APPENDIX B Appendix B Current Business Solutions Environment Student and Financial System Currently, Dayton Public Schools uses two IBM System iSeries for their computing platforms. The iSeries 810 – 9406 is the main computer used for the core business functions of DPS and is located at the main DPSD Administration building, Dayton, Ohio. This system is running i5OS, V5R4M0 (Version 5, Release 4 and Modification 0) Operating System with a Direct Access Storage Device (DASD) capacity of 1,129.0 GB and 6 GB of main storage. Main business application is CIMS III. The iSeries 820 – 9406 is the D/R (disaster recovery) computer. This computer is housed at CBTS Data Center, Cincinnati, Ohio and is used to recover data in the case of a disaster at the main site, Dayton, Ohio. This system is running i5OS, V5R4M0 (Version 5, Release 4 and Modification 0) Operating System with a Direct Access Storage Device (DASD) capacity of 413.4 GB and 1 GB of main storage. Current Network Environment Network The DPSD data / voice telecommunications network is undergoing a long-term transition: From: a collection of point-to-point dedicated circuits with an ATM Wide Area Network (WAN) backbone joining many Internet Protocol (IP) Local Area Networks ( LAN’s) To: an all-IP, fiber-based, Metro Area Network (MAN), in conjunction with new school building deployments. In general, the WAN will gradually migrate to a fiber core MAN with higher bandwidth in support of data, video, and voice traffic, as well as higher availability; and greater flexibility. OH-K12 Network The DPSD connection to the Ohio K-12 Network provides 1000 Mbps (GigE) to State resources to include data, streaming video, voice, and other multi-media applications available to subscribers. With the many resources now available within the Ohio K-12 network coupled with increased bandwidth to this media, internet service can now be a supplemental service potentially lowering costs to the District. Current Internet bandwidth purchased by DPS is 40 Mbps. System Applications Software applications employed by the District are identified in this section. These applications reside/run on various servers across the district, and receive data from the CIMS student system. Computrition Computrition is a UNIX-based COTS application currently being used by DPSD Nutrition Services (Central Kitchen/Food Services). It is an integrated food service, student management, and nutritional planning system. The software is developed specifically for menu planning, purchasing, inventory, automatic order entry, production planning, recipe Page 1 of 6 APPENDIX B management, forecasting, costing and control, nutritional labeling, automated Hazard Analysis Critical Control Point (HACCP) analysis, and diet office management. Programs are designed to allow food and nutrition professionals to operate more cost effectively and productively. See http://www.computrition.com WebSmartt / WinSnap SNAP v3.9 - is a COTS, Windows-based, menu-driven software package developed for school food service. The primary goal is accountability at the point-of-sale to help the district maintain complete and accurate records of meal counts by student. The system is capable of using students’ picture ID cards, bar-coded roster sheets, or students relaying their ID numbers to the cashier at each meal. The student identification process determines what transaction is taking place and what the cashier needs from the student. Students eligible for free or reduced-price meals are not overtly identified at the point-of-sale, maintaining confidentiality of students’ status. SNAP also enables the staff at the Food Service facility to input all information used for processing students for the lunch program in determining their eligibility. Currently, District point-of-sale machines are not networked to the LAN in their facility or to the DPSD WAN. VersaTrans VersaTrans is a software system currently being used by DPSD Transportation. A product of Creighton-Manning, Inc., it makes available a full range of student transportation projection, planning, and scheduling tools. It provides interactive maps where planners/users can provide and/or download all student address and school-of-attendance information, along with district bus quantities and capabilities, and all street/traffic information in the defined district areas concerning distances, speeds, stops, railway crossings, restricted/no-travel areas, etc. The system allows the creation and editing of multiple, current, future, proposed, hazard, and “walk” boundaries for the district to establish student ride eligibility. The system provides search/query capabilities for student location, student distance to school, pickup/drop-off, and general student information to include aggregate demographic information as required. It allows manual and/or automatic bus routing and scheduling. Standard and ad hoc reports are available for student, routing, boundaries, and building information. Planning and what-if tools are also available. For more information see - http://www.cmisoft.com/vt VersaTrans receives an initial annual upload of student, student address, and student assignment information following completion of the last fiscal year and completion of regular enrollment. This data is refreshed daily on an as-needed basis throughout the school year. The upload file is data drawn from the District’s Administrative AS400 and is representative of daily student record changes processed in SMS and SAS and provided by CRO to Transportation. VersaTrans provides daily, or on an as-needed basis, files of school buildingto-student address proximity information to CRO. This data is uploaded to the SAS system and used in conjunction with its school assignment functions. Transportation also provides a daily upload of bus information to SMS. Gateway Warehouse Management System (WMS) The Gateway WMS v3.0 is a Gateway Software product written for the IBM AS400 in RPG. The DPSD Warehouse is currently using WMS V3.0 to provide control of warehouse inventory. Capability features include online requisitions, requisition approval, budget checking, and bid processing. Currently, WMS connects to the CIMS Financial Management System for budget verification. However, no ties exist for purchasing/requisition information. For more information on Gateway WMS, see http://www.gscweb.com/info/dms Group 1 Software The Group 1 Software product was implemented for the DPSD Mail Services department in March 2000. Group 1 software modules operate on the AS400 operating system and include Page 2 of 6 APPENDIX B Code-1 Plus, MailStream Plus, PostNet Barcode, CODE-1 Plus Bi-Monthly Masterfile, and MailStream Plus Bi-Monthly Masterfile. This software functions in the bulk mailing business process. The application verifies and corrects addresses adhering to the US Postal Service’s standards for addressing. The implemented product qualifies the client for postage savings of up to 20% on each piece of bulk mail. In the first quarter of the 1998-99 fiscal year, the District processed approximately 156,000 pieces of bulk mail. According to internal DPSD documentation, implementation of this software should result in potential savings in excess of $10,000 on this size bulk mail volume each quarter. Integrates with student, employees and vendors system to validate addresses and zip codes TSSI / SEMS Substitute Employee Management System (SEMS) version 5.55CS is a product of TSSI Prologic. SEMS is a time and attendance reporting software system for certificated staff and instructional substitutes. It is used in the DPSD school buildings to record certificated personnel’s time and attendance. This standalone software is used in conjunction with the TSSI Prologic interface software to provide recorded time and attendance data to EMS payroll. TSSI Prologic Interface The TSSI Prologic Interface software (4th edition) resides on the District’s AS400. The software provides the interface between SEMS and EMS payroll for recorded time and attendance data of certificated personnel at the schools. VoicePro VoicePro is a software package used by DPSD Operations department to track the attendance of custodial workers within the District. This software is currently functioning on a stand-alone workstation, also known as the “call-in-computer.” This workstation is a Pentium 90 with an 800 Meg hard drive and 32 Megs of RAM. It also is configured with a modem and UPS. The DPSD custodial staff consists of two groups of workers within the department, one being the regular workers, and the other being the substitution staff. If a regular custodial worker decides to call out for the day, it is their responsibility to call the call-in-computer and indicate their absence. An Operations staff member then listens to the calls and formulates a list of people who will not be into work. From the list of sub-custodial workers, the vacant positions are filled. When/If a worker plans to return to work, once again they are to all in to the call-incomputer so that the substitute can be reassigned. VoicePro manages the call-in recordings, dates, and times. The VoicePro and the call-in-computer system are critical to DPSD and the Operations department because they determine the custodial staff position within the buildings and assure that all buildings are covered and cared for nightly. The information is also used in many cases for grievance hearings. A worker may not show up for work and is reprimanded for not showing up. If he indicates he called into the call-in-computer, the management staff can query on the date and/or time he or she claimed to have called and listen to any or all the messages from that day. The stand-alone status of this system is currently under review by IS management. Lotus Enterprise Integrator Lotus Enterprise Integrator (LEI) v3.001 is software used to interface with the CIMS DB2 databases to pull data into the Lotus Notes database for the District Lotus Notes Forms used on its intranet. The Intranet committee has advised that DPSD proceed with caution with regard to the interface. Initially, DPSD intends to only pull data from the CIMS database into Page 3 of 6 APPENDIX B the Lotus Notes database. After the forms environment is stable, and when proper safeguards can be established for existing data, DPSD plans to push data to CIMS as well. LEI is reported to have the ability to interface with a variety of data formats. FASTER C/S This is an inventory/maintenance tracking system located in the transportation department. It runs on an NT platform with a SQL database backend. This database application will track and report on maintenance issues, time to resolution, inventory tracking, and life cycle management of parts and equipment.
