MCR MINI-UPDATE AUGUST 2016 Fellow registrars, I hope that your conversions to NAACCR v16 are going smoothly. This issue lists a variety of educational opportunities available locally, nationally, in-person or on-line. Check them out! DUE DATES Large hospitals (>500 cases/yr.) are to finish January 2016 cases by August 15 and smaller facilities (<300 cases /yr.) report the 1st Quarter of 2016 by October 15. If you have already converted to v16, you must hold cases until we are ready to accept v16 format and edited cases, probably in September One transmittal form saying that you are converted to v16 and hence holding cases helps us know that you are not delinquent. If your database software is still in v15 Please upload any remaining completed cases diagnosed 2015 and earlier in v15 by August 15. If you have started abstracting any 2016 cases in v15, hold those to submit to MCR in v16 in September. See tips in previous monthly updates and enter excellent text regarding fields that you may need to touch again after conversion. The cut-off date when MCR will stop accepting v15 files is anticipated to occur sometime in September. Please schedule conversion to v16 with your vendor before that time to avoid delays in reporting. If you have remaining 2015 or earlier cases to abstract after your conversion to v16, that will still be possible. Webinar will address cancer data collection for bladder and will include information on anatomy, multiple primary and histology coding rules, TNM staging, and treatment data items. This is a free class and geared toward new abstractors who are not familiar with the abstracting process. The MCR manual is reviewed in detail. Students use Abstract Plus to work through cases using the MCR-ARC Abstract Code Manual. For those not familiar with abstracting and the MCR-ARC required fields, this is a great place to start. The first live webinar (Melanoma) was held on July 27. The second webinar (Lung) will be held Aug. 16, followed by a third webinar (Breast) on August 31. Register now at: https://cancerstaging.org/CSE/Registrar/Pages/Disease-Site-Webinars.aspx AJCC Graphic A new AJCC “Timing is Everything” graphic explains how timing is key to AJCC clinical and pathologic staging, understanding the use of the “c” and “p.” The AJCC stage classification timeframes match the points in time in a patient’s care based on their treatment. The graphic represents the patient care continuum with treatment choices and the resulting stage classifications. The arrows indicate the starting and ending points for information included in that stage. https://cancerstaging.org/CSE/Registrar/Pages/default.aspx MCR NEWS Death Clearance Death Clearance follow back for all electronic reporting hospitals, including Abstract Plus users, is expected to begin next week. Be alert in the coming days for a Web Plus e-mail with notification of pending case follow back requests. Keep in mind the e-mail will be sent to the Facility Uploader. If the uploader is not the person that processes death clearance cases, they must immediately notify the appropriate departmental staff that is responsible and provide them with access to the Web Plus DC application. If no notification is received, it typically means there are no cases for your hospital; however, it is a good idea to check your spam/junk folder periodically over the next couple of weeks in case a notification was inadvertently routed there. CDC Visit In late August, Olivia Marr, our NPCR Program Consultant will be conducting a site visit at MCR. This will be her first visit to our offices, and we are eager to show her all that we are achieving with you. STANDARD SETTER NEWS NAACCR NAACCR v16A edit metafile is due out next week with fixes to some problems in the NAACCR v16 metafile. MCR is prepared to customize a MOv16A edit metafile quickly thereafter and get it into the hands of registrars and software vendors. From NAACCR: “You may have seen recent news coverage of a study claiming metastatic prostate cancer is rising dramatically. As you likely know, this conflicts with our cancer registry data which show the rate of metastatic prostate cancer is actually fairly stable. The discrepancy between this study and our data is due to the authors’ using the wrong measurement for incidence. NAACCR and its partners, ACS, CDC, and NCI are concerned about how the results of this study will be interpreted by patients and their physicians due to the amount of press the article received. A formal press release from NAACCR has been prepared, and we plan to submit a joint letter to the editor of the publishing journal. Our concerns are also detailed in the most recent 3 MCR MINI-UPDATE AUGUST 2016 NAACCReview blog post (available here http://news.naaccr.org/rate-of-metastatic-prostatecancer-is-not-increasing/).” From NCRA “After 10 years of hard work, NCRA is proud to announce interim approval by the U.S. Bureau of Labor Statistics for a new Standard Occupational Classification of “Medical Registrar”. Our hard work has paid off! NCRA created and advocated for the new job classification entitled “Medical Registrar”. NCRA’s next step is to look at the details of the Bureau’s recommendations to make sure important features of the job classification include the details that NCRA recommended.
