However, elements of the Stage Gate Process still need to be considered by individuals intending to work collaboratively with another lead institution, in particular: Project Management Ensure that budget, timeline, dissemination plan, project management, working group membership, evaluation framework have been discussed and agreed to by all collaborators Support from Head of School A letter of support from your Head of School regarding requests for teaching relief or relief from normal duties is required. A letter must be provided from each institution requesting teaching relief or relief from normal duties Support from Collaborators A letter of endorsement from the DVC(A) must be obtained. Institutions cannot be listed as partners in the absence of letters of endorsement 10% Infrastructure Levy A maximum of 10% may be claimed towards institutional administration and overheads. This does not include overheads associated with salaries. Flinders University requires the inclusion of the 10% levy on all ALTC Grant applications. This includes the Flinders component of a lead institution’s budget (where Flinders is a collaborating institution). You need to be aware of your lead institution’s policy on the infrastructure levy and inform them of the Flinders University policy. Where they do not include the levy, you must obtain written authorisation from your Executive Dean to waive the Flinders component of the Levy Stage Gate 1 Project Brief Stage Gate 2 Project Proposal First Draft Stage Gate 3 Stage Gate 4 Second Draft Final Draft Stage Gate 5 Submission to ALTC Outcome Follow-up STAGE GATE 1 – PROJECT BRIEF: Applicant Details Your Name Faculty Email Phone Grant Program Scheme Program Priority Area Project Title (15 words) Key Words: To assist in analysis and web searches please list key descriptors/search words (20 word limit) STAGE GATE 1 – PROJECT BRIEF: Requirements Before submitting your 2 page Project Brief, please ensure that the Project: Aligns with ALTC Priorities / Objectives See: www.altc.edu.au Benefits and contributes to the University, Higher Education and Industry Sectors Engages with relevant literature and identifies previously funded ALTC Projects if applicable Proposes collaboration with other institutions/organisations and these have been contacted to garner support Notes: Methodology is not so important at this stage. A detailed budget is not required yet but some indication of feasibility within ALTC funding limits IS expected. SUBMIT PROJECT BRIEF: Staff from the Centre for University Teaching will contact you shortly to discuss your Project Brief. STAGE GATE 2 – PROJECT PROPOSAL / FIRST DRAFT: Requirements Your Project Proposal (first draft), should check/ confirm the following: Application Requirements The draft includes all the required components of an ALTC Grant Application incorporating a 10 page proposal plus required attachments See: www.altc.edu.au/grants-how-to-apply Support from Head of School A letter of support from your Head of School regarding requests for teaching relief or relief from normal duties is required. Where they do not include the levy, you must obtain written authorisation from your Executive Dean to waive the Flinders component of the Levy Ethics If it is likely your Project will require Ethics Approval, this needs to be acknowledged and the appropriate contact needs to be made to commence the Ethics Approval process SUBMIT FIRST DRAFT: Staff from the Centre for University Teaching and/or a member of the College of Distinguished Educators will now undertake a comprehensive review of your draft, checking for substantive quality and compliance with ALTC requirements. You will be contacted to arrange a meeting to discuss feedback from this review. STAGE GATE 3 – SECOND DRAFT: Requirements You have worked on your First Draft, incorporating feedback and developing all required components. Before submitting the Second Draft, you need to ensure the following has been addressed/included: Feedback Stage 2 feedback has been addressed and, where feasible, incorporated into the application Budget Detailed budget is included and explanatory notes provided where necessary. See Budget Instructions and Budget Template: http://www.altc.edu.au/grants-how-to-apply Timeline The timeline should assume that the project will begin in the year in which funding is approved, immediately after the funding agreement administration has been concluded. For projects designed to go beyond 12 months the timeline should be developed around stages with discrete staged outcomes and deliverables for each year of the project. Timelines need to recognise the lead-up time required for large projects or those with a number of partners to develop a shared language and local commitment. Careful consideration should be given to the number and type of partners and their contribution to ensure the project is manageable Dissemination Plan Your project should: establish a communication plan that includes regular communication with the project team, institution, stakeholders, the ALTC and the wider national community ensure that evaluation is undertaken at multiple points throughout the project and is understood and reported within an evaluation framework Evaluation Framework All projects provided with funding of greater than $120,000 must commission a formal independent evaluation of the project. This evaluation should be factored into the budget and the timelines for the project. A resource to assist with planning the evaluation of projects is available on the ALTC website at: http://www.altc.edu.au/extras/altcgsep/ index.html Qualifications and Experience The qualifications and experience of the project leader(s) and project team need to be attached (limit three A4 pages). The statement on the project leader/s should include a list of all current projects, research and fellowships, including the progress of any ALTC funded activities involving the project leader, and an estimate of the time that the leader(s) can contribute to the proposed project. Note the restriction on the number of ALTC grants and fellowships for which individuals can take substantive responsibility Institutional/ Industry Support A letter of endorsement from the PVC/DVC (Academic), or equivalent, of partner institutions is required as an attachment for collaborative projects SUBMIT SECOND DRAFT: Staff from the Centre for University Teaching will conduct a final compliance check against ALTC requirements, including the timeline, application format and your dissemination plan. You will be contacted to arrange a meeting to discuss the feedback from this review and your Final Application. STAGE GATE 4 – FINAL DRAFT: Requirements Before the staff from the Centre for University Teaching can submit your application to the ALTC, conduct a final check to ensure the following has been included: Letters of endorsement Letters of endorsement from the PVC/DVC (Academic), or equivalent, of partner institutions are included Budget / Timeline / Dissemination Budget, timeline, dissemination plan, project management, working group membership, evaluation framework are all polished and confirmed by all collaborators Qualifications / Experience The qualifications and experience of the project leader(s) and project team need to be attached (limit three A4 pages) Design specifications Applications which propose technological developments must submit design specifications (limit one A4 page) SUBMIT FINAL APPLICATION: Your application will now undergo a final proof read by staff in the Centre for University Teaching and Flinders University endorsement will occur. Staff from the Centre for University Teaching will progress your application to Stage Gate 5 and submit it to the ALTC via its online grant application portal, forwarding copies of the complete application by email to all project team members. You will receive an email confirming a receipt of your application from the ALTC. The ALTC will inform you directly of the decision regarding your application and staff from the Centre for University Teaching will contact you within days regarding this decision to discuss any future requirements.
