Creating a PDF
1. A Word about Adobe Professional
a. Not word processing software
b. Create secure documents for distribution
2. Need for editable PDF’s
a. Form to fill out – covered in class on forms for the web
b. Capture text from a PDF to use in a document
c. Use PDF as a template for a document
d. Make minor changes to text
e. Clean up a scanned document
3. Tips for scanning a document
a. Scan at 300dpi, if text is small (9 points or below) scan at higher resolution
b. Do not use dithering or halftone, they are for photographs
c. For text on colored paper increase brightness and contrast by 10%
d. If characters are close touching use a brighter setting, if not use a darker setting
e. White out any handwriting on document before scanning
f. Copier/Scanner
i. Left side of scanner screen shows current settings
ii. Press “Scan Settings” area of scanner screen to get into menu to change
1. Scan Type
a. Black&White
b. Greyscale
c. Full Color
2. Resolution (100-600 dpi)
3. Image density – 7 boxes from lighter to darker
g. HP Director – Settings
i. Scan document settings ( See HP Scanner settings.bmp)
4. Creating a PDF in Adobe Professional
a. From File
i. Click on File – Create PDF – From File
ii. File Explorer comes up, browse to file you want to make into a pdf
b. From Multiple Files
i. Click on File – Create PDF – From Multiple Files
ii. File Explorer comes up, browse to files you want to include in pdf
iii. Can alternate what order you place files
c. From Scanner
i. Place document page on flat bed scanner
ii. Click on File – Create PDF – From scanner
iii. Will error that it needs to load an application for scanner and you do not have
administrator privileges, but just click ok (error msg may come up 3 to 4 times)
but will still scan and put into a pdf.
d. From Web Page
i. Click on File – Create PDF – From web page
ii. Enter, Paste or browse to the web page you want to include in the pdf.
e. From Clipboard Image
i. Use the Alt + Print Scrn key to copy a screen to the clipboard
ii. Click on File - Create PDF - From Clipboard Image
5. Creating a PDF from an Application
a. Word, Excel, PowerPoint – Click on Adobe icon or click on Adobe PDF menu and
choose Convert to Adobe pdf.
b. WordPerfect – Click on File – Publish to – PDF
6. Creating a PDF from a Copier/Scanner at Moritz – See Basic Scan to Email.doc located on
training website under Adobe.
Changing a PDF to editable Text
1. Open the document in Adobe Professional
a. Choose Document – Paper Capture – Start Capture
b. Choose what pages to capture
c. Click on Edit box to:
i. Set the language – English (US)
ii. Choose the PDF output style – Formatted Text & Graphics
iii. Downsample images – none
iv. Click on OK
2. Click on the Advanced Editing toolbar select the TouchUp text tool to edit text.
3. Click on the text, it will put text in text boxes, but you can edit the text or copy and paste the
text into a new document.
a. IF you have minor changes to make, do them in the document and save
b. IF you have major changes or just wanted to extract text in a formatted state and use it
in an existing Word or WordPerfect document, it is best to:
i. Click on File-Save as and save the document as rich text format
1. Check out the settings tab at bottom of Save As box for settings you may
want to change before saving (resolution or graphics handling)
ii. Open the document in Word and do the changes you need.
iii. When finished, you can convert back to a pdf if needed.
4. If you have scan marks in the document:
d. Click on the Advanced Editing toolbar select the Touchup icon and choose Touchup
Object tool.
e. Click on the object to select it and then press the delete key, or
f. Select the object and right click and choose delete.
5. If you are interested in changing a form you have pulled from the web into a form that you can
fill out and send, check out the dates on the class titled “Forms for the Web”
