JOB ANNOUNCEMENT – READVERTISEMENT [Applicants who previously applied need not reapply/application w/b kept in applicant pool] TITLE: BEHAVIORAL HEALTH SECRETARY EMPLOYER: ROCKY BOY HEALTH BOARD SUPERVISOR: SUPERVISORY CLINICAL THERAPIST SALARY: $13.00/HR STATUS: REGULAR FULL- TIME OPENING DATE: JANUARY 18, 2017 CLOSING DATE: JANUARY 31, 2017 @ 4:30 P.M. PROBATIONARY PERIOD: SIXTY (60) CALENDAR DAYS FROM INITIAL APPOINTMENT MAJOR DUTIES: Assists in managing ADHD/ADD patient’s population medications schedule for Attention Deficit Hyperactivity Disorder/Attention Deficit Disorder. Schedules classroom observation with Mental Health Therapist. Sends out initial ADHD/Add forms to teachers/ parents, monitors return of these forms, once received, an appointment is scheduled with the therapist for an initial evaluation. Coordinates with physician evaluation with return of all forms and pre-evaluation by therapist. Checks and monitors change in dosage, to coordinate appropriate form for medications to be given at schools. Copies for medical chart after signatures are received. Monitors patient charts for medications refills due, or not taking medications as prescribed. Notifies school personnel or parent when medications are ready to be picked up, has person who picks up medication sign medication list in Pharmacy to log who picked up and delivered. Gets medical chart for physician for refills when due, checks if monthly teacher report has been received and if prescription is due on date called. Contacts chronically ill patients or guardians regarding monthly injections. Follow-up to be sure injection was received. Checks if in compliance. Pull all medical charts for medication refills, get with the prescribing physician if refill is needed. Makes daily appointments for Social Worker, Clinical Psychologist, adult and Child Psychiatrist. Sends out letters to appointments. Calls to remind or sends out reminders for appointments that are scheduled. Uses RISC 6000 to enter patient’s appointment time and date into the computers. Pulls medical charts for Clinical Psychologist, Clinical Therapist, Social worker on a daily basis as needed for contracted adult and child psychiatrist. Provides telephone, receptionist, secretarial services to Mental Health/Social Services staff. Arranges transportation for chronically ill patients to see doctors or medical professionals outside our area. Sets up psychiatric clinics with assistance from Clinical Psychologist or Clinical Therapist. Greets patients, takes medical chart for therapist to pharmacy when prescription is needed. This job requires close cooperation with the Chief Medical Officer or Clinical Director and observation in both appearance and readability of the strictest standards of confidentiality. Completes timesheets for the behavioral health staff. Arranges pill counts with Nursing. Other duties as assigned by supervisor, Clinical Director, Chief Medical Officer, or Chief Executive Officer. MINIMUM QUALIFICATION: High School Diploma or Equivalent. Must have at least two (2) years experience in secretarial/ computer data entry. Knowledge of health care delivery system social work. Knowledge of Chippewa Cree culture and traditions preferred. Knowledge of the Rocky Boy Reservation as to is geographies to population growth, health needs, and cultural differences. DESIRED QUALIFICATIONS: Associate of Science Degree Knowledge of health care systems to include: a broad familiarity with various medical diagnoses, tests, medical procedures, treatment and outcomes; specific in depth, knowledge about health care billing and medical insurance systems, private, and public; facility with the technical, medical terminology necessary to communicate effectively about insurance, billing, and disability claims. The level of knowledge required is commensurate with that obtained through a 4-year bachelor of science in health care administration plus 4 years experience working in a health care organization. Other Selection Criteria: Qualified Chippewa Cree members who are honorably discharged veterans will be given preference. DD214 required. Chippewa Cree Tribal Preference. Will be subject to drug testing. If terminated from any positions within the Chippewa Cree Tribe for violations of the Drug and Alcohol Ordinance I-99, must comply with the requirements. Knowledge of secretarial duties including answering telephone calls, message and schedules appointments. Ability to work with other departments when needed. Ability to keep Mental Health Manuals up to date. Ability to participate in Quality Assurance objectives and follow of QA requirements. Ability to maintain Mental Health records on mental health patients in a secured area (cabinet).
