Facilities Departmental Procedure
Postings, Displays, and Bulletins on Campus
This procedure is intended to provide overall direction as to permitted locations, content,
authorization, and enforcement of notices, posters, handouts, and banners throughout
Kwantlen campuses.
Kwantlen supports publicity opportunities for learning, services, and information sharing
and recognizes the need to maintain an orderly appearance appropriate to the
university campuses’ overall appeal.
Advertisements are intended to support Kwantlen, its students, and programs.

Posted information is to reflect the diverse, respectful, and professional atmosphere
expected within the university.
Advertising, posters, or bulletins are to have a relationship to Kwantlen programs,
students, and employees.
Supply, Installation and Location of Bulletin Boards
Facilities will provide bulletin boards for notices of general interest to the campus
community. These will be referred to subsequently in this document as “general bulletin
boards”. Instructions for use of the bulletin boards will be fixed on the bulletin boards.
The bulletin boards will have a consistent appearance across all campuses to be readily
identifiable.
The Kwantlen Student Association, Kwantlen Faculty Association, BC Government
Employees Union, various faculties and departments will be permitted to purchase and
have Facilities install bulletin boards for their specific use in locations mutually agreed
to. Such bulletin boards will be referred to as “designated bulletin boards”. These
bulletin boards are to be of products other than that used for the general bulletin boards.
All existing departmental boards are acceptable and new boards of comparable
products such as cork and glass cases are acceptable.
Postings
Postings are to be placed on notice boards and display surfaces specifically provided
and are not to be attached to building surfaces (windows, doors, exterior surfaces)
building grounds (lamp standards, windshields) .
To maintain an attractive campus, profile entrances or other locations may be banned
from any postings in an effort to ensure a neat, orderly, and presentable appearance.

Special circumstances:

Temporary notices for classroom changes, class cancellations, or other urgent
instructor notices may be placed on classroom or office doors and are to be
removed by the end of day or other appropriate time frame.

Elections/ advertising campaigns/ celebrations. A written request indicating
rationale and proposed locations is to be submitted a minimum of 2 weeks prior
to the request posting date to the Manager Facilities Operations or designate.

Directional signage for “day of” events

Banners are considered as an exception for special events, approved
campaigns, celebrations, and anniversaries. Given the significant impact to
facilities, egress, and safety, approved banners may only be posted in direct
consultation with the Manager, Facilities Operations or designate.
Guidelines for Posting on General Bulletin Boards
All postings for general bulletin boards are to;






display a posting date
be posted for no longer than one month prior to an event and be removed day
after the event or two weeks from date posted
be no larger than 11”x 17”
held in place by push pins (glue, staples, tape not permitted)
be limited to one posting per bulletin board
may not be affixed over other posters
Elections posters (union or student) may be only displayed between the close for
nominations and the final day of voting.


special consideration may be granted for reduced enforcement of excess posting
during times of student/union elections.
Candidates are responsible for removal of their posters immediately after the
final day of elections

Monitoring of this Procedure and of Posting Content
Advertising containing; violations of human rights; intentional slander or
misrepresentations; breaches of any municipal, provincial, or federal law will not be
tolerated and will result in immediate removal of the notice. Question or concerns about
content are to be directed to the group responsible for the noticeboard. For example
KSA, BCGEU, KFA, Department or in the case of general noticeboards the Marketing &
Communications Department
Designated notice boards shall be identified and controlled by the assigned department.
All other boards are considered general use and may have contents removed without
notice per this procedure.
Undated postings, out of date postings, or excess postings which hinder other
information sharing may be removed by any member of the community. Security/
Facilities will routinely clean up the general noticeboards.
Any postings placed in unauthorized locations may be removed without notice by
Security/ Facilities
Cost to remove, dispose, clean up, or repair facilities and grounds may be borne by the
organization or department posting notices/ advertising
Any postings, advertisement campaign, or other activity may be limited if it is felt to be
disruptive to the delivery of normal campus operations and academic teaching.
Environmental Consideration
Kwantlen strives to reduce unnecessary paper use by redirecting internal information
sharing and updates away from postings and towards electronic communication
systems.

Handbills, mailbox distributions, and stacked handouts are discouraged.
Unauthorized marketing campaigns are not permitted on Kwantlen campuses.
