertising the forthcoming meeting, not to
mention the in-house advertising screen. All these pointers were helpful,
and certainly would be taken on board.

It was agreed that the next meeting would be scheduled for 24
November 2016.
