InfoScriber Administrative Tool
As an administrator of InfoScriber, you have the ability to set certain parameters for its use. Any changes
made to InfoScriber using the administrative tool will be organization-wide. Settings cannot be
individualized for each user.
To log onto the administrative tool go to: https://members.infoscriber.com/isc_admin. You will get a screen
that asks for your facility code, facility password, your username and your password. The Site
Code/Facility Code and a password were assigned to you by InfoScriber. If these were not given to you,
please contact us at [email protected]. Your username and password were chosen by you
when you registered for your InfoScriber user account. You must be an active user at your site in order
to access the Administrative Tool.

Providers Tab
Once you are logged in, you will see the Providers page of the tool. Across the bottom are the tabs to access
the other pages of the tool. The Providers page allows you to look at and update the status of the users in
your office/agency. Type any portion of the user’s last name into the white box, make sure to indicate
whether this user is Active, Pending (not yet activated), or Inactive, then click on GO. A list matching your
search criteria will appear at in the open area. If you do not enter a name in the box and simply click GO, a
list of all users at your site will appear in the area below.

To the right of the names, there’s a column that indicates the user’s status. The box labeled Admin
indicates whether or not the user has access to the administrative features within the application itself. To
change the status, click on the new status and then click on GO. The page will refresh and will no longer
show the user on the page. The user’s name disappears because the status has changed. If you have
inactivated a user, you will now find the user’s name by searching the inactive users.
InfoScriber User Licenses
On the top right side of the Providers tab you will see a listing of how many InfoScriber licenses are
available for your site and how many users are signed up as active users in each of three categories
(Prescribers, Prescriber Agents and Non-Prescribers). You will also see how many InfoScriber licenses are
still available to you in each of these areas.
NOTE: Users who have Pending accounts will be calculated as Active users.

Assigning Groups
To assign a specific GROUP of clients to a provider, click on the GROUP link to the right of the providers
name. Click on the box to the left of the group name to assign that group of patients to the provider. (See
How to Set Up Groups on the Custom Options Tab)
Assigning a Provider Caseload
To assign a caseload of specific clients to a provider click on the Patients link to the right of the providers
name.
A Provider Patient Authorization screen will come up. This screen allows you to provide each registered
user with one of three levels of patient access.
You can :

Allow Full Access: This type of access allows the user to access all patient records without
restriction.
Allow user to view non-caseload patients with an explanation required. This type of access allows
the user to view patients that are not assigned to their caseload by providing an explanation as to
why they need access to the chart.
Allow user to access ONLY the patients that are assigned to their caseload. This type of access
restricts the user to accessing only the charts of the patients they have been assigned. NOTE: If a
provider has been assigned this type of access, they will not be able to see the patient name in
the list of patients in the application. In other words, if John Smith is a patient at your site,
but he is not assigned to your caseload, when you type in Smith in the search box within the
application, Smith, John will not appear in the list that comes up on the screen. If you typed
in Smith, John, you would get a message that said “Patient not found”.

All NEW users are assigned to the third group. After you activate a user account, you will need to go
into the Patients tab and assign a category and/or a caseload in order for the user to be able to access
patient charts.

To allow a user full access to patients at your site, click on the first box on the right side of the screen and
exit the screen.
To allow a user limited access, click on the second box on the right side of the screen and assign a caseload.
To assign a caseload to a user:

Type a last name in the white box on the left side of the screen and click GO. A list of available
patients meeting the criteria will appear in the open area on the left.
Note: If a patient is already assigned to this providers’s caseload, their name will not appear in the
list of available patients.

b. Choose the names in the list that you would like to assign. You can click on the boxes individually
or use the Select All button. There is also an Invert option that allows you to choose only the
patients you wish to exclude from the caseload and then Invert your selection. Once you have
made your selection, click Assign to Provider. The patients will then move to the right side of the

screen (See Figure 3C). Continue this process with all patients you would like added to the
caseload.
Note: You may also update the caseload selections from the patient demographics page within the
InfoScriber application by choosing a Primary Prescriber on the Patient Demographics tab. Assigning a
caseload here, however, does not update the Primary Prescriber within the application.

Once you have assigned patients to a caseload, you may print the caseload by clicking on the
printer icon to far right on the screen.
To reassign patients that have already been assigned to a provider caseload, select the boxes ot
the left of the patient name, then click reassign. A box will pop up providing you with the
opportunity to choose the caseload to which they are being reassigned Choose the new provider
from the drop-down menu and Submit.
The number to the right of Currently Assigned Patients indicates how many patients are assigned
to this provider. If more than 200 patients are assigned to one provider, the list of patients will
not appear on the right. Instead, there will be a search box under the Currently Assigned
Patients to allow you to narrow your search.
Note: If you are reassigning or removing an entire caseload, there is no need to Select All. If you click
on Reassign or Remove without choosing a patient name, a warning will pop up asking if you want to
reassign/remove ALL patients.
Viewing a Treatment Team for a Patient
A patient can be assigned to more than one providers caseload at a time. To view all providers to whom this
patient is assigned, click on the name of the patient on the right side of the screen. A screen will come up
that shows everyone who is on the patient’s treatment team (See Figure 3D). This screen also shows
anyone who used to be on the treatment team and has been removed (provided that the information was put
into InfoScriber).

To Edit or Verify Information in a User’s Registration
To edit or verify information in a user’s registration, click on the name of the user. This will open their
registration information. NOTE: Password information cannot be obtained on this page.

Payors Tab
The next tab to the right is the Payors tab. This tab allows your office to either load Infoscriber’s list of
Insurance providers or enter custom providers of your own. This list can be used to check insurance
formularies for approved medications while prescribing (an optional feature).

To add the Payors for your area, choose Locate InfoScriber Payors from the dropdown on the bottom left
of the page, then type in the name of the city and state. The list of Payors will appear in the top portion of
the screen.

To add a custom Payor, click on the button in the center of the screen on the right, then fill in the
information.

Pharmacies Tab
The next tab to the right is the Pharmacy tab. It works in much the same way as the Payor tab. The
Pharmacy section allows you to add a list of area pharmacies from an InfoScriber list or add custom
pharmacies that may not appear on the InfoScriber list.
To add pharmacies for your area, type in a zip code range in the two boxes provided at the bottom right of
the screen then click Add OR select Locate InfoScriber Pharmacies on the bottom left of the screen and fill
in the city and state for which you are attempting to find pharmacies and click on Search (See Figure 6A).
You can add these pharmacies by clicking on the Add All button in the middle of the screen. The
pharmacies as well as a message letting you know how many pharmacies are associated with your office
will appear at the top of the screen.
To add a Custom Pharmacy, click on the Add Custom Pharmacy button to the right in the center of the
screen. Then just enter the information for the pharmacy when the boxes appear (See Figure 6B). If there
is a need to update information for a pharmacy that came from the InfoScriber list, it will be necessary to
delete that pharmacy by clicking on the red X to the left of the pharmacy name and then enter the new
information into the system as a custom pharmacy. InfoScriber pharmacies will have all black type.
Custom pharmacies will have blue type. This blue type is a link that allows you to update information for
pharmacies that you have entered. Just click on the name of the pharmacy and change any information.

Your list of pharmacies can be printed by clicking on Run Report.

NOTE: Any pharmacy listed as a Custom Pharmacy will NOT be able to send medication orders via eRx
using Sure Scripts. These pharmacies do not have a NCPDP-ID. However, you may still use the print or
fax features of the application to generate an order.

Agencies Tab
If you are an agency that has satellite offices or a physician who sees patients at more than one site, the
Agencies tab will help you ensure that the correct contact information always prints at the top of your
prescriptions. The Agencies tab allows you to enter contact information for the different sites where
patients may be seen. When the user logs into InfoScriber, they will get a prompt asking them to choose
which agency they are at today.

To add an agency, click on the Add New Agency button at the top of the screen and fill in the boxes on the
screen that pops up (See Figure 8), then click on Save. This tab is also helpful when updating information
for your current office. If any contact information for your office changes, the information will need to be
updated here so that it prints correctly on your scripts. To UPDATE your current information, click on the
name of your office in blue (See Figure 7) and change anything that needs updated. Then click on Save.
The next time a prescription prints, it should have the updated information on it.

Custom Options Tab
The next tab over is the Custom Options tab. This is where you will set many of the defaults for your
office. To see the bottom of the form (where the Save button is) use the scroll bar located to the right of the
screen.

The first line on the page allows you to change the Default number of days for a prescription. If the default
is set at 30, for example, when the users get to the last page of a prescribing event, InfoScriber will
automatically assume that the prescription will be for a 30-day supply. This number can be changed on an
individual basis at the time the prescription is written. It is best here to decide on a number that best suits
the majority of the prescribers for the majority of their orders.
The next option is whether or not you want the ability to add a new patient to InfoScriber manually. If you
are not running InfoChannel (system information automatically updated) at your office, then you will want
to select Yes. If you don’t know if you have an InfoChannel or are not sure whether you want this ability
consult with your IS department.
Next, you will be asked if you would like the application to default print the Chart Copy, Active
Medication Order, Current Order History Page, and a Medication Note every time an order is written. In
order to help you make the decision of whether or not to print these items, they are defined as follows:
Chart Copy: This is an exact copy of the prescription. It is printed for the purpose of chart
documentation. Therefore, it is clearly marked “Chart Copy. Not a Valid Prescription”. The chart
copy of the prescription will also indicate if any pills were taken from a sample or stock supply.
Active Medication Order: This is a list of all of the active medication orders for a patient. As long
as the medication order has not expired or has been discontinued, it will show up on this list.

Current Order History Page: This is a list of ALL medications and the actions that have been taken
with them (new order, reorder, change order, discontinue) since the client first had medications put
into the InfoScriber system.
Custom Medication Note: This is a note that is designed by your site and assigned as your
Primary Medication Note. If this box is checked here or on the Order Confirmation Page, the
related note will pop up on the screen to be completed and printed (if desired) after the medication
order is completed.
Choosing to print or not to print these items every time that an order is entered does not preclude the user
from choosing a different option at the time the medication order is printed. Again, it is best here to choose
an option that is a majority rule.
The next item on the page is the option to change the Supervisor Password. This allows the administrator
for your office/agency to change the password for the administrative tool.
Facilities then have the option of choosing how they want the Prescriber’s Desktop to look when users log
in to InfoScriber. They can choose for their users to see News and Information, Reports, Message Queue,
or our Training Center (Netsmart University) as their default desktop. All other options will be accessible
by clicking on the icons.

The News and Information icon replaces the Inbox icon used
previously. This option will also display the InfoLinks that used to be
accessed by clicking on the globe icon.
•
The reports icon has stayed the same. This option will display a listing
of our standard reports.
•
The Training Center will display all of the trainings being offered by
Netsmart University.
•
The Message Queue, which is the default, will display all incoming refill
requests from the pharmacies. If facilities are using the Electronic Transmission
option, this is the recommended setting for the Prescriber’s Desktop.
This Default Prescriber’s Desktop setting is a facility-wide setting. It can’t be set for
individual user preferences.

The next section of the Custom Options is the Manage Caseload Groups section. This section allows users
to establish groups to which clients will be assigned. (Clients are assigned on the Patient Demographics tab
in their InfoScriber record) You can then assign only that group of patients to your providers. To add a
group, just click the Add Group button and type then name you want to assign to the group.

The next section on the page is the Security: Session Timeout Settings
This section allows facility administrators to set time out parameters for their organization. There are two
time out parameters that can be set. The first one (Maximum Session Limit) specifies how long a user can
leave his InfoScriber application “idle,” that is, not in use, before the system makes him log in again. The
second one (Number of Idle Minutes) specifies how long a user can actually be in the application,
whether he is using it or not, before he is required to re-enter his password. The new feature is located in
the InfoScriber Admin Tool and can only be accessed by your organization’s InfoScriber Administrator.
You will also be given an opportunity to elect to allow persons with administrative clearance at your
facility the ability to Delete and Merge patient records.
The rest of the information on this page pertains to the use of the InfoChannel and is handled by your
database administrator.
Be sure to click SAVE at the bottom of the page to submit your changes.

The final section of the Custom Options Tab allows users to set options related to their InfoChannel (if
applicable)
When InfoChannel transfers a patient demographics file into InfoScriber, it can either set columns of
information that is incorrectly formatted for InfoScriber to a NULL value and go ahead and establish the
record in InfoScriber OR it can reject the client file which contains the invalid information and send it back
to the facility for editing. These fields return as errors and appear in the log file for the ICFTM.
Users can also decide if they would like for supervisors (users for which they have assigned the status of
ADMIN when setting up the account) to be able to Merge or Delete records in the event that a duplicate or
inaccurate record is created. An example of this might be a case where an existing client has a name
change and ends up being created twice in the host system, therefore being transferred twice to InfoScriber.
Even after the client record is reconciled in the Host system, there will be a need to reconcile (or merge) the
records in InfoScriber.
Users who do not have Admin rights will not even see the options to Merge or Delete.

Script Template Tab
The next tab, Script Template, allows you to customize (recommended) the way you would like your
prescriptions to look or to choose the default format (not recommended).

At the very top of the page, select whether you would like to use the default Rx format (not recommended)
or one customized by you (recommended). If you choose default, then there is nothing else you need to do.
If you choose to customize your Rx, you have many options from which to choose.
First, decide how many prescriptions you would like to print per page (1,2,3,or Max fit).
You will then have an opportunity to customize the “Dispense as Written” (DAW) text so that when DAW
is selected on the order confirmation page during a prescribing event, the custom text will appear on the
order. For example, your state may require that the wording for DAW be “Brand Name Medically
Necessary”.
Below that, you will have an opportunity to change your “Substitutions Allowed” text. This way, when
DAW is not selected on the Order Confirmation page, your custom text allowing substitutions will appear.
Next, you have an opportunity to place one more item of custom text on your prescriptions. This text can
be whatever you would like.
Next, you will be able to select how what type of output you would like to have available for the different
schedules of medications. Just select the options you want by clicking in the correct boxes.
Next, you will be able to allow users to refax prescriptions directly from the system without having to
reprint and manually fax.
Next, you will be able to make the selection of whether you would like users to be able to automatically
attach a signature that is uploaded into the application by the system administrator to a faxed order.

Currently, users have two options for placing a signature on a faxed prescription in their registration page.
(NONE and SIG PAD) If the ‘attach a signature’ option is chosen, users will then have three choices in
their registration page. (NONE, SIG PAD, and ATTACH SIGNATURE)

The first is NONE. This means that you either will not be faxing prescriptions directly from the
application or you do not want a signature to appear on the prescriptions that are faxed.
The second option is SIGNATURE PAD. This means that you would like to use an electronic
signature pad (a hardware/software device attached to your computer) to sign each prescription on
the Order Confirmation page before it is faxed. Signature pads can be purchased from
InfoScriber/CSM Corporation.
The third option is ATTACH SIGNATURE IMAGE. This means that you would like to have
your scanned signature uploaded to your profile so that it automatically prints on all prescriptions
faxed from the InfoScriber application. (NOTE: This option may require assistance from your site
IS or MIS dept.)
To Attach a Signature Image:
a. Click on Browse to the right of the Attach option (on the provider registration page)
b. Browse through files located on your hard drive to find the .GIF or .JPG signature file.
NOTE: The size of the .GIF or .JPG cannot exceed 250 pixels by 75 pixels.
The directions for adding a scanned signature are also detailed in our User Registration Guide)

--Back to the Administrator’s Tool Guide-Next, is the option of whether or not to require users to enter their InfoScriber password every time that a
prescription is generated.
Next, NEW YORK USERS will be able to print a box on their prescriptions that allows for entering the
letters D A W per your State Board of Pharmacy requirements.
The next option on the left is whether or not to have dual signature lines appear on all prescriptions
generated. With this selection, you will have the option to put custom test under each line (i.e.
Substitutions allowed or Brand Name only) and choose which side of the prescription you would like each
line to appear. (see figure 10a). You will also get the option of adding custom text (i.e. handwritten words
“brand name necessary) in the form of a .gif or .jpg file uploaded from your computer under either line on
the script. (see figure 10b)

Next, is the option to automatically attach an prescriber signature for an agent. If this option is selected, the
signature of the prescriber that is chosen from the drop-down on the Order Confirmation page during a
prescribing event will appear on the signature line above the text “Verbal order to NAME from
PRESCRIBER NAME” The prescriiber chosen MUST have a signature file stored and the agent must
have chosen NONE for their signature option on their registration page.
Finally, on the left side of the screen, you will be able to select to “Output DCs on Pharmacy Copy”- This
selection allows the pharmacy to receive a copy of the DC order on medications. This will allow you to
communicate to pharmacies that you wish to discontinue one of your patient’s medication, even if there are
refills available on the existing order.
On the right side of the screen are more options. By placing a mark in the box, you can add any of the
information you want to appear on your prescriptions (provided that this information has been entered in
the client’s demographic page).
The option for whether or not you would like for the DEA number to appear on scripts is also located on
the right side of the screen. You will have three options- Never, Always, and CSA only. If you choose CSA
(controlled substances) the DEA will only appear on scripts that contain controlled substances. It’s
important to note here that, IF A SCRIPT CONTAINS BOTH CONTROLLED AND NONCONTROLLED SUBSTANCES, THE DEA WILL APPEAR ON THE SCRIPT. IF USERS
ABSOLUTELY NEVER WANT THE DEA TO APPEAR ON NON-CONTROLLED MEDICATIONS,
THEY MUST ENTER THE CONTROLLED SUBSTANCE AND NON-CONTROLLED SUBSTANCES
ON SEPARATE SCRIPTS (PASSES THROUGH THE APPLICATION).

You will now have the option to select to print the InfoScriber logo on your prescriptions as well as
choosing the placement of the logo. If you have a logo you would like to add to your prescriptions, you can
add this by clicking on the Browse button at the bottom right, locating the image in your computer, and
saving it. Choose your alignment preference and Submit Changes.
It is important to note that each time you make a change to this screen after the initial setup, you must
reload your individual logo (if you have one chosen).

Notes Tab
The next tab to the right is the Notes tab. Choosing this option allows the user to customize various types
of notes templates to be used by an agency.

To begin setting up your custom note click on Add Note.

This page displays all of the information available in the header of your note. Use the checkboxes to
indicate what information you would like to have in the header of your new note. Much of the information

for the header of the note is collected from the Patient Demographics screen of the InfoScriber record.
Therefore, only information that is available in the patient demographics page will be available for the
header. For example, if the name of the Primary Prescriber is not indicated on the Patient Demographics
page of the application, then the Primary Prescriber won’t be displayed in the header of your note.
The exception to this is the Primary Care Physician (PCP). The name of the PCP is a ‘free text’ box. This
means that you will be able to type this information in at the time that the note is completed.
If you indicate that you would like to require an e-signature on your note the user will be required to
provide their InfoScriber password to digitally sign each note.
Information that you would like to have in your header that is not offered here can be added later when the
actual note is developed.
Once you have chosen your header information, click on Manage/Associate Questions to begin setting up
the body of your note.

Click on Save Note. A message will appear on the screen asking if you are sure you want to update the
note. Click Yes.
You will then get a screen that allows you to set up your questions and answers. The questions, answers,
and answer details that you set up will be saved to a question list. You will then go back later and associate
all of those questions, answers, and answer details with the note of your choosing. This section is done this
way in order to allow the user to ‘reuse’ questions and answers for more than one note if desired.

Then add your first question by choosing Add Question. NOTE: Your questions do not have to be in
question format. For example, to set up a note that has a heading of ‘Activity Codes,’ a subheading of
‘Attendance Codes,’ and a multiple choice of ‘1) No show/Cancellation’ or ‘2) Kept appointment,’ you
would need to set up your questions as ‘layers’. The primary question will be ‘Activity Codes.’ The
‘Answer’ will be ‘Attendance Codes.’ And the ‘Answer Detail’ will be ‘1) No Show’ and ‘2) Kept
Appointment.’ Do this by following these steps:

2) Type in Activity Codes. Be sure you select *Allow Multiple Answers if you would like to be able
to list additional fields for Activity Codes (i.e. Location Codes, Nursing Services, Physician
Services, etc…).

To add another Answer under the category of Activity Codes click on Add Answer. Follow steps 4 through
13. Continue to do this until all answers and answer details have been added under the primary heading of
Activity Codes.
Click on Back to Question Manager to add a new primary question. For example, I now want to add all of
my codes for Nursing Services. Thus, I complete the following steps:

To enter free-text fields (fields such as Assessment where you will want the ability to type in a
narrative answer) return to the Question Manager.

Add all Questions (fields) which you want to contain free-text. To create free-text fields for Last
Seen, Assessment/Diagnosis, HPI, MSE, and Plan follow these steps.
1) Click on Add Question.
2) Type in your question (example: Assessment/Diagnosis).

4) Click on Back to Question Manager.
5) Follow steps 1 through 4 until all questions are entered.

Once you have established all of the Questions, Answers, and Answer Details, click on Back to Note
Manager to associate these with your note.

Click on the link for the name of the note you are working on. In this case, you would click on Test Note.
Click on Manage/Associate Questions.
You should see all of the Questions that you set up for this note. All of the questions, answers, and answer
details listed are now available to be associate with any number of notes you choose to design. This reduces
the amount of data entry required to set up future notes.

Choose from this list by clicking on the plus (+) sign to the left of the Questions you would like to
associate. (Note: You will not see the Answers or Answer Details listed. These are associated with the
primary question and will automatically become part of the note as the questions are added)

All of the questions chosen to be associated with this note should now appear in the top section of the
screen. If you would like to remove a question, click on the red (X) to the left of the question to
disassociate it.
The columns to the right of each question displays the default properties of each question. All questions are
free-text by default, located in the Body of the note, and have a sort order of one (1).
To change these defaults, click on the links for the questions. A screen will appear that provides an
opportunity to change these.

For questions that have multiple-choice answers associated, be sure to choose NO for allow free text. The
Sort Order is the order in which you would like for your answers to appear within the body of the note. You
many also choose to add this question to the header.

To preview the note that has been set up click on the Preview option. Once the note is set up click on Save
Note to create the note template. This takes you back to the Notes Administration screen. This is the same
screen that appears when a user logs into the Admin Tool and chooses the Note Templates tab.
To make changes to Questions, Answers or Answer Detail click on Manage Questions/Answers. Click on
the link for the question and make the needed adjustments.
Merging and Deleting Patient Records

If a user has administrative privileges they will be able to MERGE or DELETE patient
records by clicking on the appropriate button on the left side of the demographics screen
of the INFOSCRIBER APPLICATION. (see figure 1) It will be necessary to log into the
regular InfoScriber application and go to the Patient Demographics tab to merge or delete
patient records.
NOTE: When deleting or merging a patient record, you will be asked for your facility password in
order to do so. Your user password will not work. You will need to know the password that your
facility uses to access their administrative tools.
When a patient record is merged with another record the information in both records will
then be contained in one record. This means that your patient will have two Primary
Diagnoses at the end of the merge. It will be necessary to check the record to make sure
that all demographic information is correct. See figure 2 for a diagram of how
information is retained in a merge. (Hint: Patient A is the first patient chosen and
Patient B is the Target patient chosen after the merge option has been chosen from the
Patient Demographics page of Patient A- See figure 3 .) A user record that is inactive
cannot be merged. You must make the patient active first.
