DRAFT PROTOCOLS Moodle VLE Login and Communication Protocol Web site: www.vle.adultedbexley.co.uk Email: vle.adultedbexley.org OVERVIEW 1. The purpose of this document is to describe the acceptable use of the Virtual Learning Environment (VLE) on behalf of The Adult Education College Bexley 2. The Protocols are applicable to all members of AECB including staff, students and other eligible users of the VLE 3. The Protocols are maintained and regulated by the ITOPS and QIG groups. They are cross-referenced to the ILT and VLE Strategy 4. There will be periodic reviews of the Protocols and, if necessary, they will be amended to suit system, institutional and/or learning and teaching developments. 5. Individual users are responsible for their own actions. Every user of the VLE has a duty to ensure they practice appropriate and proper use and must understand their responsibilities in this regard. RESPONSIBILITY ITOPERATIONS GROUP IT_OPS ACTION The protocols are maintained and regulated by the IT_OPERATIONS GROUP and are cross-referenced to the ILT &VLE Strategy. There will be periodic reviews of the Protocols and, if necessary, they will be amended to suit system, institutional and/or learning and teaching developments. You will not post any material including text, graphics, video, audio or programs which may plagiarise or infringe on the rights of third parties. You will not post or transmit any unsolicited advertising, promotional materials, or any form of solicitation or offer to sell any goods or services for any commercial purpose. VLE HOSTING ADMINISTRATOR OF THE VLE 2 SUPER ADMINISTRATOR This role is reserved for the main administration account at University of London Computer Centre. The College pays a yearly fee to ULCC to host the site. The ULCC does not directly answer questions from our VLE users. The active ADMINISTRATOR of the VLE is the Learning Technologies & Training Manager. In the event of absence or illness, Department Head of Skills for Work and Personal Development, also has the Administrator role. Questions regarding VLE use should be addressed via the Administrator link on the front of the VLE. VLE ACCOUNTS A VLE user account consists of a username and password which will be used to login to the VLE. All VLE accounts require a linked email account. COPYRIGHT & Inclusion of copyright materials into a VLE course must DIGITAL comply with AECB policy which is contained in the ILT RESOURCES Stragtegy. The ILT Strategy is currently in draft form and awaiting final approval. It will then be made available to all on the VLE. ROLES ON THE VLE All users on the VLE are assigned a different ROLE. Every role has different levels of access to the different functions of the VLE. Once a user registers, they have a basic role of STUDENT. Student is the default setting once registered. The naming of the roles on the VLE are pre set, Learners are named STUDENTS. Once registered, learners have STUDENT privileges to access a course (guest access) or self enrol on a course if a tutor has set an enrolment key - but students cannot change any settings at all. TEACHER (tutor) privileges are given on creation of the course tutor privileges will enable the tutor to use an editing button to upload course materials. Tutors cannot set up a course on the VLE, this is done through the VLE. COURSE CREATORS can set up courses – the ITOPS group will approve course creator privileges in some instances. 3 Monitored and created by IT_OPS GROUP (MS, TW, J E ) October 2011Page | 3 DRAFT COURSE LEADERS have enhanced teacher and course creator privileges. They can do anything within a course, and they are responsible for managing course settings and resets. The ITOPS group will allocate course leader privileges where appropriate. ADMINISTRATOR The Administrator Controls site settings, user management, and role assignment, as well as course settings and setting up courses for the tutor. COURSE REQUEST FROM TUTORS The Administrator role does not cover support of learners. Support of learners comes via cascaded information from the tutor. The request should contain the following information: TUTOR RESPONSIBILITY TO THEIR LEARNERS Name of course exactly as it appears in the brochure The overall Curriculum Area Number of weeks Start Date Preferred enrolment key - if you do not give a preferred enrolment key, you will be allocated a random one such as ufo9frog (more difficult to remember!) Once this has been set up by the Administrator, tutors will have an additional EDITING button. Tutors can then upload their own documents, pictures, links to websites etc. They can do anything within a course, including changing the activities and grading students. Tutors are advised to only guide learners on to the VLE when they have downloaded the Learner Instruction sheets on the front of the VLE for reference. 1. Tutors are responsible for giving out basic information on the VLE to their learners. 2. This basic information includes: o The VLE address o Where to access VLE instruction sheets 4 Monitored and created by IT_OPS GROUP (MS, TW, J E ) October 2011Page | 4 DRAFT (HOME page of VLE) o The requirement to register on the VLE before teaching materials can be accessed TUTOR RESPONSIBILITY TO COLLEGE CURRICULUM MANAGER RESPONSIBILITY All tutors using the VLE for their courses are required to upload a minimum of a scheme of work and their lesson plans Tutors must monitor their own area, and inform the Administrator if they want course names up-dated at the start of term, courses deleted etc All Curriculum Managers to :1. Keep an active registration on the VLE 2. Actively encourage tutors to register on the VLE and to actively encourage attendance at training 3. Track the number of your own tutors registered and using the VLE. This will provide data to inform the progress of learning technology development made in each curriculum area for SAR reports CURRICULUM DEVELOPMENT ON THE VLE VLE TRAINING 5 4. Include Learning Technologies/VLE access as an Agenda item at Team Meetings to highlight effective use and areas of excellence so that knowledge can be cascaded down through the curriculum area External funding through the E-Guide initiative may be available to support Curriculum Managers/ACMs and Office and Cross College Managers with 1:1 help and support to set up their VLE area and staff room. Please note: we are not able to offer 1:1 assistance to individual tutors. This will be provided through staff training, which takes place regularly throughout the term. There will be a regular programme of VLE training at Beginner and Intermediate level. This training will be programmed to be available daytime, evening, Saturday mornings, and during half terms and holidays to ensure the widest possible availability. The College has received external funding to develop a team of enthusiastic individuals to become E-Guides. E-Guides have received additional training and are able and willing to:- GOOD PRACTICE IN UPLOADED DOCUMENTS 1. identify that they are an E-Guide 2. guide tutors to the correct web address for the College VLE 3. actively raise awareness of the use and benefits of VLE use in their curriculum area 4. keep up to date on STAFF ROOM and available instruction sheets for VLE use 5. know how to access additional E-Guide support 6. have a general awareness of what technologies are available to use in the classroom (not technological knowledge) All Word documents can be saved in the first instance before upload as pdf documents All Word documents should be saved in size 12, using fonts such as Arial or Calibri All documents should be dated. 6 Monitored and created by IT_OPS GROUP (MS, TW, J E ) October 2011Page | 6 DRAFT
