What is Communication?
· Communication is a process of sending messages and information and
receiving messages and information.
· That is why it is called a two way process.
What are communication skills?
· These are the skills with the help of which we do the process of communication
effectively.
What is a misconception about communication skills?
· There is a great misconception that good communication skills mean good
English only.
· However, the fact is that English is just one of the medium through which we
send and receive messages.
Why we need communication skills?
· We need communication skills because we can have some excellent ideas and
knowledge in our mind. In order to transfer all these ideas to the minds of others,
we need communication skills.
How can we communicate with others?
· We communicate with others through:
o Speaking
o Listening
o Body Language
o Writing
Who is a successful communicator?
· In order to be a successful communicator, one should be excellent in all four
dimensions of communication.
What is the process of communication?
· Encode: To convert ideas and thoughts into words and send them to receiver.
· Decode: Receiver receives these words and convert back into thoughts and
ideas.
What is misunderstanding?
· The difference that is developed between encoding and decoding is called
misunderstanding or communication gap.
What is communication breakdown?
· If the sent message does not reach the receiver, it is called communication gap.
What is more dangerous?
· Communication gap is more dangerous because in this case the receiver can
get confused that probably this distorted message is that real message which is
sent to me.
Why communication gap or misunderstanding takes place?
· This misunderstanding is due to some losses that happen between
communication process of encoding and decoding.
How these losses take place?
· Our messages are not received by the receiver in the same form in which they
are sent. They always pass through the perception lens of receiver and this lens
distorts the original message, which is sent to him. This phenomenon is called
Noise.
What is Noise?
· Anything that disturbs the communication system is called Noise.
What are the types of Noise?
· There are two types of Noise:
· External Noise: This creates disturbance between source and the receiver.
· Internal Noise: This creates disturbance during the interpretation process.
How Internal Noise takes place?
· Internal Noise takes place due to the perceptions of everyone.
How these perceptions are developed?
· Perceptions of everyone are developed on the basis of family brought up, past
education, values, beliefs and early experiences of life.
What is the solution to overcome these losses?
· Solution is to increase the factor of safety.
What is factor of safety in communication skills?
· Factor of safety in communication is based on three things:
o Selection of words
o Delivery of words
o Body Language
· Facial expressions
· Gestures
· Postures
How much factor of safety?
· It depends upon the level of internal noise and biasness of the other person.
What is the contribution of three factors of safety?
· Words : 7%
· Delivery of words : 38%
· Kinesics : 45%
