MAYVIEW COMMUNITY HEALTH CENTER JOB DESCRIPTION JOB TITLE: Medical Scribe Coordinator REPORT TO: Clinic Operations Manager/Assigned Provider SUPERVISES: Volunteer Medical Scribes COMPENSATION STATUS: Non-exempt IMPACT OF ERROR: Moderate WORK SETTING: Clinical, Administrative LEVEL OF ACCESS TO EMR: REVISED: 7/2016 EMPLOYEE SIGNATURE: _______________________________DATE: ______________ JOB SUMMARY It will be the responsibility of the Medical Scribe Coordinator to annotate any dictated or written information for the treatment of patients following all local, state and federal guidelines for documentation into the electronic medical record. The Medical Scribe Coordinator will be responsible for clearly recording each patient's symptoms, history, physical exam and documenting the diagnosis. The Medical Scribe Coordinator role is not a direct patient care role. In addition to scribing duties, the Medical Scribe Coordinator will recruit, train, and schedule Volunteer Scribes. S/he will be responsible for monitoring and measuring the impact of the Scribe Program at MayView. JOB DUTIES AND RESPONSIBILITIES Scribe-Specific Tasks and Duties • The primary role of the medical scribe is to assist the provider with documentation of each patient’s medical chart during his or her visit. • The scribe accompanies the provider into the patient examination area in order to transcribe a history and physical examination as given by the patient and physician. • The scribe, under the direction of the provider, transcribes patient orders, including laboratory tests, radiology tests, medications, etc. • The scribe documents any procedures performed by the provider or nurses, on the electronic medical chart. • • • • • The scribe should be an expert in the use of various templates and documentation techniques available in the EHR, and use these tools efficiently so individual encounters can be well documented, as well as accurate congregate data collected for statistical reports. The scribe transcribes any consultations or discussions with family and/or the provider. The scribe completes the patient’s chart by transcribing results of any labs, x-rays, or other evaluations. In doing so, the scribe continuously checks on the progress of this data in order to get the patient’s workup complete so that the provider is able to make his or her decisions regarding that patient. The scribe lists all proper diagnoses as well as any follow up instructions and prescriptions, as dictated by the provider. The scribe does not directly assist with patient care. Scribe Coordinator-Specific Tasks and Duties • The scribe coordinator recruits volunteer scribes using existing tools and develops and implements new outreach strategies to publicize the scribe volunteer program. • The scribe coordinator trains scribes in NextGen EHR and MayView volunteer scribe workflow. • The scribe coordinator schedules volunteer scribes to ensure coverage. • The scribe coordinator monitors and measures scribe performance and attendance in addition to provider and patient feedback. • The scribe coordinator conducts provider and patient satisfaction surveys. General Agency Duties • Fosters an environment that promotes trust and cooperation among all MayView staff. • Enforces clinic policies and procedures to ensure that the principles of MayView are implemented. • Maintains confidentiality of all patient and employee information to all except the Clinic Operations Manger, Medical Director or other designated employees. • Informs Clinic Operations Manager of matters of general interest and problem areas as such are determined or discovered. • Attends all mandatory meetings and other meetings as requested. • Understands and adheres to the Code of Conduct policy. Knowledge, Skills and Experience • Ability to read, write, understand and spell English and medical terminology correctly. • Basic Computer proficiency in Windows environment • Typing 35-45 WPM • Spelling in English at a minimum of 10th grade level Education and Training • High school diploma or equivalent Preferred • Previous experience working in an outpatient clinic or doctor’s office • Medical Transcriptionist experience Physical Demands • Standing/Walking: Up to 90% of the workday consists of stand/walking on laminate floors while performing Medical Scribe duties. • Sitting: Up to 50% of the workday may be spent sitting in exam and staff rooms typing notes. • Talking: Average ability and fluency in English is required in communicating with patients and staff. • Hearing: Average ability is required in listening to patient/provider interactions and performing all job duties. • Seeing: Average ability is required to read and follow instructions and assisting patients.
