Alumni Association 211 Emmet Street South Charlottesville, VA 22903 Job Description: Job Title: Gift Processing Analyst Full-time/Part-time: Full-time FLSA Status: Exempt Supervisor: Director of Gift Processing Date Prepared: October 26, 2015 General Summary: As a member of the University of Virginia Gift Processing Services (GPS) team, the Gift Processing Analyst has the responsibility for supporting the U.Va. Advancement management information system (Advance Web) and other software and systems used in GPS to support gift processing, reporting, acknowledgement, reconciliation and the overall development effort at the University. The Analyst assists in the collection, maintenance, and distribution of gift information, and other constituency information. This role requires the ability to understand and to use the databases and other tools available and to choose the appropriate means to satisfy user requirements. Execution of duties requires integrity, independence, initiative, judgment, discretion and reliability. The employee's work affects the accuracy of GPS reporting to donors, development officers, senior administrators and the financial system and directly impacts the integrity of the University’s Advancement program. Specific Duties and Responsibilities: Database Information Management & Analysis Serves as the primary database analyst and information systems specialist for GPS. Develops policy and process to compile and enter into the constituency data base complete donor and gift records from current and/or historical data, information from research files, and gift reports from customers. Designs process for importing and exporting data within the parameters set by the University. Works with the Advancement Information Systems and Gift Reporting staff to ensure that the data conforms to established procedures and database standards. Oversees regular updating of information in the database in coordination with Advancement Information Systems, including information from gift responses, call center activity, and telethons. Serves as technical liaison with customers and vendors on data extracts and imports ensuring that data is complete, timely and in the correct format. Develops and enforces standard procedures and policies for collecting and entering information and producing reports. Communicates these procedures to appropriate GPS staff. Ensures that hard-copy and computerized records on dealing with donors and prospects are maintained in a complete and up-to-date fashion. Develops information exchange procedures and systems in the office and between the office and constituent units. Database Reporting Serves as the primary developer of transactional reporting for GPS and its customers, using a variety of reporting and distribution tools. Works closely with GPS staff members and other University staff as appropriate, to define reporting needs, create reports, and test that they are correct. Prepares technical and user documentation for reports. Provides end user support for report generation, ad hoc reporting and query language. Designs management reports, including dashboards, for reporting to internal staff and external customers. Help Desk Services Provides technical “help-desk” support to the Gift Processing Services user community; responds to user questions with thoughtful and thorough responses. Provides ad hoc assistance to Gift Processing Services users experiencing difficulty with standard desktop tools (word processing, spreadsheet, database software). Documentation & Training Writes and maintains documentation for computerized information system for users and for data entry staff. Suggests changes in procedures for improved efficiency. Advises GPS team on the implementation and modification of technical components of financial programs and the UVa Advancement management information system. Designs and implements training programs for users of the computerized information system. Determines level of training required and adapts training to the appropriate level. Schedules and conducts training for GPS staff. Other Duties Provides status information to the Director of Gift Processing Services, as requested. Assists other members of the Administration team with document processing and data entry of gift and other administrative duties as required. Serves as back-up for gift processing positions during times of high volume. Performs other duties as assigned. Minimum Position Requirements: Bachelor’s Degree in information systems or related field. Minimum of 5 years of experience in related field, preferably in Development/Advancement at an institution of higher education. Minimum 3 years of experience in direct integrated database environment. Knowledge of database and reporting tools used with the development database and other information systems utilized by U.Va. including, but not limited to: Advance Web, Advancement Performance, and iModules. Knowledge of database query language (SQL). Additional Essential Skills: The employee must integrate knowledge of the databases and tools, as well as information about automated systems from other offices and from outside the GPS. Ability to analyze user requirements and determine best method for satisfying requirements. Ability to communicate effectively to confirm requirements. Ability to diagnose complex problems and identify creative solutions. Excellent analytical and quantitative skills, including the ability to manipulate, analyze and interpret data Strong experience with productivity software (Microsoft Office, Word, Excel, etc). Knowledge of the principles, methods, and practices of the development profession in general and as it relates to the University. Knowledge of the University of Virginia’s development data, standards and practices. Knowledge of current trends in fundraising consisting of benchmarking and metrics Skill in oral and written communication to prepare reports, programs, and other materials. Interpersonal skills to work with a wide variety of people with varying levels of computer experience. Good verbal and written communication skills Detail oriented with demonstrated track record of meeting deadlines and goals Demonstrated self-motivation and personal accountability Ability to maintain confidentiality of all donor records and other sensitive information Supervision: This position does not supervise any employees.
