The Brookes APTT – A “Leap of Faith” BI implementation My best slide - The system architecture Prototype data mart BIDM In-house student system Source Oracle Data warehouse DWBI Text, Excel Transform Prog reviews Engine Student numbers HR, Finance (planned) KPIs QLIKVIEW “Leap of Faith”? – Sort of, but not entirely The story is about tackling barriers • Vision • Benefits • User base • IT priority • Funding X ? X X X Hoping that you can substitute CRM where I say BI First, a few words of context for BI at Brookes Characterised as: Limited access to and trust /interest in management information on students Some well managed Business Objects reports – but almost all Finance /HR. No integration / consistency with student info Many ‘local experts’ in faculties using Excel etc. OBIS (IT) struggles to get a clear, University-wide brief from the faculties Bottlenecks in my team So what about tackling those barriers? Vision • • • • • X A big incentive to resolve those bottlenecks Like-minded boss Partial vision – improve the above Recruit an expert Articulate the vision o Everyone can obtain useful, meaningful, consistent, comprehensive information quickly o “Single version of the truth” • Enhanced that through the BI Manager and some project governance (not too much) and from what we learned Vision A few more words about the vision We needed a BI implementation strategy…. … a software implementation strategy? … a culture change? “data driven culture” BUT BEWARE “…Our software will solve all your BI problems…” Changing ways of working Starting small with a manageable timeframe Not Tech driven More challenging So what about tackling those barriers? ? Benefits • Simple memorable mantras o “Single version of the truth” o “Evidence based decision making” • But principles that have an impact on the project implementation o o o o Data Mart Scaleable solution Strong and simple visualisations Filters and drill-downs • Proven with the passage of time – hard wired into University processes Benefits So what about tackling those barriers? User base X • “Visible to”/“Impacting on” Senior Team priorities (word of mouth) • Linkage to existing business processes (warning) • Scale-up at a rate that can be supported • Ongoing support resource issues User base So what about tackling those barriers? IT priority X • Risk of creating a mini IT team • Where do the costs sit (software purchase, software maintenance, servers etc)? • Incremental shift to mainstream support from IT – work in progress • Scaling up to a Data Warehouse solution IT priority So what about tackling those barriers? Funding X • Seed funding approach • Senior Team sponsor, may mean adjusting the priorities, but worth it • Keep thinking about the user base and demonstrate value • “Can’t do without it” scenario • Manage expectations for growth and development Funding 5 YEARS LATER - THIS IS HOW WE USE IT NOW APTT user registrations over the last 5 years Academic Performance Tracking Tool (APTT) plays a key role in: • Strategic Planning • Key Performance Indicators • Applications & Enrolments • Operational Planning • Programme Review • Module Review • Academic Adviser • Data mining/analysis • Detailed Programme Statistics • Student Lifecycle APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS APTT USER SURVEY RESULTS
