GENERAL DESCRIPTION OF TASKS AND OBJECTIVES TO BE ACHIEVED
The Project Assistant provides information and operational support for the project assigned. He/she performs a wide range of
routine administrative, financial and clerical functions in support of the delivery of the project.
Reporting Lines
He/she works under the overall guidance of the FAO Representative, the direct supervision of the National Project Officer and in
close collaboration with the project team.
Key Functions:
 Assists in the drafting of the project budget, revisions and amendments;
 Maintains up-to-date filing system of records required for project implementation, and reference records on directives and
procedures relating to field operations work; reconcile operational records with other corporate records of the organization
regarding personnel, budget, training, purchases, contracts and reports;
 Reviews incoming correspondence and identifies action to be taken; prepare replies on routine operational matters;
 Prepares a broad variety of administrative actions necessary for the timely implementation of the project in support to the
supervisor;
 During the absence of the direct supervisor, takes appropriate action in the day-to-day work related to the project activities in
line with the approved work plans and briefs the direct supervisor on return;
 Collects and compiles data on the project activities to support reporting on the project delivery;
 Enters, selects, analyses and summarizes data from various sources, including FAO corporate systems, such as COIN
(Country Office Information System), FPMIS (Field Programme Management Information System), Data warehouse, FAS,
country databases, etc.;
 Supports in project monitoring by maintaining current registers and controlling tools on the status of the project at various
stages; review inputs, expenditures and time frames according to work plans; make necessary abstracts and computations;
detect inconsistencies.
 Assists in the preparation and submission of Quarterly Project Implementation Reports (QPIR) and any other periodic and ad
hoc project reports; Process, format and proof-read reports, documents, publications and correspondence related to the work
of the project ;
 Prepares background material, working papers and tables for briefings, review sessions and meetings;
 Reviews and direct correspondence, answer calls and route queries to appropriate contacts; provide background information;
respond to routine enquiries; and obtain additional information on transactions and operational matters, as required;
 Makes arrangements for meetings, seminars and events: implement logistics, prepare correspondence, compile and distribute
documents, make administrative arrangements;
 Initiates and follow up on administrative and financial actions related to staff management, non-staff support, travel, payments,
and procurement;
 Performs other related duties as required.
QUALIFICATIONS:
EDUCATION:
Secondary school education.
EXPERIENCE:
Four years of Programme/Project experience.
LANGUAGES:
 Excellent knowledge (level C) of English
 Excellent knowledge of the local language (Farsi)

TECHNICAL SKILLS
IT SKILLS:
Ability to effectively use standard office software, such as MS Office (Windows, Word, Outlook, Excel, Power Point, Exchange).
WORK MANAGEMENT SKILLS:
Understanding of the purpose and functions of the technical programme. Knowledge of United Nations/FAO’s operational
guidelines and project / programme management procedures. Systematic and efficient approach to work assignments, good and
analytical ability.
INTERPERSONAL COMMUNICATIONS AND TEAMWORK SKILLS:
A cooperative spirit, flexibility and openness to work in an international environment are needed. Tact, courtesy, cultural empathy
