1. Primary key
The primary key of a relational table uniquely identifies each record in the table. It can either be
a normal attribute that is guaranteed to be unique (such as Social Security Number in a table
with no more than one record per person) or it can be generated by the DBMS. Primary keys may
consist of a single attribute or multiple attributes in combination.
2. Macro
When creating databases for end users, the goal is to make the database user-friendly and
intuitive. This can be done with the use of macros which are used to automate tasks within the
database. This is handy for both the administrator(s) and the end-user(s). It allows the
administrator the ability to "hand-off" the day-to-day operations of the database to others. The
end-users do not need to be programmatically familiar with the database in order to use it.
Macros and other features within Access allow this type of flexibility.
3. Query
As tables grow in size they can have hundreds of thousands of records, which makes it impossible
for the user to pick out specific records from that table. Queries were designed to combat this
problem. With a query you can apply a filter to the table's data, so that you only get the
information that you want.
4. Report
Having all your data stored in Access is great for maintaining a database, but it isn't the best
when you want to share the data or view it away from a computer. The solution to this problem
is to create an Access report that will let you design a ready-to-print document of your desired
database information.
5. Form
Access provides an easy way to enter data into your Access tables with forms. In Access you have
the ability to quickly make and customize these data entry forms to streamline the data input
process.

Text
Use for text or combinations of text and numbers, such as addresses, or for numbers that
do not require calculations, such as phone numbers, part numbers, or postal codes.
Stores up to 255 characters. The FieldSize property controls the maximum number of
characters that can be entered.
Memo
Use for lengthy text and numbers, such as notes or descriptions.
Stores up to 65,536 characters.
Number
Use for data to be included in mathematical calculations, except calculations involving
money (use Currency type).
Stores 1, 2, 4, or 8 bytes; stores 16 bytes for Replication ID (GUID). The FieldSize
property defines the specific Number type.
Date/Time
Use for dates and times.
Stores 8 bytes.
Currency
Use for currency values and to prevent rounding off during calculations.
Stores 8 bytes.
AutoNumber
Use for unique sequential (incrementing by 1) or random numbers that are automatically
inserted when a record is added.
Stores 4 bytes; stores 16 bytes for Replication ID (GUID).
Yes/No
Use for data that can be only one of two possible values, such as Yes/No, True/False,
On/Off. Null values are not allowed.
Stores 1 bit.
OLE Object
Use for OLE objects (such as Microsoft Word documents, Microsoft Excel spreadsheets,
pictures, sounds, or other binary data) that were created in other programs using the OLE
protocol.
Stores up to 1 gigabyte (limited by disk space).
Hyperlink
Use for hyperlinks. A hyperlink can be a UNC path or a URL.
Stores up to 64,000 characters.
