Fundraising Development Facilitator Guide PA Collegiate Summit 2009 Fundraising Development 2009 Module Overview Audience: American Cancer Society staff and Relay For Life volunteer leadership. Recommended group size: 20-35 Time Required: 1 hour and 15 minutes Number of Breakouts: 4 Preparation: Room Set-Up: U-shape with participants sitting on the outside or round tables. Table in front of the room for facilitator materials, handouts, etc. Decorations Flip Chart and Easel. Allow sufficient time to: Create flipcharts (to do at Sept. meeting) Distribute handouts (Em will make copies in the office) Decorate the room. Welcome participants. All preparation should be completed Friday. Objectives 2009 PA Collegiate Summit 3 Fundraising Development 2009 PA Collegiate Summit 2009 Make you aware of the need within the American Cancer Society mission Create an understanding of Team Affiliations and how to use them to further fundraising Share best practices 4 Fundraising Development 2009 Icebreaker: Hot Air Express (5-8 minutes) Depending on how many people are in each group, groups of 8-10 will be created. Each group will receive half as many balloons/people in each group. The object of the game is to get all of the balloons in the group over to a specific location in the group the fastest, without using their hands. The balloons will already be blown up and in a corner. Each team will be told that they have to get all of the balloons of their team’s color over to the other side of the room without using their hands. Groups a minute to strategize, but after that they have to begin. Each group has to complete the task before the activity ends. When the groups finish, they have to sit down where they’re at. Explain: This activity is to strategize or problem solve. Each team will probably have cheerleaders, guides, coaches, referees, observers, and doers to get the activity complete. This emphasizes that everyone is needed to help with activities. Agenda Topic #1: Mission and Fundraising! (20 minutes) ________________________________________________________________ Mission and Fundraising (20 minutes) It’s not secret that we are here fight cancer! Obviously there are always challenges in this fight, in our case it is fundraising. But we can use our talents, resources, and the reason we fight to help overcome our fundraising challenges. Today’s breakout is going to help shed light on how you can put mission back into fundraising, learn what is happening on campuses around Pennsylvania, and how we can assist team affiliations with reaching their fundraising goals. As Colleges Against Cancer Chapters and Relay For Life events we are hosting awareness events. We can use these events to put the mission back into fundraising. We all know the mission of the American Cancer Society...simply put we are eliminating cancer through Education, Advocacy, Research, and Services. Does any one know what that actually means…? How tangible is that? 1. The Mission of The American Cancer Society Eliminating Cancer By Education, Research, Advocacy, Services We are going out and telling people we need to fundraise BUT we do not always show the need. We know what we need to fundraise…but does everyone on your campus 2009 PA Collegiate Summit 5 Fundraising Development 2009 know? Do people know that American Cancer Society is the most trusted name when someone is battling cancer? 2. What does the mission mean In PA? 191 1,900 54 100,000 Today 191 people will hear the words you have cancer 1,900 will find answer to their questions about cancer through 1.800.227.2345 and cancer.org 54 people will have a place to stay during treatment at no cost $100,000 in American Cancer Society research will be conducted looking for new treatment options and potential cancer breakthroughs As you can see there is a growing need everyday of the year. 69,715 people will be newly diagnosed with cancer in Pennsylvania Now that we have the need…How do we get the information out and incorporate fundraising into the events. 3. We have the need…How do we get the message out? Breast Cancer Awareness BakesaleGASO Turkey Sandwiches Great Americans Sports Tournament As you can see fundraiser can be more than just raising money but educate those about the need and the reason we are fundraising. Everyday new people are diagnosed, more services are needed. As committee members on our college campus is our responsibility to help team captains and participants know about the need. How can we help them. II. Team Affiliations and Fundraising (25 minutes) When looking at your events you see specific groups of individuals forming teams. Can anyone name these groups on campus? The American Cancer Society has developed a program to assist all of you with recognizing who you have campus and what you have to work with. This program if you are not aware of is called EAPT. You may have used this during your goal setting. If you have not NO WORRIES work with your staff partner to get a copy and guidance on the program. 6. This part can help us in our fundraising on campus by staying in contact and working with various affiliations throughout the year. This year we are encouraging you to build out your team recruitment committee by adding team recruitment mentoring subcommittee members….WHAT DOES THAT 2009 PA Collegiate Summit 7 Fundraising Development 2009 MEAN!? That means that you can build a committee to coach teams on how to target their specific affiliation that best represents them on campus. For example a Greek team would have a mentor that is familiar with Greek organizations and help advise them on how that organization can further their fundraising efforts on campus. The idea is that we as committee members would recruit people that are related to the specific affiliations; from there these “mentors” will meet, coach, and direct Team Captains on how they can fundraise related to their affiliations. Now that we have introduced this concept to you, we want you to get comfortable with it. At your table you have random objects, we are going to assign you to a specific affiliations your task is to use these items to develop a fundraiser for that affiliations so that you could bring it back to those team captains. REMEMBER TO TIE IN MISSION WHEN FUNDRAISING 7. Key Points to Remember Target your affiliations Fundraiser Tie in Mission 10-15 minutes the group works on this task. Regroup and present the ideas. Best Practice Sharing (25) 8. BEST PRACTICE SHARING Now it is time to hear what is happening on your campus. We know you are doing fun and unique fundraisers and we want to hear what you are doing. Everyone count out by (number of tables) and go to specific table. Each table has a types of fundraisers or a given time of year. Everyone share some of their fundraisers and then you will move to the next table. If you have not done a fundraiser for that topic share a fundraiser you’d like to do for that topic. Recap Mission and Fundraising Team Affiliations Mentoring and Fundraising Now you see that fundraising is more than just going and asking someone to show you the whobucks. By incorporating the mission into fundraising people understand why they are donating and grasp the need to support the fight against cancer. By working with different groups on campus you can specifically focus on different types of fundraisers that are targeting a certain affiliation on campus. This is effective because each affiliations taps into a different group of students and makes fundraising more diverse because of all the various types of fundraisers. Take advantage of the mentoring system to make this process successful and effective. Use these best practices, take them back and share them with you CAC and RFL committees. Throughout the weekend create networks with various campuses so you can continue to share each others ideas. 2009 PA Collegiate Summit 9
