3-Day | OnBase Database System Assessment
The DataBank Database Services team will conduct a remote system assessment of the current OnBase database server setup, inspect data within the OnBase solution via database reports for potential solution performance opportunities, and capture performance metrics of the current hardware. All database server configuration points reviewed are based on Hyland Software’s recommendations as well as the combine years of experience assisting customers with optimizing their database server setup for optimal performance and future growth. This review will entail: • Review of the SQL Server instance configuration for server level settings • Review of the OnBase database for database level settings • Review of current database maintenance plans used for maintaining system performance • Inspection of OnBase database data for multiple OnBase products (such as workflow) for solution improvement opportunities. Inspection includes but is not limited to o Identify workflow queues with documents entering and not exiting o Workflow timers that may be creating unnecessary load on the system o Disk group design review for identification of lock contentions o Review of OnBase data maintenance Database server hardware and infrastructure performance capturing will be performed with the use of Microsoft’s Performance Monitor tool. The tool will be configured with DataBank specific settings to gather a variety of hardware, infrastructure and database performance metrics for 24-­‐62 consecutive hours. The gathered information will be processed and assessed by a database services engineer. The result of the assessment will be: • A date and time based graphical display of system performance and load • Highlighting all warning and critical level issues identified, including a definition of how the identified areas for improvement were identified • A prioritized action item list of areas for improvement along with suggested options to provide improvement It is encouraged to have the database administrator and/or the OnBase administrator participate in this assessment to provide the opportunity to learn more about the OnBase database structure as well as how the OnBase software interacts with the database. Databankimx.com | contactus.com Database Server Access Requirements: • Remote access via TeamViewer or GoToMeeting • Connection to the database server with SA privileges • The ability to create, modify, execute SQL statements, maintenance plans, SQLAgent jobs • Database rights to create, modify, delete custom table objects • The ability to run select, update and delete and drop statements. • Access to setup Microsoft Performance Monitor (PerfMon) counters writing to file, and appropriate space for gathering the output. The deliverables at the end of the engagement will be: • A detailed report defining the current system, an assessment of the performance of this system and any action items recommended to improve and maintain the health of the OnBase database. • Supplemental documentation to include Hyland Software’s recommendations on database maintenance, detailed list of all Performance counters used to observe the system. • If requested, a quote for assistance to implement the identified action items. After the implementation of the maintenance plans, it is the responsibility of the customer to monitor their execution to ensure continued successful completion.
