Constitution Guide GEORGE MASON UNIVERSITY Office of Student Involvement MARIPOSAS MENTORING PROGRAM Revised on: April 28, 2016 by J. Crewalk Article One MARIPOSAS MENTORING PROGRAM The Mariposas Mentoring Program (MMP) was established by the Mu Chapter of Latinas Promoviendo Comunidad/Lambda Pi Chi Sorority, Inc., along with the University Life Office of Diversity, Inclusion and Multicultural Education (ODIME). Since Spring of 2013 MMP has become it’s own individual organization giving a support network to freshmen, sophomores, and newlytransferred young women at George Mason University. Article Two PURPOSE OF ORGANIZATION The purpose of Mariposas Mentoring Program (MMP) is to promote academic excellence and leadership on campus. Our goal is to provide young women at Mason with a strong foundation and network, to encourage opportunities for academic excellence, campus involvement and retention of underrepresented groups in higher education. Article Three MEMBERSHIP MENTEES As a Mariposa mentee, you will meet with a mentor who will serve as a resource guide to Mason’s student life. At the end of each semester, all Mariposas get together to discuss their learning experiences. Mariposas and their mentors will have access to a listserv and available resources so that they can create a network of support. The group of Mariposas and mentors are strongly encouraged to keep in touch among themselves throughout the semester and outside of the end of semester meetings. Eligibility: • Female freshman, sophomore or transfer student. • All active members must be currently enrolled GMU students with a minimum academic achievement record defined as a cumulative grade point average of at least a 2.0. • Membership in this organization will not be restricted on the basis of race, color, religion, national origin, disability, sexual orientation, veteran status, sex or age. • Available to commit to program for full academic year 2014-2015 • Availability for Fall and Spring Mentor/ Mentee Retreats • Availability to meet with mentor as needed or at least biweekly and maintain consistent communication. Requirements for Application: • Completed Mentee Application (Attached: See Appendix A) • Current schedule of classes and work schedule (to find times to meet) • $10.00 dues (cash or check payable to George Mason University May 2014 Includes MMP T-shirt) MENTORS As a mentor, you will meet with a mentee at least once a month. You will serve as a resource guide to Mason’s academic and student life. At the end of each semester, all Mariposas get together to discuss their learning experiences. Eligibility: • Female Junior, Senior, or Graduate student (60+ credits) • Membership in this organization will not be restricted on the basis of race, color, religion, national origin, disability, sexual orientation, veteran status, sex or age. • Active members must be currently enrolled GMU students with a minimum academic achievement record defined as a cumulative grade point average of at least a 2.0. • Available to commit to program for full academic year 2014-2015 • Availability for Fall and Spring Mentor/ Mentee Retreats • Availability to meet with mentor as needed or at least once per month and maintain consistent communication. Requirements: • Completed Mentor Application (Attached See appendix A) • Meet the GPA minimum • $10.00 dues (cash or check payable to George Mason University includes MMP T-shirt) Member Termination: • Failure to consistently communicate and establish rapport between the mentor or mentee relationship may result in removal from the program • Failure to maintain the required grade point average of 2.0 may result in removal from the program Article Four OFFICERS • • • • • • • President Organize Officer Meetings Will be the go-to person to contact other organizations in order to facilitate co-sponsorship Will book the location and look into catering for major events such as Shades of Brown/Retreats/Potluck Will maintain the rest of the executive board informed with regards to any events both current and any that may be presented by any other organization Will create and maintain the 2016-2017 Facebook group make sure the executive board meets the minimum GPA requirement to hold position Other duties within interest of personal development and leadership • Vice President Will book information kiosks May 2011 Will assume duties of President as needed Will coordinate MMP Community Service events Will maintain the MMP Point System o Upload to MMP Google Docs • Will take responsibility in coordinating and awarding Mariposa of the Year Awards Will create the sign-in sheets for each event (VP) • • • • Secretary Will upload agenda that was discussed at meeting on google docs Will register new members into the 2014-2015 Listserv Will maintain the MMP email accounts Will create and send out informational emails/Facebook messages to members in a timely manner • Will be in charge of creating event flyers • Will assist president in maintaining FB group Make the Agendas and send out reminders to all officers (Secretary) • • • • • • • • • • • • • • • • • • • Treasurer Will maintain the executive board informed as to the current budget o Will maintain a detailed spreadsheet and upload to the MMP Google Docs Will maintain informed about funding, budget and other SFB policies Will coordinate fundraisers Historian Will be in charge of documenting each MMP event o If cannot attend an event, notify another officer to document it for you Will upload the pictures from each MMP event to the Facebook group in a timely manner o Each event must have its own album Will be responsible for updating trifold (adding pictures, changing pictures) Will maintain the MMP trifold Will be the point of contact for LPC Liaison Mariposa Co-Recruiters Will take charge in various recruitment efforts throughout the year Will create engagement to MMP through face to face recruitment efforts Will be in charge of recruitment ads (MasonAds) o Look into getting MMP flyer/ads in the LCD screens (2 weeks prior), SS Napkin holders, Painting SS Cubes, etc. Will assist in the pairing process of Mariposas and Mentors Will ensure that members are actively participating in MMP events Will assist President and Secretary in maintaining FB group LPC Liaison • preferably an undergraduate with knowledge of MMP past • Point of contact will be the President of the MMP E-Board • will be present at majority of the MMP events • accessible by phone, text, via email and can meet in person May 2011 • will assist the executive board of MMP as needed • Will be present at MMP meetings for updates Other duties within interest of personal development and leadership Requirements • All elected officers are expected to serve in their positions throughout the entire academic year 2016-2017 • Any elected officer may be removed from their positions if they do not maintain a 2.0 grade point average or if they do not meet the expectations of their responsibilities. CO-ADVISORS The primary advisor will be a full-time faculty or staff shall be a member of the faculty or staff at George Mason University. The Co-Advisor will be any Alumni, Graduate Student or Professional interested in supporting and developing Mariposas E-board & Mentors. • Any GMU staff is eligible to be the full-time faculty or staff • Primary full-time faculty or staff will offer guidance and support and may oversee the election of new officers • Will support with transition of new e-board and leadership development • Co-Advisor will develop mentors and e-board and support to resolve conflicts within Eboard. • The current full-time faculty or staff is Jennifer Crewalk ([email protected]) from the University Life Office of Diversity, Inclusion and Multicultural Education • There is no determinate length in the full-time faculty or staff position Article Five ELECTIONS • Any active member of the Mariposas Mentoring Program may run for an available executive position so long as they are in good class standing and maintain a grade point average of 2.0 • Elections will take place in April • For presidency, an individual may not run if not classified as an upperclassmen • On the day of the election, each nominee will give a brief speech stating why they feel that they are qualified to run for the desired position • Voting will be done through secret ballots and the votes will be tallied by the full-time faculty or staff advisor • In the event of a tie, the winner will be decided by the academic full-time faculty or staff • A transition workshop will be held in summer to familiarize new officers with their respective tasks and duties and learn clear communication skills and how to prevent and resolve conflicts professionally. Article Six Impeachment or Resignation • Should an elected officer fail to perform the responsibilities or abuse the privileges of their elected position, the officer shall be subject to impeachment and removal from their office. • Should an elected officer fail to perform the responsibilities or abuse the privileges of their elected or appointed position in the organization the following procedures should be followed: o A meeting is to be scheduled between the current president of Mariposas Mentoring Program, the full-time faculty or staff and said person who is said to be impeached. At this meeting the individual will be held accountable for their inappropriate actions and will be automatically impeached of her position. o If instead the individual wishes to resign due to personal reasons a meeting is still to be held between the full-time faculty or staff, president and individual May 2011 • • Article Seven Article Eight resigning in order to provide adequate support for both the individual and organization. In order to resign from one’s position they must: o Speak with both their president OR full-time faculty or staff about their decision. o Once a plan has been developed regarding the person’s resignation and how the organization will deal with the loss of said position, the rest of the executive board will be informed about what is occurring. o As a collective executive board, a plan will be devised to spilt up the additional work to each member prior to accepting the formal resignation of the individual. In order to appoint a new officer for a position that has been vacated the following is to be done: o Inform current members about an executive board position being open in order to fill in the vacant spot. o Once a list of candidates have been formalized, both the full-time faculty or staff and president will converse with each candidate and will explicitly inform of all the responsibilities the new office will have. o The final decision as to who will fill in the vacant spot will be made by the fulltime faculty or staff. MEETINGS • Meetings will be held at least once a month • All current members will attend the meetings along with the full-time faculty or staff if available • Executive board meetings will be held on a weekly basis • Attendance to member meetings is not mandatory but highly encouraged • Majority of members must attend meetings • Special meetings or events to be announced with at least a two week notice FINANCE • The amount of dues and the method of collection will be decided by a majority vote of the executive officers at the beginning of each semester for semi-annual dues or the beginning of each school year for annual dues. Article Nine AMENDMENTS • Amendment proposals are to be reviewed by the executive board for approval The Office of Student Involvement must review all amendments in the same manner as a completely new constitution. Article Ten RATIFICATION • Upon approval from the executive board, the proposed amendment will be submitted to the Office of Student Involvement for ratification This constitution shall become effective upon approval by a ¾ vote of the membership, and the Program Coordinator of Student Organizations.
