Administrative Operations Assistant
Job Summary: Provide business operations support to the financial, administrative, and contractual aspects of
the Business Office. Key Duties and Responsibilities:
 Primary substitute for Font Desk position.
 Assists with daily mail distribution.
 Proof reads/edits reports for Business Office.
 Petty Cash custodian for Business Office
.  Monitors/orders office supplies for Business Office and Quality Assurance Departments
 Maintains and develops Policies & Procedures as needed.
 Maintains facility keys for North Avenue building.
 Attends, records and maintains minutes for various meetings.
 Administrative support includes: a. Use of basic office equipment b. Filing c. Generating correspondence d.
Maintaining office calendar
 Maintains and updates insurance files for agency.
 Creates and maintains leases for properties; contracts for non-service providers and other agency contracts.
 Maintains list of lease/rental payments to be made and provides payment information to accounts payable
monthly.
 Maintains agency cell phone list and issue/cancellation of cell phones as needed. Primary point person for
all agency cell phones and data cards.  Assist accounts payable department on a regular basis. This will
include various functions such as coding, data entry, check printing, sorting, filing, etc.
 Receives various checks from front desk clerk (after proper documentation has been completed) - including
client checks and checks received in billing department
 Makes bank deposit through Remote Electronic Deposit System. Takes cash deposits to bank as needed.
 Prints deposit report and gives to accounts receivable department along with copies of checks for entry into
GL System and filing.
 Monitors and maintains list of County Contributions for Agency. Answers requests from local governments
for budgetary items.
 Maintains inventory list of all assets exceeding $5000 in value.
 Maintains vehicle list and associated cost centers for agency. Main contact for agency vehicles.
 Reports Monthly Utilization of Facilities vehicles to the Regional Transportation Department. Completes
Maximo mileage and fuel usage for Facilities Vehicles.
 Assists with approving vehicle repairs, vehicle purchases, and Report My Driving responses.
 Main user of ARI, WEX and Surplus systems with vehicles.
 Submits Greene County Transportation invoices and other transportation data to appropriate departments.
 Experience in accounting tasks helpful
Minimum Qualifications: HS diploma or GED and 2 years of experience at the lower level
Preferred Qualifications: High School diploma or GED required plus 1yr previous experience and/or
training involving office administration, customer service, bookkeeping, record/file management, personal
computer operations, and experience in specific area of assignment; or any equivalent combination of
education, training, and experience which provides the requisite knowledge, skills, and abilities for this job
AND
 Experience handling confidential information.
 Excellent written and verbal communication skills.
 Excellent customer services skills.  Detail oriented and good organizational skills.
 General knowledge and understanding of bookkeeping/accounting procedures; experience in accounting
tasks helpful.  Intermediate experience with Microsoft Office Suite
