WAVE Productions Constitution Revised Spring, 2014 MISSION STATEMENT. WAVE Productions (WAVE) is a self-supporting, not-for-profit student theatre company operating primarily on Northwestern University's Evanston Campus. WAVE Productions exists to share the stories of the past and present in order to open the door to a better future. In fulfillment of its responsibility to the Northwestern University campus and surrounding communities, WAVE sets for itself the following objectives: - To sustain a dynamic and progressive presence on campus by fostering traditional and nontraditional theatrical forms. - To provide an environment in which students can educate themselves through the art and business of theatre. - To create an extended family and provide a safe environment in which creativity can flourish. - To engage and provoke response within our communities. - To encourage ongoing exploration, discovery, and reflection through theatre. - To inspire new theatre artists and audiences. ARTICLE I. This organization shall officially and legally be recognized as WAVE Productions. WAVE Productions exists as a member organization within the Student Theatre Coalition (StuCo) at Northwestern University. ARTICLE II. Membership shall include persons participating in a WAVE production and the Executive Board of WAVE. Executive Board membership shall last for the duration of the current WAVE season. ARTICLE III. Each WAVE season will be defined as beginning with the election of a new Executive Board and ending at the conclusion of the last show chosen by that Executive Board. Overlapping time (including but not limited to shows and events) shall be used for Board transitions and any necessary training. It is the responsibility of all outgoing Executive Board members to train their respective successors. ARTICLE IV. The Executive Board will be structured as follows: Artistic Director (AD) - Duties include: Acting as the resource for directors and assistant directors of WAVE productions; procuring of scripts, scores, and rights necessary for all WAVE productions; facilitating the director petitions and season selections at the beginning of each WAVE season; in case of the permanent absence of a WAVE director, using discretion to best fill the position with the approval of the Executive Board; facilitating one-third of all WAVE Executive Board meetings; amending the WAVE Artistic Director Handbook before the installation of a new board. Business Manager (BM) - Duties include: Handling WAVE Productions' finances responsibly; monitoring expenditures by WAVE producers with respect to the established show budget and fundraising strategy; handling relations with the Student Organization Finance Office (SOFO) and Student Advisory Finance Committee (SAFC); acting as Treasurer of WAVE Productions for all external matters; creating a proposal for each season's budget with the University Relations Chair and Production Manager; overseeing the submission of the ticket sale request form to the Norris University Center (Norris) Box Office for each WAVE production; overseeing the submission of the request for a cash box to the Norris for each WAVE production; supervising of budget making for each WAVE production with the Production Manager; meeting with all WAVE producers to explain their financial responsibility regarding WAVE Productions; amending the WAVE Business Manager Handbook before the installation of a new board. Community Outreach Coordinator (CoC) - Duties include: Facilitating WAVE Productions’ community outreach on and off campus; assuming responsibility for serving as a resource to the outreach positions of WAVE productions and special events in conjunction with the Special Events Coordinator; updating the WAVE Community Outreach Coordinator Handbook before the installation of a new board. Design Technical Director (DTD) - Duties include: Acting as the resource for designers and assistant designers of WAVE productions; facilitating communication between designers and Producers/Directors on all WAVE productions; approving all designs for WAVE productions; informing WAVE membership of all current Norris regulations; approving all seating layouts for all WAVE productions; assisting producers of WAVE productions in finding designers; acting as a resource to the technical teams of WAVE productions in conjunction with the Production Technical Directors; amending the WAVE DTD Handbook before the installation of a new board. Director of Development (DoD) - Duties include: Developing the financial resources for WAVE as a whole; sustaining alumni relations; compiling a comprehensive list of available grants and fundraising opportunities for each WAVE season; acting as a resource to the fundraising teams of WAVE productions; updating the WAVE DoD Handbook before the installation of a new board. Freshman Board Representative (FBR, 2) - Duties include: Exploring all of the responsibilities of WAVE Productions' Executive Board members; acting as a liaison between WAVE Productions and the Freshman Class. It is the responsibility of all Board members to include the FBRs in Board activities. Marketing Director (MD) - Duties include: Acting as the resource for the publicity teams of WAVE productions; facilitating WAVE's public relations with communities on and off campus; ensuring the maintenance of WAVE’s online visibility; providing the WAVE season posters; creating publicity for WAVE petitions and events; approving all publicity for WAVE productions; amending the WAVE MD Handbook and WAVE Website Manual before the installation of a new board. Production Manager (PM) - Duties include: Acting as the resource for producers and assistant producers of WAVE productions; supervising the budget making and fundraising strategies for each WAVE production in conjunction with the Business Manager and the University Relations Chair; approving a show calendar for each WAVE production; approving the tech week schedule for WAVE shows in conjunction with the Production Stage Manager; facilitating the producer petitions at the beginning of each season; in case of the permanent absence of a WAVE producer, using discretion to best fill the position with the approval of the Executive Board; informing WAVE membership of all current Norris regulations; facilitating one-third of all WAVE Executive Board meetings; amending the WAVE Producer Handbook and the PM Handbook before the installation of a new board. Production Stage Manager (PSM) - Duties include: Acting as the resource for stage managers and assistant stage managers of WAVE productions; assisting producers of WAVE productions in finding stage managers; recording and distributing minutes of the WAVE Executive Board meetings for Board members; updating the WAVE contact sheet upon the addition of new Board members; approving the tech week schedule for WAVE shows in conjunction with the Production Manager; moderating the WAVE Executive Board listserv; ensuring the maintenance of WAVE’s archives and office space; amending the WAVE PSM Handbook before the installation of a new board. Production Technical Director (PTD, 2) - Duties include: Acting as the resource for and facilitating the operations of technical teams of WAVE productions; maintaining and developing WAVE’s build and storage spaces; informing WAVE membership of all current Norris regulations; giving orientations of WAVE’s build space to all persons who will be using the build space; approving build methods to be used by technical directors of WAVE productions; updating an inventory of technical and build related items available to WAVE productions; assisting WAVE’s producers in finding technical teams for WAVE productions; controlling distribution of WAVE’s technical resources; assuming responsibility for distribution of WAVE’s keys; working in conjunction with the Design Technical Director to act as a resource to the technical teams of WAVE productions; amending the WAVE PTD Handbook before the installation of a new board. Special Events Coordinator (SEC) - Duties include: Seeking out and fostering projects outside of and in conversation with WAVE’s mainstage season; ensuring that the logistical and personnel-related needs of each special event are met; coordinating social aspects of WAVE and all non-season events and productions; acting as a resource for and facilitating any events affiliated with WAVE productions, amending the WAVE SEC Handbook before the installation of a new board. University Relations Chair (URC) - Duties include: Handling relations with Norris University Center, Associated Student Government, The Department of Theatre, The Virginia Wadsworth Wirtz Center for the Performing Arts at Northwestern University, the Student Theatre Coalition, and all other student and faculty organizations; acting as president of WAVE Productions for all external matters; petitioning for office space and production space in Norris; facilitating Executive Board petitions prior to the beginning of each season and Freshman Board Representative petitions at the beginning of each academic year; creating a proposal for each season's budget in conjunction with the Business Manager and Production Manager; informing WAVE membership of all current Norris regulations; updating the WAVE office access list for the Center for Student Involvement at Norris; facilitating one-third of all WAVE Executive Board meetings; enforcing Article VII and recording amendments to the Constitution; amending the WAVE URC Handbook before the installation of a new board. The WAVE Executive Board will be chosen by the pre-existing Executive Board through petitions. Terms last for the duration of the current WAVE season. During petitions for the Executive Board, all positions will be open and any current WAVE Executive Board members who wish to remain on the Board in any position must re-petition with all other candidates. Executive Board members may be ejected during the season by consensus of the other Executive Board members. ARTICLE V. Meetings will be held at 10:30pm on Monday nights unless otherwise determined by the Executive Board. It is the goal of WAVE to make all group decisions by consensus. If consensus cannot be reached, group decisions will be made by majority vote with the meeting facilitator not voting. In the case of a tie, the facilitator's vote is the deciding vote. ARTICLE VI. In the event of the bankruptcy of WAVE, all Executive Board members who were serving at the time of selection of the season that caused said bankruptcy and were on the Board through the end of the final show of said season shall equally share personal financial responsibility for any debt. ARTICLE VII. The Constitution must be read upon the election of a new Executive Board. Amendments to this constitution will be made by unanimous vote by the Executive Board of WAVE Productions and not considered valid until approved by the Executive Vice President of the Associated Student Government of Northwestern University. The Board can nullify this constitution at any time by consensus.
