August 2016 University Office of Budget and Finance SAVINGS INITIATIVE: ENTERPRISE PRINT MANAGEMENT (EPM) PROGRAM Projected to Save University over 30% in Printing Costs The University has begun the implementation of an Enterprise Print Management (EPM) program. CUNY is utilizing a competitively bid contract that the New York City Department of Citywide Administrative Services (DCAS) awarded to the Xerox Corporation in 2014. While EPM is not a new concept in private industry, the contract with DCAS is the largest with a public sector agency. Goals of EPM: The goals of this program include rightsizing the number of multi-function print devices and creating a greener environment by introducing eco-friendly devices that reduce power usage, have lower emissions, require less space, use fewer supplies (paper and toner) and reduce waste. Benefits of EPM: Some benefits of the program in addition to cost savings (which are outlined below) include sustainability enhancements; reduced reliance on local IT resources; improved print security; eliminating wasted inventory; proactive vendor monitoring to eliminate wasteful surplus of consumables and break fix calls; a single point of contact for problem resolution; better data on volume and usage management. Price Comparison: - The costs of the traditional print program versus the EPM are highlighted below: What’s included in the Contract? Cost of copiers/printers/fax machines Cost of toner and staples Cost of maintenance Cost of paper A “click” charge, i.e., a charge per print or copy impression Traditional Model (costs both fixed and variable) No, must purchase or lease separately No, must purchase and store separately No, must purchase separately No, must supply Not applicable EPM (pay only for what is printed) Yes, included in ‘click’ charge Yes, included in ‘click’ charge Yes, included in ‘click ‘charge No, must supply $0.0227 per copy for black and white and $0.0759 for color is charged Current Participants and Proven Success: EPM has been fully installed at Bronx Community College, and they are projected to save at least 33% (or app. $140k) in printing/copying costs. EPM has also been installed in two central office locations, and at the Advanced Science Research Center (ASRC). Installations at several other CUNY colleges are in process including at Lehman College, York College, and Medgar Evers College. Because of the numerous benefits including the projected costs savings - we intend to roll out this program University-wide. Ensuring Success: below are a few lessons learned from the implementation of the EPM program: • Executive support of the program is a MUST in order to ensure success • Marketing of program and user buy-in are critical components of selling the program • Additional training required for users, early and often • Controlling color usage and reducing individual office devices is essential in achieving substantial cost savings Contact: If you are interested in hearing more about the program or scheduling a visit with the Xerox implementation team, please contact Stephen Delmar at 646-664-3177, or at [email protected].
