JOB DESCRIPTION
FINANCE MANAGER
To be responsible to the Business Manager and to assist in the smooth and efficient
running of the school by undertaking the following duties:
 To promote strategic vision and leadership in all finance related aspects of the work
of the school.
 To be responsible for the effective leadership, motivation, support and control of staff
allocated to areas of responsibility.
 To work within the legal and regulatory academy framework and to ensure high
standards of financial probity, regularity and value for money within the school.
Duties are:
 Advise on accounting policy, in compliance with academy regulations.
 Liaison with the school’s Responsible Officer to enable them to carry out their duties
effectively
 Lead the finance staff and payroll manager ensuring that appropriate standards of
performance and customer care are demonstrated by carrying out performance
management return to work interviews, team meetings etc.
 Prepare for approval future financial forecasts/budgets for the school, as requested.
 Monitor income expenditure monthly, providing variance reports and advice for the
Business Manager/Headteacher/Governing Body.
 Prepare regular management accounts and reports for budget holders, Senior
Leadership Team, Personnel, Premises, Finance and Audit Committee and the Full
Governing Body.
 Develop, prepare and monitor annual budgets for budget holders and ensure they are
maintained in accordance with financial regulations.
 Maintain salary information and produce detailed salary forecasts.
 Take responsibility for maintaining the school’s computerised accounting system and
records.
 Ensure the school has an effective payroll service, providing cover in the absence of
the Payroll Manager.
 Maintain a cash flow forecast for the current and future years.
 Develop and update the Academy Fixed Asset Register, ensuring compliance with
academy regulations.
 Review and amend financial policies, in liaison with the Business Manager.
 Proactively implement the Academy’s policies and procedures.
 Identify all financial risks to update the Academy Risk Register.
 Train staff in finance procedures including the use of the on-line budget software,
how to cost a school trip etc.
 Attend Personnel, Premises, Finance and Audit Committee meetings preparing
paperwork to meet the Governing Body timescale.
 Work closely and in confidence with the Business Manager to ensure the school
meets statutory requirements.
 Ensure timely and accurate preparation of monthly bank reconciliations and control of
bank accounts and cash balance.
 Oversee and ensure VAT accounting and payment and that VAT reclaim returns are
submitted.

 Work with the finance team in scrutinizing the payment of invoices, imputing of
accounts, ordering of supplies, authorisation of payments, payment runs ensuring
they are made in accordance with financial regulations.
 Manage income and expenditure accounts for all school trips.
 Prepare monthly canteen and lettings accounts.
 Manage the invoice/payment system for school lettings.
 Manage the ParentPay system including fortnightly reconciliation of payments
relating to school meal income and other payments and responding to
correspondence/requests from parents.
 Manage the school fund, transferring funds to the budget where necessary and
processing all financial documentation in accordance with proper accounting practice.
Ensure accounts are independently audited annually and audit report presented to
Personnel, Premises, Finance and Audit Committee.
 Monitor accounting procedures and resolve problems, including purchase ledger,
sales ledger, bank account, VAT returns, asset register, bad debts and payroll and
resolve any problems.
 Negotiate, manage and monitor contracts, tenders, and agreements for the provision
of support services such as insurance, auditors, cleaning, energy etc, ensuring they
meet the procurement rules pertaining to public bodies.
 Prepare financial appraisals for projects, as requested.
 Endeavour to secure sponsorship funding, grants or bid-based competitive funds,
gifts and other donations.
 Collaborate with and assist other colleagues in the performance of their duties as
required.
 Maintain an efficient finance filing system
 Ensure data is maintained according to required procedures and kept confidential
and secure in accordance with the Data Protection Act
 Keep up-to-date with developments and changes in legislation and guidance and
communicate as appropriate
 Prepare all financial returns e.g. AAR, for the DfE, EFA, Charities Commission and
other relevant stakeholders within statutory deadlines
 Undertake year end procedures and prepare financial statements and accounts for
submission as required by the DFE.
 Co-ordinate the annual audit, liaising with the school’s appointed auditors
 Any other reasonable task requested by the Line Manager or other such authorised
person as to allow for the efficient running of the school without changing the general
character or the level of responsibility entailed.
