Job Title: Executive Assistant
Reports to: Head of School
Work Period: 12 months (2 weeks summer vacation, with regularly scheduled school holidays & breaks)
Position Focus: Providence Christian School seeks a dynamic Executive Assistant to assist the Head of
School. The ideal candidate must have a consistent, professional demeanor and be highly organized,
creative, and enjoy working in a fast-paced, collaborative environment, while maintaining high levels of
confidentiality regarding personnel, student, and financial information. He or she should model a deep,
Biblical faith and reliance on Jesus Christ as Lord and Savior through community, parent, and staff
interpersonal relationships, and maintain membership (in good standing) in a Bible-believing church. A
successful candidate will possess strong administrative, organizational, written and verbal
communication skills, as well as the ability to maintain a realistic balance among multiple priorities.

executive assistant will support academic excellence and facilitate children’s growth in knowledge,
wisdom, and grace through:

an attitude and speech that models a consistent, daily walk with Christ and that sets a positive
tone with parents, students, and other staff members
a commitment to the Matthew 18 principle in dealing with students, parents, staff, and
administration
participation in Bible Study and Staff retreats when made available to office staff
membership, in good standing, of a local, Bible-believing church
subscription to and promotion of PCS’ Statement of Faith and one of the historic creeds
(Westminster Confession of Faith, Heidelberg Catechism, Canons of Dordt, or Belgic Confession)
participation in one session of the Pastor’s membership class at Evangelical Presbyterian Church,
which is offered periodically (church membership is not currently required)
Knowledge and Skills:
The ideal candidate must possess knowledge and demonstrate skills in the following areas:
 A combination of education and experience, either a Bachelor’s degree in an applicable
field and 3+ years experience, or an effective example of applicable education and
experience
 Technologically savvy, particularly with Microsoft Word, Excel, PowerPoint, Outlook, and
Publisher
 Ability to create, schedule, and post Facebook updates, events, and ad campaigns
 Communicate effectively with website developer, some awareness of website design and
effectiveness
 Very strong interpersonal skills and the ability to build relationships with stakeholders,
including staff, board members, external partners, and donors
 Certified in CPR and First Aid or obtain within 2 months of employment
Responsibilities:
1. Provides administrative support for Head of School
 Prepare and/or proofread/edit all HOS correspondence and reports
 Assist with Accreditation, Safety, and Other Inspections as needed
 Assist with annual scholarship and other compliance reports
 Keep abreast of the admissions process and support parents, accounts receivable clerk,
and head of school in enrollment process, planning, and details
 Process and track employee contracts and other school matters as assigned
 Maintain and Coordinate School’s Master Calendar
 Schedule individual and group appointments
 Assist in managing HOS calendar and contacts
 Prepare materials as needed for meetings
 Screen and respond to email and phone calls as needed
 Serve as initial contact through email or telephone with job applicants
 Serve as the main contact for Website and Facebook Marketing
 Assist in planning and supporting school events as they arise
 Serve as liaison between school and church offices
 Communicate and coordinate with faculty and staff regarding their responsibilities and
projects as needed.
 Maintain up-to-date contact information for Board and Committee members
 Manage all Board meeting logistics, including regular reminders
 Assemble all materials and distribute them prior to Board Meetings
 Participate in and maintain awareness of strategy meetings regarding fundraising,
special events, and marketing
 Support the HOS with ongoing donor cultivation, thank you letters, and donor reports
 Participate in grant research and writing
 Foster Godly, positive relationships with board members, donors, volunteers, faculty,
and other staff
2. Provide administrative support to ensure effective and efficient office operations
 Direct, coordinate, and support the functions of the Accounts Receivable Clerk (ARC)
 Support the function and effectiveness of the front office as needed by answering
phones, speaking with parents, and giving admissions tours
 In coordination with the ARC, process and maintain new student information and
emergency contacts
 In conjunction with the ARC, formalizes and implements the registration of returning
students and initial enrollment of new students
 In conjunction with the ARC, monitor and order office supplies
 In conjunction with the ARC, research, prepare, and reserve travel arrangements and
accommodations
 Ensure the confidentiality and security of all financial and employee files
3. Provide receptionist and clinic assistant services





Greet and assist visitors
Answer telephones and take messages
Direct calls and respond to inquiries
In coordination with the ARC, verifies and reviews immunization records and cum
records for accuracy and completeness
In conjunction with the ARC, dispenses medications, administers and records first and
care for ill or injured students, notifies parents, files accident reports as needed
