Job Title: Database Manager Salary: £28,000-£30,000 per year Location: Thames Hospice, Pine Lodge, Hatch Lane, Windsor, SL4 3RW Hours: 37.5 per week Reports to: Director of Fundraising Responsible for: Data and Income Co-ordinator Database Officer Fundraising Administrator Vacancy Ref: FR/2016/03 Purpose of Job: To reposition and manage the way Thames Hospice uses and drives value from our customer data, ensuring that we develop a customer centric approach to our fundraising and marketing programme in order to achieve best value. To work with managers across the organisation to provide accurate mass marketing data, reports and recommendations on management, protection and acquisition and use of data. To be responsible for maintaining and recommending changes to the design, quality, security, back up, user coordination and performance monitoring of the databases in use. To manage the Data and Income Co-ordinator, Database Officer and Fundraising Administrator to deliver an excellent level of customer care and stewardship to supporters of Thames Hospice. Main Tasks: Lead and be responsible for Thames Hospice’s ThankQ database and for the realisation of the value of data held on it. Work proactively to implement changes to data structures and develop new solutions that increase the effectiveness of data capture and use. Ensure that database users have sufficient knowledge of available data, segmentation and selection options and instigate and manage procedures for call off and use with both database users and managers across the organisation Identify and influence mass marketing data requirements by adopting a systematic and rigorous approach when working with managers to identify needs, make and implement recommendations to agreed timescales. To ensure that all supporter activities support tailored correspondence via the database according to their Gift Aid status, including quarterly audits of Gift Aiders and making amendments as required to ensure that we adhere exactly to HMRC requirements. Develop and implement robust operations and training plans that will ensure the organisation has properly informed, educated and competent database users and that management are well informed and adopt appropriate procedures in relation to data protection and use. Marketing Advise the Individual Giving Team in particular, and all other internal customers during strategy development phases and campaign planning on the most suitable audiences to target. Work closely in particular with the Head of Individual Giving and the Head of Marketing and PR to offer appropriate support in strategic planning and activity planning and implementation. Optimise the segmentation and targeting of audiences to improve the effectiveness of mass marketing activity and to improve the ROI on fundraising costs and activities. Ensure that data selection requests are logged, scheduled and delivered within an agreed SLA Ensure that data is managed to support a single view of all communications and marketing activity. Reporting and Evaluation Provide colleagues with simple tools to perform analysis of the effectiveness of mass marketing activities. Create standard reports for colleagues to run regularly to assess performance against team and activity mass marketing targets. Provide bespoke reports when required. Build the data reporting capability of cross organisation teams and training and support. Data Protection Ensure that the use of the database complies with data protection law for Fundraising. Ensuring compliance with HMRC Gift Aid Policies Other duties Lead on the resolution of dataset issues raised by colleagues. Work flexibly as part of a team whilst prioritising workload. Knowledge and Experience 1.1 Substantial experience of working with a customer relationship management database at key user level 1.2 Experience of writing reports in SQL 1.3 Experience of advanced techniques in Microsoft Excel 1.4 Evidence of having successfully implemented database developments and adapted the use of CRM databases to match business needs 1.5 Experience of developing standard and exceptional reports and analysis 1.6 Experience of successfully managing projects across a diverse range of stakeholders within the parameters of an agreed SLA 1.7 Excellent knowledge of database marketing techniques to improve customer engagement and ROI 1.8 Experience of managing relationships with external suppliers 1.9 Experience of using ThankQ (Desirable) Note: Thames Hospice currently uses the ThankQ database. Previous experience of ThankQ is not required for this role. 2.
