Virginia Arts Festival
Public Relations Position
BASIC FUNCTION
Direct responsibility for press and public relations for the Festival; reports to the Director of
Marketing and Communications.
RESPONSIBILITIES INCLUDE:
Maintain current knowledge of and close working relationships with local, regional and
national press, including writers, editors, publishers, broadcast personalities/ program
directors/marketing staff, with an emphasis on genre-specific coverage/beats (arts/performing
arts, music, dance, theater, entertainment, lifestyle, non-profit, philanthropy, cultural tourism,
tourism/travel, and more as applicable); vigorously pursue new press opportunities on local,
regional, national and international basis, including traditional and digital media
Press releases: Write engaging, informed, accurate, targeted press releases, announcements and
other documents as needed to promote the Festival and its performances; disseminate digital and
printed assets to press outlets
Media monitoring: Manage vendor relationship and provide accurate data regarding impressions
delivery as needed for Festival leadership and sponsor/partner relationships
Season announcement: Coordinate season announcement events and other press events as
directed, including invitations, materials, list development and management, and press and VIP
wrangling
Coordinate and escort all press appearances by Festival leadership and artists
Book freelance photographers as needed for all Festival events
Schedule and escort press (reporters/writers, cameras, video) at Festival events
Develop and maintain annual public relations budget including vendor costs, press-related travel
and expenses, using internal software programs and procedures
Manage systems and archives for public relations including comprehensive, regularly updated
press and contacts database; PR/press archives; impressions delivery per show or project as well
as seasonally, in a manner that can be manipulated to show local, regional, national and
international impact
Coordinate with outside public relations consultants or agencies if applicable
Set and meet specific goals with regard to digital media, including social networking sites; work
with Marketing content staff
Institutional PR:
-Develop and pursue informed, creative, topical plan to promote the Festival as an artistic leader,
nurturer of new works, major force in arts education, and driver of cultural tourism, with a goal of
measurable press coverage in all media; vigorously pursue opportunities on a continuing basis to
promote the Festival and its mission, events, artists and leadership
-Monitor and pursue opportunities to promote the Festival in conjunction with presenting
partners, institutional partners, municipalities, state tourism and other government, corporate, and
foundation entities
-Develop and pursue plan to raise the profile of Festival leadership and creative entities, including
press coverage and social media
-Pursue speaking engagements for Festival leadership
-Develop talking points for Festival leadership, partners, sponsors and others as directed
Performance-specific PR:
-Obtain all artists materials for effective promotion, marketing and public relations, including
bios, photos, programs, clips/quotes, and tailored social media content
-Develop informed, creative, performance-specific press plan for every event presented by the
Festival, including local, regional and national press outlets with a goal of measurable press
coverage in all media; report plans and progress to Marketing Director as directed, maximizing
press and PR efforts with all other marketing efforts
- Manage calendar and organizational listings, coordinating with Marketing staff to pursue all
partner opportunities; maintain current knowledge of and working relationship with media,
municipalities, and other partners who offer event and performance listings; monitor and explore
new opportunities for listings
-Recruit and supervise PR interns
