Desert Institute for Spine Disorders, PC Medical Assistant Job Description Job Summary: This position is responsible for clinic activities, direct patient contact, medication refills, and authorizations for tests or medications, responding to patient questions and working directly with the physician or other authorized providers to augment patient management. General Duties: Oversee patient flow. Assists the provider in planning and implementing marketing to increase business Establish and implements office policies, and procedures. Maintains knowledge of all areas of the practice and how each functions and supports the practice. Ensures all patient concerns are handled correctly by recommending and implementing corrective actions. Serves as liaison between the practice and outside doctors offices/hospitals Familiarity with and adheres to employee manuals, job descriptions and the policy and procedure manuals for the front and back office. Maintains medical records by proper assembly, accurate and timely documentation, accurate scanning, and confirming the accuracy of insurance address, and referring physician data. Ensures that HIPPA and OSHA regulations are maintained and followed. Helps radiology organize and maintain film library. Medical Secretary Clinical Prepare waiting room and exam rooms to be neat and comfortable. Prepare exam room equipment as needed (Models, teaching charts, instruments, drugs, etc). Escort patient to exam room, prepare for exam, take vital signs as needed, take history, remove sutures/braces/dressings, ensure x-rays, test reports, last dictation, patient educational materials are available to the physician. Establish RELATIONSHIP with patient, answer questions, and reduce patient anxiety. Assist physician with any procedures. Job Description- Medical Assistant Page 1of 3 rev 4 Aug 2009 Discuss treatment with patient as directed by physician (medication, procedures, surgery recovery, DME use etc.) and educate patient on use of any DME supplies ordered. Ensure charge tickets are complete with DX, CPT codes circled, any medications given etc. and all charge tickets delivered to front office at the end of each day. If DME supplies are used, proper paperwork is completed per policy. Correctly complete lab requisition forms for outside lab. Collect data (photos, measurements, and questionnaire) for clinical studies as needed. Obtain authorization and schedule office appointments, surgery, physical therapy, and diagnostic or therapeutic tests, unless done by the front office scheduling coordinator. Obtain results of tests for next office day. Document procedures, patient care, and patient discussions in the medical record. Call in prescription refills. Return patient phone calls in a timely manner. Organize and attend scheduled in-services and educational programs. Stock shelves with delivered supplies. Order and maintain stock of all needed medical supplies. Help physician/PA/NP complete disability forms, scan document into patient chart, after fees are collected. Accumulate data required for surgery (History and Physical report, recent radiographs, MRI, and CT scans, preoperative clearance from PCP or other specialist, lab, CXR, and EKG results.) 2-7 days prior to surgery. Review all incoming radiology reports for action (infection, malignancy, tumors, destructive lesions, fractures, and epidural hematoma), and notify the physician/PA/NP ASAP. Review all lab results for abnormal values (especially the WBC, C-Reactive Protein, and ESR) and notify the physician/PA/NP ASAP. Office Hours: Monday – Friday, 8:00am – 5:00pm. This position is also required to participate in vacation and illness coverage when the other practice staff is unavailable. Qualifications: Must possess a strong knowledge of the health care industry. Two years plus medical office management and supervision experience is needed. Must have the ability to create a ‘team focused’ work environment; with proven communication skills with all levels of employees and providers. Strong computer skills are required, including proficiency in MS Office, MS Excel, etc. Physical Requirements: Full use of both arms and legs Job Description- Medical Assistant Page 2of 3 rev 4 Aug 2009 Ability to frequently lift and carry up to 10lbs, Occasionally have to lift or carry 11-40lbs Frequently have to bend/stoop, squat, climb, reach, crouch, kneel balance, push/pull 5(five) to 7 (seven) hours or more Ability to hear calls for assistance, emergency alarms, overhead directives, phone calls, etc. Ability to smell odors such as smoke, chemicals, human waste, etc. Must be able to assist patients onto stretchers, perform assessment, remove sutures/casts/braces/dressings. Must possess the ability to speak, write, see and hear to perform the essentials of the job. Must possess verbal and written communication skills in English.
