document is to provide Transpower RAS users with updated instructions on accessing the Transpower computer network from offsite locations. It contains the same instructions as previous documentation with regards to the process for logging on to the system, how to proceed once logged in and how to log off, but also provides an update regarding the fact that the actual login web address has changed. Transpower Remote Access has new a disaster recovery element, which means that there there are now two servers that users may connect through, one in Hamilton and one in Wellington. The new web address, http://tpras.transpower.co.nz, reflects this in that it will connect the user to whichever server is available at the time of connection. Note: There is no ‘S’ on the end of ‘http’ in the new address This also adds additional resilience in the even of a disaster. At the end of the document Appendix 1 consists of a ‘Frequently Asked Questions’, or FAQ, section which answer the most common questions about RAS that you, the user, have asked. Appendix 2 discusses the various connection methods users can choose when logging in from offsite. Appendix 3 is a ‘Glossary of Terms’ that defines some of the more common expressions that arise. 2 Responsibilities 2.1 Transpower IST Service Delivery Manager The Transpower Service Delivery Manager is responsible for approving and issuing this User Guide and for managing the implementation of this User Guide. 2.2 Users The Users are responsible for using and actioning this User Guide. 2.3 IT Trainer The IT Trainer is responsible for highlighting changes and updates for this User Guide and for ensuring it is kept up-to-date. Turn on the PC 2. Log on to your Internet provider See Appendix for types of connections 3. Open the web Browser On all Windows based PCs, MS Explorer is the default web browser. Other browsers may be used except for Firefox 3 which is not supported, but earlier versions are. 4. Enter the URL http://tpras.transpower.co.nz in the address field, as shown below: Figure 2: The web address of the Transpower RAS Home Page This will change to either https://ras1.transpower.co.nz/my.logon.php3?check=1&fromaxinstaller=1 or https://ras2.transpower.co.nz/my.logon.php3?check=1&fromaxinstaller=1 once the connection has been made. Note: The first time you log in to the new environment you may be required to reboot your computer after the internet browswer has finished connecting. Both addresses will lead to the usual remote access login window: Page 6 of 36 Transpower RAS General User Guide 4.1.2 To Create an Internet Favorite: Click on the Favorites button on the web toolbar: Click on the Add… button Type ‘Transpower Remote Access’ in the ‘Name’ space: Click OK Follow the instructions from step below to enter the correct web address. 4.1.3 To Update an Already Existing Favorite: If you have saved the old RAS connection address to your Favorites you change it by: 1. Clicking the Favorites button on the web toolbar 2. Right click on the existing remote access link 3. Left click ‘Properties’ The properties window opens. 4. Click on the ‘Web Document’ tab to show the web address for the RAS connection: Type the new address in the URL: field – http://tpras.transpower.co.nz. Page 7 of 36 Transpower RAS General User Guide Note Again: there is no ‘s’ on the end of ‘http’. Click ‘Apply’ and then click ‘OK’ Now, whenever you click the link in the Favorites list you will connect through whichever system is the most available at that time. Note: Every time the PC connects to RAS, the following checks will run: Æ Checking Java Script Æ Checking Client Æ Checking Registry Æ Checking A-V software (this is not installing, just checking) Æ Checking Windows information Æ Checking Firewall software 5. Once the checks have completed the Transpower RAS logon window is displayed, Figure 3 Figure 3: Transpower RAS logon window The logon screen has three user input fields. Vital: 4.1.4 To authenticate to RAS all three fields must be completed. Logging on 4.1.4.1 When the logon screen (Figure 3) has loaded, enter your Transpower Username. 4.1.4.2 Enter your Transpower logon password in the ‘Domain Password’ field 4.1.4.3 Push the button on the Vasco Token and enter PIN plus token number into the ‘PIN + Token Number’ field. The format is 1234(pin)567890(token no) = 1234567890 Page 8 of 36 Transpower RAS General User Guide Once logged on to the Transpower network you will be presented with the RAS Home screen. (Figure 4) Applications you are permitted to access show as available via a clickable link, and via the webifyer: Figure 4: RAS Home Page with ‘Web Applications’ webifyer favourite outlined 5 The Links Explained The links are explained in more depth in the following section – click on the link to go to that particular subject. 5.1.1.1 Webifyer The ‘favourites’ list in the left hand column of the window. These ‘Links’ are the icons that are labeled in the webifyer. Clicking on one of these will bring the selection to the main window, eg: Figure 5 Page 9 of 36 Transpower RAS General User Guide Figure 5: Web Applications Webifyer Selection The other webifyer ‘Favourites’ explained: 5.1.1.2 Terminal Servers: A terminal server is a device used to connect to a remote server running specific applications. The main software used for this purpose at Transpower is Citrix. 5.1.1.3 Network Access: Available from offsite to Transpower laptop users only, allows access to the Transpower network drives. Note: 5.1.1.4 If the anti-virus software has not been updated for two weeks, Network Access will not be available. Users will see a message to this effect on the ‘Network Access’ icon in the folder list. See here (p 13) for how to update the software remotely. If after doing this access is still unavailable, log a call with the Service Desk. Web Applications: Applications that have their own web client, eg WebMail, HRIS, USD Customer Portal. These applications are accessed directly using the Internet browser. Application tunnels use software that transfers files via secure methods. Applications accessed this way include FMIS 5.1.1.5 Windows Files: Transpower employees will be able to access the H, I and P drives. All other users (ie nonemployees) will be able to see their home drive (H:\) only. Page 10 of 36 Transpower RAS General User Guide 5.1 Terminal Servers 5.1.1 Citrix To set the screen resolution for Citrix (see note, below) see Appendix (page 23) or click here The Citrix Portal can be accessed using either of the following RAS favourites: • Citrix Portal – Under the ‘Terminal Servers’ link • Citrix Web Portal – Under the ‘Web Apps’ link – will not work on Vista machines. Note 1: The difference between the two is that changes made to the screen resolution for Citrix when in under the ‘Terminal Servers’ link (see here) will not last between sessions, whereas changes made to the screen resolution for Citrix under the ‘Web Apps – Citrix Web Portal’ Link (see here) will be permanent. Note 2: Setting Terminal Session Screen Resolution to a percentage of screen size defaults to 800x600. This only happens with Percentage. Other fixed resolutions work as expected. This is a fault and has been logged with the supplier. Note 3: When the screen goes into ‘Full Screen’ mode in Citrix, the window frame may be brought up by holding down the <shift> key and pressing <F2>. To toggle between the full screen and window ‘frame’ view, press <shift> + <F2> again 5.1.1.1 Citrix Portal Selected from the ‘Terminal Servers’ section of the RAS home page screen (Figure 6). Figure 6: Citrix Portal Link under ‘Terminal Servers’ Most applications will be found on the Citrix Portal. Some users may have other options visible. The Citrix Portal webifyer will launch the Citrix Portal Applications view shown (Figure 7). Note 1: Not all applications will be available to you, this will depend on your Citrix access rights. Note 2: At present application icons are no longer displayed in Folders. Instead all the applications appear in a long list. This is a fault and has been logged with the supplier. Launch applications via Citrix by clicking on the appropriate icon, as shown in Figure 7. Page 11 of 36 Transpower RAS General User Guide Figure 7: Citrix Portal Applications 5.1.1.2 Citrix Web Portal The Citrix Web Portal link provides an alternative method for connecting to Citrix applications through RAS. Launch the Citrix Web Portal by clicking on the link as shown in Figure 8. The Citrix Web Portal will open and the Citrix Application folders will be displayed (Figure 10). Figure 10: Citrix Web Portal Note: The screenshot above is for illustrative purposes only. The visible folders and applications will depend on the user’s access rights. Clicking on a folder (Figure 10) will display the applications available. A Citrix application may be launched by clicking on the appropriate icon (Figure 11). Figure 11: Application menu Page 13 of 36 Transpower RAS General User Guide 5.2 Network Access The Network Access feature of RAS allows direct connection to Transpower’s network shares, with access to network resources and MS Outlook ‘as usual’ rather than through Outlook Web Access. Vital: • For security reasons, Network Access is only available from a Transpower Laptop. • If the anti-virus software has not been upgraded within the previous two weeks, the update may be forced before the two weeks is up by logging on to the Network access portal and right clicking the Antivirus icon on the taskbar: update to finish. Note: . Left click ‘Update Now…’ and wait for the The network access feature is not available to people who are connected to Transpower’s internal LAN already. Click on the Network Access link on the home page. If prompted with the following Security Alert, tick the “In future, do not show this warning for request from this host” and select Yes The Network Access dialog box (Figure 12) will appear: Figure 12: Network Access Dialog box Once the status message in the dialog box reads “Network Access Connection successfully established” Outlook, Citrix etc will be able to be used as if in the office. Page 14 of 36 Transpower RAS General User Guide Note: There is an issue while on Network Access where some windows directories are not accessible, eg I:\Field Services. This is not a RAS bug, it is to do with Transpower’s DFS implementation. If you can’t access a file or folder this way, then try accessing the folder via the ‘Windows Files’ webifyer. Page 15 of 36 Transpower RAS General User Guide 5.3 Windows Files To upload, download or view Windows files, click on the ‘Windows Files’ webifyer in the left pane of the RAS Homepage as shown in figure Figure 13 This will display the Windows files (Figure 14) Figure 13: Windows Files Webifyer Figure 14: Available Drives for Windows Files Note: Only Transpower employees will have access to the I and P drives Select the required folder from the Favourites list (Figure 14). Page 16 of 36 Transpower RAS General User Guide This will present a browser based view of the file shares structure (Figure 15). The directory structure can be browsed to locate a required file in the left hand pane. Figure 15: Folder list view 5.3.1 Options to view the files: Figure 16 shows the options available for viewing/downloading the files. These options appear when you click on a file in the folder list Figure 16: Options to view files 5.3.1.1 View in a Browser Window Allows the file to be opened and read and, if wished, saved locally by clicking File > Save As from within the file or by right clicking on the link in the window. 5.3.1.2 Download as a Zip Archive Click on the ‘Download as Zip’ link in the main window, follow the prompts 5.3.1.3 View as Plain Text Select this option to open as a text file – plain text format, no frills 5.3.1.4 Download Multiple Files Click the ‘Add to Cart’ option Select the required files Page 17 of 36 Transpower RAS General User Guide When the required files have been added to the cart they can be downloaded in a zip file 5.3.1.5 Upload a single file Browse to the specified file, Figure 17. Figure 17: Browse to File Click the Upload File icon and the selected file will be uploaded as in Figure 18 Note: Files or folders cannot be created beneath a folder name with an ‘&’ in them Figure 18: File Uploaded Confirmation 5.3.1.6 Deleting files It is possible to delete files from the Window Files webifyer view, but not possible to delete folders. To do this, click on the file you want to delete, and then click the ‘delete’ tab at the bottom of the window (Figure 19): Note: The file you select will not be highlighted until AFTER you click on Delete Page 18 of 36 Transpower RAS General User Guide Figure 19: Delete file from Windows Files Webifyer Once ‘Delete’ has been selected, the following appears: Figure 20: Delet file selection step 2 Click on to bring up: Figure 21: Delete file step 3 Click ‘OK’ to delete the file. You will receive confirmation that it has been deleted. Page 19 of 36 Transpower RAS General User Guide 5.4 Web Applications Web applications are stored on a server and delivered to users over the Internet. The ability to update and maintain Web applications without distributing and installing software on potentially thousands of client computers is a key reason for their popularity. Common Web applications include Webmail, online auctions, discussion boards, Weblogs, etc. Transpower’s web apps include Webmail, FMIS and the USD Self Service portal. There are two types of Web Application favourites, Portal Access and Web Application Tunnels. The icon for the Web Application favourite indicates its type; a blue icon denotes a Portal Access favourite and a green icon a Web Application Tunnel. The Citrix Web Portal is an example of a Web Application Tunnel. To connect to a Web Application, Click on the RAS favourite for the application as shown in Figure 22. Page 20 of 36 Transpower RAS General User Guide Figure 23: Grid Tracker accessed via the Web App link 6 Exiting the Program 6.1.1 To close out of a section Be aware, putting a laptop into ‘Hibernate’ will cause all of the ras2 connections to close. This did not happen with the previous version. The time-out rate for ras2 is the same as for a Citrix session, ie about four hours. 6.1.1.1 Terminal Servers: For any applications that open a separate window over top of the ‘home’ window, click the ‘X’ in the top right hand corner of the open window and it will close. 6.1.1.2 Network Access: Terminate Network Access by double clicking on the ‘f5’ icon on the taskbar. This is by design, it is supposed to work this way. You will need to log off RAS and log in again. A.1.2 Unable to open Calendar via Ras2 On the Tools menu in Internet Explorer, click Internet Options. Currently there is no way to make the change permanent, users will need to do this each time they log in this way. Please fill in all the fields indicated in Figure 44 including your pin and Vasco token number Figure 39: PIN no fields A.1.7 Changing your PIN Number You can change the pin number by entering a new pin number TWICE after entering your existing pin and Vasco code. For example, current PIN 1234, New Pin 9630, Vasco code 987654 Enter 123498765496309630 into the field. A.1.8 Phishing Phishing refers to a criminal activity that uses social engineering techniques to gain access to sensitive information. The purpose of a “phishing attack” is to acquire sensitive information such as passwords, account numbers or credit card details by masquerading as a trustworthy person or legitimate business. The attack is usually initiated via an electronic communication such as email or instant message. Never: Page 31 of 36 Transpower RAS General User Guide • Respond to emails requesting personal information such as passwords, credit card numbers, account numbers, etc. A reputable business will never ask you for this sort of information. • Visit Transpower’s Remote Access Service site via a website link embedded in an email. The website link may look genuine but there are several ways that this can be faked taking you instead to a website set up by a fraudster. Always: • Type the address of Transpower’s Remote Access Service into the web browsers address bar. Alternatively use a bookmark that you created. • Check that a website is secure before submitting your logon details. Hint: You can do this by checking the web address in the address bar. If the website is on a secure server it should start with ‘https://’ (‘s’ for Secure) rather than the usual ‘http://’. Look for a padlock icon on the browser’s status bar. • Check that the web address is correct (i.e. ras2.transpower.co.nz). • Report suspicious activity. If you receive an email that you suspect isn’t genuine, report it to the Transpower Service Desk. This information can be used by the organisation to warn others about new or current email scams. • Keep your anti-virus software up-to-date and install the latest security patches. Tip: Phishing emails will often contain bad grammar and spelling Page 32 of 36 Transpower RAS General User Guide A.2 Notes on Internet Connection Methods The following sections give some guidance on connecting to the Internet. Note that these notes relate particularly to connecting from a Transpower Laptop. Not all sections below will relate to the facilities you may have available to you in your particular situation, but they are included for general information. A.2.1 Telecom Mobile Broadband – New Zealand The following table details how to connect to Transpower from within New Zealand using the Telecom Mobile Broadband Data Card. This method uses the 3-G broadband method Step Action 1. Make sure the laptop is powered on, and plug the Sierra Wireless AirCard into the slot until the light flashes. 2. Double click the Air Card 580 Watcher/Evdo Watcher icon on the desktop. 3. Select the Telecom3G. 4. Click the Connect button. 5. Open the internet explorer and go to ras2.transpower.co.nz here A.2.2 Telecom Mobile Dial – Australia Note: A.2.3 Connection from Australia is not currently possible, but GSM Telecom cards will be available from the loan pool at a future time. Vodafone Mobile Connect The following table details how to connect to Transpower from anywhere there is an available Vodafone 3G & GPRS network, using the Vodafone Mobile Mobile Connect Card. Step Action 1. Make sure the laptop is powered on; plug the Vodafone Mobile Connect Card into the PCMCIA slot. 2. Double click the Vodafone Mobile Connect icon on the desktop 3. 4. If you are outside New Zealand, you will need to select a network that supports 3G or GPRS in the country you are in. • From the Tools menu, select Network. • Select an appropriate network • Click OK. Wait for the bottom left hand corner status to show 3G Vodafone NZ then click Connect. Page 33 of 36 Transpower RAS General User Guide You can now open the internet explorer and go to ras2.transpower.co.nz. 5. A.2.4 Connecting Through Your Broadband Connection at Home It is possible to connect to Transpower through your broadband connection from home. There are two methods that may be used: • wireless if you have a wireless access point • through your LAN connection. Note: Wireless To use a wireless connection at home, you will need a wireless access point Your connection can be enabled by turning on the wireless switch on: • the left hand side of the laptop, if you are using a tablet laptop • the front right hand side of the laptop, if you are using any other Toshiba model. You can use the LAN connection on the back of your laptop. Simply plug the cable from the DSL router into the LAN port on the laptop. LAN A.2.5 This will not work with a TelstraClear router box as TC boxes use fixed IP addresses and this system needs dynamic addresses. A TelstraClear system with a different (Telecom) adsl box will work fine. Landline/Remote Access Server (RAS) This may be redundant as more and more users have changed to broadband access. The following table details how to connect to Transpower using the laptop’s Landline/RAS modem and an analogue phone line. This can be done from anywhere in the world. Step Action 1. Connect the modem to an analogue phone connection. Note you will need an appropriate cord. IT can assist with this. 2. From the Start menu, select Settings, then Network Connections Select an appropriate location to dial, and double click on it. 3. Note: If you are in a hotel room, you may have to prefix the number with a 1 (or similar) to get an outside line. It is also possible to use a Telecom Calling Card or ATT Global card by typing the numbers from the card into the Dial field. 4. Enter your RAS User name and Password, and click the Dial button (see Note, above). Result: You will now be connected to the Transpower network. 5. You can now open the internet explorer and go to ras2.transpower.co.nz. Page 34 of 36 Transpower RAS General User Guide A.2.6 Connection from a Hotel While travelling overseas, you may wish to use a hotel’s internet connection. This may mean connecting directly from a network port in your hotel room, or using a wireless connection in the public areas. Before Leaving Enabling Internet Access Enabling Wireless on your Laptop Confirm the hotel you are staying at has high-speed internet. Contact the service desk if you want to discuss requirements. The hotel should provide a cord to connect your laptop to the high-speed internet connection in your room If you are having problems, please contact the hotel front desk and they should be able to help you. If the hotel provides wireless access, most public areas in the hotel (including conference rooms) should have wireless access points. To connect to the wireless access points, the wireless connection on the laptop needs to be turned on. This switch can be found on: • The left-hand side for tablet laptops • The front right for standard issue TP laptops When connected, the wireless status light is green. If you are having problems connecting to the wireless access point, please see the hotel staff. They should be able to help. A.2.7 Configuring the Proxy Settings: Proxy Settings need to be configured when connecting to home or hotel wireless, are NOT required when using a remote access card, eg T3G, Vodafone Follow these steps to configure the Proxy Settings. This will work at most hotels. Step Action 1. Contact the Service Desk and request addition to the Change Proxy Settings group. You will not be able to proceed without this. 2. Click once on the Internet Explorer icon on the desktop, and then right click and select Properties from the menu. Click the Connections tab, then click the LAN Settings… button. 3. Remove the tick from Use a proxy server for your LAN (These settings will not apply to dial-up or RAS connection). Tick Automatically detect settings. Click OK. Result: You should now be able to use your browser to connect to the hotel network. You can now open the internet explorer and go to ras2.transpower.co.nz. 4. 5. Note: The proxy box needs to be reticked once back at Transpower. Telnet, FTP and e-mail all send your username and password in clear, unencrypted text. When a file is transferred to a remote machine, the information is routed through several machines to get there. Anyone along the route can access what is sent, including your username and password.
