THE MESSAGE BOX The message box is a tool to help you organize your thoughts and iden?fy key points. It is designed to be flexible – it can be used to help structure a presenta?on, organize a lecture, outline a proposal or prepare for an interview. Your audience – a journalist, colleagues at a professional mee?ng or a group of second graders A can only absorb a limited amount of informa?on. Your goal as an effec?ve communicator is to iden?fy the informa?on that is cri?cal to your audience A what really maMers to them, what do they really need to know. Start by lis?ng the central issue, then “frame” the issue with the most relevant informa?on. Streamline your informa?on into concise messages by answering the following ques?ons: o What are the problems/conflicts/issues involved (Problems?) o Why does this informa?on maMer to my listener (So What?) o What are some of the possible solu?ons to this problem (Solu?ons?) o What are the poten?al benefits of resolving this problem (Benefits?) Consider these ques?ons as your “star?ng point.” If the ques?ons don’t exactly apply, rework them to get at the “meat” of your informa?on A keep asking yourself – So What? Why? Pare down your ideas so that each message is one or two concise sentences – if you s?ll have a paragraph, keep working. Once you have honed in on your key points, list anecdotes, sound-­‐bites, and facts that reinforce your messages. The principle is easy but it takes ?me to develop messages that work for you and your audience. Keep working to refine your messages A they will evolve and get beMer over ?me.
