Job Posting for YD Administrative assistant
The role of the administrative assistant is to ensure efficient and timely operations of the office so as to support and enhance the work of the organization. The administrative assistant will work under the supervision of the executive director. The administrative assistant will collaborate with other staff or other volunteers Under the supervision of the executive director, the YD Administrative assistant will be responsible for: Office reception Greet all clients, suppliers/guests, and ensure they are comfortable while advising appropriate staff that guest is waiting • Answer incoming calls on the office main line, deal with inquiries and re-­‐direct calls appropriately. General office administration (includes): • Office support will include voice mail, fax, e-­‐mail, website, office supply ordering, filing, ensuring the organization and office equipment is in good working order • Collect and distribute incoming mail • Gather and send out all outgoing mail • Responsible for photocopying, and all filing for the ED and administrative office • Record minutes of meetings • Receive and register donations of cash and in-­‐kind • Produce tax receipts for donations (cash, checks and in-­‐kind) •
Management support Provide administration support to the executive director as required Financial management support (includes): •
Use Quickbooks to prepare invoices and financial statements Process accounts payable and receivable Prepare accurate bank reconciliations and deposits Assist with financial reports as required Month end duties as required Provide Board support •

• Under the direction of executive director , prepare for Board meetings Qualifications • Post-­‐secondary education in business or office management from a recognized educational institution preferred and minimum two years related experience in office administration • Excellent spoken and written communication skills in both English and French • Excellent ability to organize, manage multiple tasks and prioritize • Excellent computer skills in word processing, database management, webpage posting and electronic communications software, knowledge of Quickbooks an asset • Proficiency in the use of office equipment, computer, voice messaging systems ,fax, photocopier Working conditions •
Permanent, Full time position of 35 hours per week, $16 per hour, Mon-­‐Fri.
