European Aligner Society Congress Vienna February 13-14, 2016 ALIGNERS: A CLEAR NEW ERA IN ORTHODONTICS The European Aligner Society (EAS) is delighted to invite you to the 1st European Aligner Society Congress taking place in Vienna on the February 13 and 14, 2016. Once every two years, the world’s leading aligner clinicians and allied professionals will have the opportunity to meet, network and exchange knowledge and ideas with colleagues and peers from across the European Union and beyond. The Congress will provide the ideal forum for clinicians from Europe and across the world to improve their knowledge and clinical skills and to enhance the science and art of aligner orthodontics. About the EAS It is understood that each country (whether within the European Union or not) will have different local needs provided by their local associations and organisations. The EAS does not intend or want to replace those local associations but rather to create a resource full of knowledge, opportunities for collaboration and sharing of information relating to all aspects of aligner therapy. The EAS will provide that resource. The EAS has been established to bring together all the clinicians and manufacturers who are involved with aligner therapy to use their combined strengths to raise the awareness of the effectiveness and the outcomes of aligner based treatment. The European Aligner Society aims to provide information on orthodontic aligner therapy to clinicians and the public through effective communication and education. Information will be underpinned by research and the promotion of high standards in orthodontic aligner treatment. Congress Programme We are looking forward to this Congress providing a perfect forum for showcasing the latest developments by renowned experts in the field. The programme will be defined by both experience and innovation. The Congress will begin on Saturday, February 13 with the Opening Ceremony and Keynote Lecture at 09:30. The Scientific Programme has been developed to cater for both the Orthodontists and the Allied Health Professionals which include dental technicians, hygienists, dental attendants and office staff. In addition to this programme, specific workshops on aligner therapy, new technologies and diagnostic procedures will be held on Sunday, February 14. Please find below instructions for the layout and submission of abstracts. Abstracts should focus on one of the congress topics: • Aligners potentials and limitations • New technologies applied to orthodontics • Aligners on the vertical plane: open and deep bite cases • Aligners on the sagittal plane: Class II and Class III cases • Aligners and transversal malocclusions • Aligners and TADs • Aligners and research • Case reports • Free topics. Abstracts should contain no more than 350 words characters, including spaces, and must be written in English and structured in the following format. TITLE: In capitals (160 characters maximum, including spaces). Do not use abbreviations (e.g. does RT-PCR represent reverse-transcription polymerase chain reaction or Real-time polymerase chain reaction?) AIM: An introductory sentence indicating the objectives and purpose of the study. MATERIALS (or SUBJECTS) AND METHOD: A description of the methodology, including statistical evaluation. RESULTS: A summary of the results (a statements such as 'the result will be discussed' is not acceptable). CONCLUSIONS: A statement of the study's conclusions. Figures, tables and illustrations may not be included in the abstract. Each participant may submit up to two abstracts as a presenting author, either an oral and poster OR two posters. Only three authors can be included on any one abstract. Radiation Protection: Clinical practice, recommendations, regulations and legislation regarding the use of ionizing radiation in medicine and dentistry varies between countries. Please be aware that your submission will be judged by European Standards. Reviewers may reject submissions that do not comply. Once submitted, the abstract cannot be modified. You will then receive an e-mail acknowledgment confirming receipt. If you do not receive an acknowledgment please the EAS Scientific Chair through [email protected] All submissions will be reviewed by the Scientific Committee prior to deciding whether or not they can be accepted in the final program. It is the submitting author's responsibility to ensure that the abstract is accurate and well written. Only abstracts submitted by authors who have paid their congress registration fee in full by December 20, 2015 will be published The deadline for abstract submission is October 31st, 2015. Abstracts received after that date will not be evaluated. Notification of acceptance/rejection of abstracts will be sent by e-mail to the corresponding author by December 10th , 2015. POSTER PRESENTATION GUIDANCE NOTES • Acceptance of a poster carries the obligation to present at the 1st EAS Congress • The poster must be presented in PORTRAIT format at a size of 89cm wide x 127cm high (the size can be set under Page Set-up on the File menu tab). • Please use the highest resolution of imagery available at all times, regardless of file size – instructions have been provided on producing high resolution images. It is essential that you do not have images and text too close to the edge of the poster, as they may be cutoff during the printing process – please ensure that you have a margin of at least 5mm. • A photograph of the presenting author must be visible in the top right-hand corner of the poster: this must be a maximum size of 8cm wide x 10cm high. • A maximum of 3 authors per poster is admitted • A maximum of two poster per presenting author is admitted • The deadline for poster submission is October 31st 2015. • Posters will be displayed on the EAS website 3 weeks in advance of the Congress for evaluation and delegate viewing. • The posters will be printed by you and taken to Vienna by you. They will be placed on the poster boards assigned and the main author presenting the poster MUST be in attendance for delegate viewing for both February 13 and 14. REGISTRATION FEES Registrations are processed directly by the EAS Secretariat and EAS Vienna Congress Secretariat. There is no deadline for registration for members of EAS who all benefit from a reduced rate up until the Congress registration close date For non-members, the deadlines for early registration at a reduced fee is December 11, 2015. The final deadline for registration is January 15, 2016. After this date, registrations will be exclusively accepted at the Congress, if spaces are available, with an additional fee of € 65.00. The registration fee includes: Congress kit, attendance certificate, entry to the Exhibition Hall, morning and afternoon coffee/tea, lunch on Saturday 13, morning coffee and post Congress reception on Sunday 14, February. ACCOMPANYING PERSONS There is no charge for accompanying persons, unless the accompanying person wants to join the delegates for lunch. A lunch charge of 40 € will be added to the delegate’s room bill or paid directly to EAS at the Secretariat Office. Attendance at lunch on Saturday by accompanying persons must be notified on the registration form and payment can be included with registration. Lunchtime access by accompanying persons will NOT be permitted under any other circumstance. Accompanying persons CANNOT access the lecture halls and will therefore not be issued with passes for access into the Congress. However, an identification badge will be issued for those joining Saturday lunch and the post-Congress reception. ACCOMMODATION EAS has negotiated advantageous room rates with Hilton StadtPark for the duration of the Congress. Delegates will make their own reservations using the Hilton on-line booking option - Personalised Online Groups (POG). Bookings will be guaranteed by the delegate’s credit card. CONGRESS CANCELLATION POLICY Requests for refunds must be received in writing or by email (and acknowledged) to the EAS Office by February 3, 2016. There will be a 50% refund if the cancellation is received by February 3, 2016. Cancellations received after this date will not be accepted. HOTEL CANCELLATION POLICY Cancellation of rooms booked through EAS Secretariat are charged at the first night’s rate when cancelled 6 – 2 weeks prior to arrival. The entire stay (2 nights) is charged for cancellations within 2 weeks prior to arrival. Rooms booked through Hilton Vienna are bound by the Hilton’s individual reservation cancellation contract. Photographs By attending this event and/or associated events as part of the European Aligner Society (EAS) Congress, you consent to being filmed or photographed. The charge for this is 100 € and booking will need to be made on the Congress registration form. The dinner and evening will have a Valentine theme and the meal will be styled to reflect this romantic occasion. Bring your partner for a romantic weekend in Vienna and celebrate with your colleagues and EAS. There are no organised tours during the Congress but information about what to do in Vienna will be available to Congress registration. Congress secretariat will endeavour to facilitate groups should accompanying persons wish to see specific sights. Costs will depend on the place of interest and numbers wanting to join. Otherwise, Vienna is yours to enjoy as you please.
